2 Total Volunteer Hours: (9 x 2.5 hours) Introductions 2.0 Declarations of Pecuniary Interest: None 3.0 Declaration of Quorum - Achieved 4.0 Presentation: Accessible Customer Service Training Glenn Thurston & Wendy Paradis Glenn Thurston, Acting Director of Human Resources Services and Wendy Paradis from OTEC, provided the Oshawa Accessibility Advisory Committee an update on the Accessible Customer Service Standard Training program, the layout of the training module and background information on OTEC, the vendor who has been selected to provide the City of Oshawa with the Train the Trainer two day seminar. Glenn Thurston stated that the City of Oshawa is currently assessing different vendors for the on-line training program. The Train the Trainer training program is scheduled to take place October 7 8, Staff who receive the Train the Trainer designation, will then deliver the program to city staff. Discussion took place with committee members to have the Oshawa Accessibility Committee provide feedback to the training module prior to city staff attending the training session MOTION Moved by Carol Moore Seconded by Derek Giberson I move to have made available to the OAAC the 3 hour presentation on Accessible Customer Service Training prior to the training session orientation to City Employees and leaderships training session CARRIED ACTION A draft Accessible Customer Service training booklet has been developed for outside Contractors, Agents and Volunteers. Lynda Lawson distributed the booklet to OAAC members and is requesting any feedback and/or comments be sent to her within the next few weeks, prior to the booklet going to print 5.0 Adoption of Minutes Moved by Mike Porto Seconded by Derek Giberson - CARRIED that the minutes from June 15, 2009 be accepted as written Moved by Gord Ryall Seconded by John Glover - CARRIED that the minutes from June 24, 2009 be accepted as written - CARRIED Page 2 of 7

3 Update Under New Business 6.0 June 15, 2009 minutes item accessible parking Went to Council September 5, TABLED Under New Business 6.0 June 15, 2009 minutes item Election Poll Percy Luther confirmed that the Oshawa Accessibility Committee will be involved in providing feedback for the 2010 Municipal Elections Poll The recent article in the Oshawa This week requesting feedback from the residence in Oshawa was an early request made by Council. 6.0 Previous Business 6.1 Genosha Redevelopment Adjudication Panel Council s directive was to set up a review committee with representation from staff and Council to provide resolve to the items where the Oshawa Accessibility Advisory Committee and Genosha Developments did not agree. The adjudication panel s accessibility plan for the Genosha Redevelopment was sent out to all Oshawa Accessibility Committee members as information. 6.2 Legislative Tool Kit Accessibility Tool Kit The Accessibility Tool kit document was circulated to all members for review and members were asked to bring any comments/ feedback to the September 21, 2009 meeting. MOTION Moved by Gord Ryall Seconded by Susan Bloxam Motion to accept the Legislative Tool Kit CARRIED 6.3 Facilitation Update Cyndie Sproul to report on this item in the Chair s report 7.0 Correspondence Accepted as information 8.0 Reports Coordinator s Report Lynda provided an update on the reports going to Committee and Council and indicated that her focus has been on the Customer Service Standard training program and working with All Staff Working Group on establishing a 2010 Accessibility Plan Page 3 of 7

