BOARD OF TRUSTEES MINUTES APPROVAL Approve the Library Board of Trustees meeting minutes of January 23, FINANCIAL REPORT Approve the Financial Reports for the month of January GIFTS Accept gifts received by the San Mateo Public Library during the month of January PUBLIC COMMENT Persons wishing to comment on any item not appearing on the agenda may submit to the Executive Assistant a Request to Speak form. State law prevents the Board from taking action on any matter not on this agenda. Comments may be referred to staff for further review. Persons speaking will not have their name recorded in the minutes. COMMUNICATIONS 4. UPDATE ON THE RECRUITMENT TO FILL THE VACANT SEATS ON LIBRARY BOARD City Librarian Ben Ocón will share an update from the City Clerk s office on the recruitment to fill the vacant seats on the Library Board. 5. DAY IN THE DISTRICT VISITS TO STATE LEGISLATORS, MARCH 17, 2017 The Peninsula Library System has announced that the 2017 Day in the District visits to the offices of Senator Jerry Hill and Assemblymember Kevin Mullin have been scheduled for Friday, March 17, FLAG CEREMONY AT CITY COUNCIL MEETING, APRIL 3, 2017 The City Clerk s office has scheduled the Library department to lead the Flag Ceremony at the April 3 rd City Council meeting in observance of the 2017 National Library Week (Apr. 9-15). 2 NEW BUSINESS 7. SIGN-UP SHEETS AT BOARDS & COMMISSION MEETINGS Executive Assistant Dena Gomez will relay a clarification from the City Clerk s office regarding Government Code (State of California) that pertains to the use of sign-up sheets at Boards and Commissions meetings. 8. ENHANCING AVAILABILITY OF PARKING IN MAIN LIBRARY S GARAGE City Librarian Ben Ocón and Management Analyst II Jan Busa will present information on the effort to enhance the availability of parking in the Main Library s garage. 9. REPORT FROM THE COLLABORATION COMMITTEE Library Board members Elizabeth De Winter and Don Hill will present a report from the Collaboration Committee. 10. REPORT ON MISCELLANEOUS REQUESTS FOR INFORMATION Mr. Ocón and Ms. Busa will share information that was requested by Board members at the January 23 rd meeting: Progress report on the 3 Bees Café service in the Main Library; attendance at the Fall Prevention Workshop (2/8); and attendance at AARP tax assistance sessions during the first month. 11. COLLABORATION WITH SENIOR COMMISSION Library Board member Don Hill will lead a discussion on his proposal that the Library collaborate with the City s Senior Commission as part of the effort to promote and enhance the Library s services to seniors. 11 STATE OF CALIFORNIA GOVERNMENT CODE A member of the public shall not be required, as a condition to attendance at a meeting of a legislative body of a local agency, to register his or her name, to provide other information, to complete a questionnaire, or otherwise to fulfill any condition precedent to his or her attendance. If an attendance list, register, questionnaire, or other similar document is posted at or near the entrance to the room where the meeting is to be held, or is circulated to the persons present during the meeting, it shall state clearly that the signing, registering, or completion of the document is voluntary, and that all persons may attend the meeting regardless of whether a person signs, registers, or completes the document. 13 Agenda Item, No. 11 [submitted by Don Hill] Discussion Proposal for San Mateo Library Board Meeting Monday, February 27, 2017 Monika Lee (San Mateo Senior Commission) and Don Hill (San Mateo Library Board) believe there is a strong possibility that the San Mateo Senior Commission, the San Mateo Library Board, and the San Mateo Public Library Foundation, might enhance the life of seniors in San Mateo by exploring ways to work together. We ask that the Library Board discuss the potential value of asking the existing Library Board/Library Foundation Collaboration Committee to change its focus to senior library service at their May meeting and invite the Senior Commission to select one or two member to join the existing Collaboration Committee.

14 City Librarian s Report February 2017 Appointment of New Deputy City Librarian James C. Moore has been selected to fill the Deputy City Librarian position following an extensive recruitment. James will provide leadership overseeing the Library s operations at the Main Library and the Hillsdale and Marina Branches. James brings a wide range of professional experience in librarianship and is currently serving as a Supervising Librarian at the Berkeley Public Library. Previous work experience includes service at the Multnomah County Library (Portland, OR), Portland Community College Library, Seattle Public Library and Vancouver (BC) Public Library. James holds a Master s degree in Library and Information Studies from the University of British Columbia (Vancouver BC, Canada); and a Bachelor of Arts degree in English Literature and Film Studies from Indiana University (Bloomington, IN). James will start in his new position on Monday, March 13. Space Modification Project The Library will be working with Jennifer Devlin-Herbert and the staff at EHDD Architecture to explore ways to modify space in the Main Library and the Branches for enhancing current services and to introduce new services. This effort is part of the Library s goal to refresh facilities and services at the 10 th anniversary milestone and in preparation for the next 10 years. As the architectural firm that designed the new Main Library and renovated the Branches, the EHDD team has forged a strong relationship with the Library through the years. The EHDD team s very good understanding of our facilities will be an effective vantage in the space modification project that will benefit the Library and San Mateo community through the next decade. More details will be forthcoming. AustenFest: Celebrating Jane Austen s Life & Times The Library will host AustenFest, a celebration of Jane Austen s life and times on Saturday, March 25 th. This special event is jointly sponsored by the Jane Austen Society of North America (Northern California Region) and the San Mateo Public Library. A display by the Jane Austen Society will also be featured in the 2 nd floor display case (3/4-4/29). Frances Bohannon Nelson Children s Author Program Annie Barrows has been selected as the featured author for the 2017 Frances Bohannon Nelson Children s Author Program that is scheduled for Tuesday, May 9 th. Ms. Barrows is a New York Times bestselling the author of the popular Ivy and Bean series of children s books. The program honors the legacy of Frances Bohannon Nelson ( ) former CEO of the Bohannon Development Company and longtime supporter of the San Mateo Public Library. In addition to the author program, local elementary school students will be invited for special presentations by the author. This legacy program is made possible through funding support of the Bohannon Foundation and the San Mateo Public Library Foundation.

15 Stuffed Animal Sleepover Children are encouraged to join the fun at the first ever Stuffed Animal Sleepover in the Main Library. Attendees will be invited to come to a storytime and craft program with their favorite stuffed animal at 4:00 pm on Friday, March 24th. Stuffed animals will then be left in the care of the Children s librarians for some fun overnight adventures. Children will return to the library at 10:00 am on Saturday, March 25 th, to collect their stuffed animal and view a special photo album that will depict the delightful adventures of their stuffed animals. Special thanks to Children s Librarian Alison Day who will coordinate this innovative program for children (and their stuffed animals!). Medicare Information--Health Insurance Counseling & Advocacy Program (HICAP) The Library will be partnering with Health Insurance Counseling and Advocacy Program (HICAP) to provide free counseling on Medicare benefits, rights and options, and other health insurance related information from the HICAP counseling services. HICAP is a state sponsored, volunteer supported program that provides free counseling by trained volunteer counselors who are registered by the California Department of Aging. Quarterly sessions will be scheduled this year; and the first counseling session is scheduled for March 23 rd in the Oak Room (7:00 pm). Calendar of Forthcoming Events Art Exhibit (1 st Flr.
