BOARD OF TRUSTEES MINUTES APPROVAL Approve the Library Board of Trustees meeting minutes of July 25, FINANCIAL REPORT Approve the Financial Report for the month of July GIFTS Accept gifts received by the San Mateo Public Library during the month of July PUBLIC COMMENT Persons wishing to comment on any item not appearing on the agenda may submit to the Executive Assistant a Request to Speak form. State law prevents the Board from taking action on any matter not on this agenda. Comments may be referred to staff for further review. COMMUNICATIONS 4. FUNDING FROM CALIFORNIA LIBRARY LITERACY SERVICES Letter (7/22/16) from Greg Lucas, State Librarian, communicating funding support in fiscal year to Project Read by the California Library Literacy Services program. 2 NEW BUSINESS th ANNIVERSARY CELEBRATION City Librarian Ben Ocón and Library Board will reflect on the 10 th Anniversary activities that were conducted during the week of August 21 27, TECHNOLOGY LENDING SERVICE UPDATE REPORT Nicol White, Supervising Library Assistant of Circulation and Technical Services, will provide an update report on the Library s Technology Lending Service that was launched earlier this year ANNUAL REPORT Mr. Ocón will share information from the Annual Report. 8. 3 CITY OF SAN MATEO LIBRARY BOARD OF TRUSTEES July 25, 2016 Meeting Minutes 1. CALL TO ORDER The meeting was called to order at 6:03 p.m. by Don Hill, Vice-President of the Library Board. 2. PLEDGE OF ALLEGIANCE & ROLL CALL Mr. Hill led those in attendance with the Pledge of Allegiance. Roll call was conducted and present were Library Board members Don Hill, Dr. Acena, and Susan Monroe, City Librarian Ben Ocón, Management Analyst II Jan Busa and SMPLF Interim Executive Director Tish Busselle. [Library Board member Megan Myers arrived following the adoption of the Consent Calendar] 3. CONSENT CALENDAR ADOPTION Motion to approve the consent calendar was made by Ms. Monroe, seconded by Dr. Acena, and the motion passed COMMUNICATIONS A. Certification of Population Figures for : Mr. Ocón shared communication from Greg Lucas, State Librarian, California State Library, that lists the certified population served by the Library as 106,555. This figure is based on the most recently published (May 2016) State of California, Dept. of Finance, Demographic Research Unit, City/ County Estimates, with Annual Percent Change, January 1, 2015 and B. Board and Commissioner Annual Appreciation Dinner, September 23, 2016: The City Clerk s office has issued a save-the-date notification on behalf of Mayor Joe Goethals and the City Council for a Lobster Clambake themed function that will be held at the San Mateo Senior Center. 5. OLD BUSINESS A. Continued Planning for 10 th Anniversary Activities: Mr. Ocón shared an update of events being planned that include an author program featuring Richard Rhodes, winner of the Pulitzer Prize and author of the biography John James Audubon, the Making of an American. Mr. Rhodes will share information on Audubon s Birds of America which the Library has a copy on permanent display. Other activities include ceremonial cake cutting in the lobby of the Main Library on Sat., 8/27 (the anniversary date of the opening of the Main Library) as well as self-guided tours to highlight new services. Cakes will also be available at the two Branches on 8/27. B. Collaboration Committee Update: Mr. Hill invited Ms. Busselle to speak about the Leadership Circle event that will be held on October 14, Ms. Busselle shared that the Leadership Circle function will host donors who donate $1,000 or more annually to the Library Foundation. This year s event will expand on the 10 th anniversary of the Main Library by celebrating the past ten years and will include a self-guided tour to highlight new services. Jennifer Devlin-Herbert, architect of the Main Library, will speak. Mr. Hill also shared an update of topics discussed at the Collaboration Committee meeting on 7/21 that included the Committee s interest for the Library to host naturalization ceremonies in the future, and the Committee s suggestions of activities that can be included in the 10 th anniversary festivities.

Overview of Safety Oversight at the Library: Ms. Busa, Chair of the Library s Safety Team, presented an overview of safety measures practiced at the Library. Ms. Busa explained that the purpose of the Library s Safety Team is to ensure that the three San Mateo libraries are safe civic facilities for the public as well as for library employees (in compliance with federal, state and local safety regulations and in observance of the City of San Mateo s Injury and Illness Prevention Program). C. New Mission, Values, Organizational Principles (City of San Mateo): Mr. Ocón shared how the City s new Mission, Values and Organizational Principles, were developed as part of the City s High Performance Organization initiative; and how they serve as a compass for the way City employees conduct business. The new organizational principles will be framed and displayed in all civic facilities. Mr. Ocón mentioned that the new Technology Lending Service that was launched earlier in the year is an example of a high performance organization achievement at the Library department. 7. REPORTS A. Library Board President: No report. B. City Librarian: Mr. Ocón shared highlights from his written report including the restoration of service hours at all San Mateo libraries; the inclusion of the deyoung Museum and the Legion of Honor Fine Arts Museum in the Discover & Go program that offers free museum tickets to library patrons; and congratulations to library employees who received a Dewey Award recognition bestowed on them by coworkers for their exceptional work. D. Library Foundation (SMPLF) Representative: Ms. Busselle shared the following: SMPLF provided a record amount of funding support to the Library in the amount of $400,000 for the fiscal year ; the recruitment for an Executive Director and a Development Associate is in the final stages; the SMPLF s favorable expense ratio is currently at 21%: the nominations process is underway to appoint new Foundation Board members; and the 9 th Annual George Archer Stroke of Genius Pro-Am Tournament will be held on October 24, 2016 at the Peninsula Gold and Country Club. Ms. Busselle added that the tournament raises funds for the Archer Foundation that, in turn, awards grants to the Library Foundation for the literacy program. 8. AGENDA BUILDING The following topics were approved and scheduled for August 29, 2016: Update on the Library s Technology Lending Service. 11 City Librarian s Report August 2016 Library Stories Archived by StoryCorps The Library will soon make accessible the archive of recorded interviews that were conducted during National Library Week by StoryCorps as part of the effort to commemorate the 10 th anniversary. The archive will memorialize the library project to build a new Main Library and renovate the Branches; and will also include interviews with patrons who share library stories. The archive will be accessible starting Sept. 1 st. Library patrons will be able to listen to the interviews in the Library or borrow. Citywide Spotlight on Service The Library has acknowledged the service of three volunteers for the Citywide Spotlight on Service recognition that will be slated for a City Council meeting in October.