4 Chair s Report Cyndie Sproul circulated a survey to all OAAC members who were to submit it to Helen Break. All volunteer committees, under the direction of Council will have a facilitation work shop to assist with policy, procedures and protocol on conducting a meeting. The interactive team building session with Oshawa Accessibility Members will take place October 6, 2009 in the Booby Orr Lounge It was asked of the members whether they would want this session to be attended by city staff or OAAC members only MOTION Moved by Carol Moore Seconded by Susan Bloxam To have facilitation October 6, 2009 with Helen Break, a city staff member, if deemed necessary another meeting afterwards with a representative from the Clerk s Department to answer questions that arise from the meeting with Helen Break - CARRIED Sub Committee Reports Municipal Services Committee Report Gord Ryall reported that two meetings were held July 8, 2009 and August 8, 2009 Quorum was not achieved at either meeting Discussion topics included Waste Receptacles, Waste Calendar, Recreational Equipment and Tether Rings in and around pool facilities Scott Pigden left the meeting at 8:49 Built Environment Committee Report Submitted by Lynda Lawson on behalf of Ken Patterson (Attachment -1) Motion moved by Carol Moore, Seconded by Mike Porto Move that the directive CM dated June 22,2009 as provided by City Council members be clarified for OAAC members as this seems to impact many person hours to comply CARRIED Transportation Committee Report No report was given Public Awareness and Education Committee Report PA & E meeting was held on September 21, 2009 Quorum was not achieved at this meeting. Chair Susie Boyle sends her regrets. OAAC Chair Cyndie Sproul provided a verbal update on the following items: The PA & E Committee discussed advertising/promotion of City Snow Removal program with Justin Bishop. Page 4 of 7

5 Lynda Lawson provided an update on hosting a display at the Oshawa Centre for Accessibility Awareness on September 23, 2009 and requested more volunteers are required from the Oshawa Accessibility Committee in order to run the event. Derek Giberson and Brian Simpson signed up to volunteer 9.0 New Business 9.1 Coburg Forum Motion moved by Susan Bloxam- Seconded by Mike Porto I move that Scott Pigden, Ken Patterson, Pat Grey plus one additional OAAC member be permitted to attend the Coburg Forum with ticket and transportation millage reimbursed CARRIED Carol Moore left the meeting at 8:57- No quorum 9.2 Social Events ( Attachment -2) Mike Porto submitted a recreational event from York Soaring Freedom s Wings as information Meeting adjourned at 9:10 p.m. Next Meeting: October 19, 2009 City Hall Committee Room 2 6:30 p.m. 9:00 p.m. Page 5 of 7

6 ATTACHMENT - 1 Built/Environment Chair Report to OACC Sept. Meeting, September 09 The committee has not been very active this past summer, as I for one have been having trouble getting around. We have completed only one bldg audit and that was on Sept. 16 th at The Legends center for a follow-up audit. We had a good turn out with 4 members presenting. Committee member, Mike Porto representing himself, had the Legends Centre designate lockers for accessible users. Thank you Michael. The committee gave Legends a design for appropriate signage. David Tuley from the city s Community Improvement Plan, at August B/E meeting told the B/E com. about an incentive plan for downtown businesses under the city s Façade Improvement Plan. David s department will be creating a brochure outlining the program and then pass it by the com. for review. Brad Rosnak from the city Parks Dept. presented the park/playgrounds and trail audit forms for the B/E com. to review. Brad took our revisions on the 2 forms and will provide a final working copy. The B/E com. was asked by City Council to consider reviewing temporary residential student housing around UOIT and Durham College. A majority of members agreed this seemed feasible but then reconsidered to put it to the main OAAC committee as a whole to ask city council for clarification of the role of the OAAC on temporary residential housing around UOIT and Durham College. Our Capital Projects at Lakeview Park are progressing well this summer but work proposed for the Tourist Information Centre and Rotary Pool is postponed until next year. B/E members were given the proposed Provincial Built Environment Standard by to review and comment on by Oct. 16 th. Presented by Ken Patterson, committee chairperson. 7 ATTACHMENT 2 Good morning OAAC numbers, I have finally been able to coordinate a recreational event for all of us to attend. I have found an organization which is called "Freedom's Wings Canada"; which brings the world of soaring to disabled persons by providing inspirational flights in gliders at no cost to participants. The Hon. David Onley Lieut. Governor of Ontario, has also taken an inspirational flight at the York soaring Toronto chapter alongside many other people with disabilities. This facility has shaded areas, picked up benches and barbecues available for our pleasure and use. Please select one of the following dates for our excursion. Sunday, September 20th or Sunday, September 27th. This organization can provide free transportation for members who require it especially those in wheelchairs or scooters Please indicate if you require this service.
