4 Minutes of the Meeting of the City of Georgetown January 20, 2015 The met on Monday, January 20, 2015 at 6:30 p.m. in the staff conference room of the Georgetown Public Library, 402 W. 8 th Street MEMBERS PRESENT: Michael Barnes, Stephanie Blanck, Lois Case, Tom Hagen, Linda Nix and Pete Rose. Regular Session A. Citizens wishing to address the Board. None were present. B. Consideration of minutes of the December 15, 2014 meeting. Stephanie Blanck made the motion to accept the minutes of the December 15, 2014 Meeting and Lois Case seconded the motion. The motion passed unanimously. C. Introduction of Dana Hendrix, Fine Arts Librarian Eric Lashley Lashley asked Hendrix to introduce herself to the board and the board introduced themselves to Hendrix. Hendrix worked for Southwestern University for over 20 years. She retired in January and it was her first day on the job at the Georgetown Public Library. Dana will be in charge of the art displays in the library, music programs, and will assist the Arts and Culture Board and Georgetown Art Works. D. Consideration of Library Director s report Eric Lashley Lashley reported circulation was slightly down for the month of December, but visitations were slightly up. Lashley noted that the library currently has a backlog of materials waiting to be cataloged due to a backlog at Ingram, Inc., the library s primary book vendor. Lashley reviewed the library s monthly statistics with the board. Bookmobile circulation was steady with 2,697 checkouts. Lashley noted that Michele Harber will be extending the Sun City stop by an additional half hour. Lashley reported that the library replaced 12 public computers with 12 brand new ones. These new computers should resolve the issues some of our patrons were experiencing with our older computers. Kalena Powell was hired as the new volunteer coordinator. Chair Linda Nix served on the interview panel and has volunteered to assist Kalena train new volunteers. Lashley reported that the library received two public information requests to view security camera footage. One request was regarding an act of vandalism. The other regarded the alleged violation of testing procedures during a proctored exam by library staff. Lashley followed the city s protocol on open records requests to ensure the footage could be viewed by those who requested the information. Nix reported that she was invited to attend January s Friends of the Library board meeting. She reported that the Friends were very organized and doing very well financially.

5 Lashley stated that the library would host a Harry Potter event on January 24, a Stuffed Animal Sleepover on February 6-7, and a Zombie Boot camp on February 7. He also announced that the Art Center would have a special photo exhibit of the Kumbh Mela festival in India, the largest human gathering on the planet starting January 30. Lashley read the patron comments for the month of December. E. Consideration and possible action to approve the amended board bylaws in accordance with the revised Code of Ordinances. - Eric Lashley Lashley explained the small changes to the bylaws. Stephanie Blanck made the motion to accept the changes to the bylaws and Pete Rose seconded the motion. The motion passed unanimously. F. Report on staff training in February. Eric Lashley Lashley reported that the library will be closed on Friday, February 27 for staff training. The training will be facilitated by Ron Swain. Staff members will identify core values, a mission statement, and will work on the Fine Print statement for customer service. G. Report on new parking lot design. Eric Lashley Lashley showed the engineering drawings for the new parking lot. The new parking lot will add an additional 149 spaces to the library s parking. The City hopes that half of the lot will be done before the Red Poppy Festival in April and that the other half will be completed by June. H. Report on plans for the library s 50 th anniversary year of celebration. Eric Lashley Lashley reported that the library has a committee to plan events and activities leading up the library s 50 th birthday. The celebrations will begin March 2015 and end with a gala in March 2016 the 50 th anniversary of the library. Lashley asked if any members wished to serve on the committee and Nix volunteered. I. Consideration of dates of future Board meetings. Eric Lashley There was no need to change the date of February s regularly scheduled meeting. 7 DIRECTOR S MONTHLY REPORT GEORGETOWN PUBLIC LIBRARY FEBRUARY 2015 HIGHLIGHTS The library was closed January 19 for Martin Luther King Jr. Day. The University of Mary Hardin- Baylor s Flute Choir provided live music on January 18, The Waterloo Watercolor Group displayed their art in the library s galleries during January and offered patron s the chance to vote for their favorite piece. The favorite artist was given a People s Choice Award. Sally M. and Bethni King attended a conference in Chicago for ALA (American Library Association) January 30- February 2. Eric attended a conference in Austin on January 28 for the Texas Commission on the Arts: State of the Arts conference. Eric visited New Braunfels Public Library to assist in a staff training session on January 30. PATRON COMMENTS FOR JANUARY Patron comment: You should have a 5 minute parking for people just picking up items on reserve. The lack of parking is very frustrating. I tried to come 2 days in a row and couldn t find parking. This is especially difficult because I have an infant that I have to load into the car. We miss out on awesome things like storytime regularly because of no parking. We love the library but parking is a frustration. 2. Patron comment: Make bookmarks. 3. Patron comment: Several times I have stood at this counter while several employees looked at me but did not say a word to me and continued to talk amongst themselves. 4. Patron comment: Alert The last thing kids need to be doing in a library is playing games on a computer. They get more than enough of that without the library s help! 5. Patron comment: Wonderful library!! Love coming here. 6. Patron comment: Check-out receipts are hard to read. 7. Patron comment: Please consider extending check-out time for new releases books. For those of us with lives, a week is not always long enough to finish a book. Thanks! 8. Patron comment: Please get more Jackie Collins audiobooks. My aunt can t read anymore and she loves them. Please get Boardwalk Empire on DVD.

In March 2015 the library will kick off a year long celebration leading up to the library's 50th birthday. The 50th Anniversary Committee will coordinate all of these events.
