CALL TO ORDER Vice Chair Bruce Devitt called the meeting to order at 6:30 p.m. 2. LATE ITEMS There were four late agenda items under New Business. 6.(2) Military Update (3) Inclusion of Committees of Council/Increase Committee Membership (4) Camera Club Update 3. APPROVAL OF AGENDA Moved by Dino Fiorin, seconded by Bob McKie to approve the agenda as amended. 4. APPROVAL OF MINUTES OF SEPTEMBER 21, 2010 Moved by Celia Owen, seconded by Mayor Desjardins to approve the minutes of September 21, 2010.

OLD BUSINESS (1) Review of Projects Vice Chair Devitt advised that if projects need to be dealt with between meetings, sub committees can meet to address issues. He requested that if members have any concerns, to please contact him. The project list was reviewed and updates including tasks will be made directly on the master project list. 1. Centennial Book Sherri Robinson reported that 75% of the research has been done on the book. She recommended that the budget for the book be increased to $35,000. Vice Chair Devitt noted that funds will be reallocated to address the increase in the cost of the book. The goal for completion of the Book would be Buccaneer Days There could be a separate celebration for the launch of the book. Discussion took place regarding presale of the books and this will be addressed closer to the completion date. 2. Walkway Vice Chair Devitt distributed pictures of bricks that have already been engraved. He will be setting up a display at Archie Browning. He stressed the need for the group to be promoting the sale of the bricks and the walkway and encouraged members to distribute the posters. Another ad will be inserted into the Active Living Guide with the application form included. An ad will also be developed to promote the bricks for Christmas gifts for Mayor Desjardins advised that she had attended an Archivist s meeting here in Esquimalt and distributed paver applications to members of that group. She also advised that she distributed posters at UBCM in Whistler. She suggested approaching Port Alberni for She also noted that the AVICC conference is in Sidney next year and this would be a good place to promote the Centennial project. She suggested having posters and applications available for that conference. Vice Chair Devitt noted that 21 small bricks and 17 large bricks have been purchased so far. Dino Fiorin advised that he will talk to Doug Grant, Esquimalt Legion, and provide him with application forms. 3. September Gala Dino Fiorin noted that Scott Hartman, Director of Parks and Recreation advised that he would be willing to help with the event. Dino is working with the elementary schools regarding a team competition for the event. Graham Jackson suggested that Youth with a Mission may be able to set up tents in Bullen Park and organize a family event on that date.

World Town Crier Competition Mayor Desjardins noted that the Town Crier may have competition for an event in Staff will contact the Town Crier for further information and confirmation. 5. Pioneer Tea The suggestion was made that the Heritage Advisory Group may be able to coordinate the Pioneer Tea. 6. Art in the Village It was noted that Molly Newman is unable to coordinate Art in the Village. The suggestion was made to have Arts, Culture and Special Events organize the Art in the Village. 7. Calendar Copies of a draft calendar for 2012 were distributed. This is a tool to help members plan and organize for Members were requested to come forward with event dates they may be aware of for The calendar will be made available to the public when more information has been obtained. 8. Lighthouse Brewery Bob McKie reported that he has approached several outlets in Esquimalt and they have expressed an interest in selling the special malt. The shelf life of the malt is only three months, therefore the time period for sale is proposed to be from Buccaneer Days to the September Gala. He has also spoken to several businesses about providing prizes for naming the beer. The suggestion was made to advertise on the web site for naming the beer. It was noted that the criteria for the contest should be that the candidate is legal drinking age. Bob McKie will report back on costs and more details for the malt. 9. Centennial Coffee Vice Chair Devitt reported that he will be meeting with Serious Coffee regarding a Centennial Coffee. 10. Website Graham Jackson presented the website and how it links with the municipal website. It will be updated as more events and information becomes available. The contact for the website is Graham Jackson. He reported on an incident where a member of the public had contacted him through the website regarding an issue with a paver. He contacted Bruce Devitt and all was resolved. The contact on the website for Volunteers is Celia Owen. 11. Banners, Bookmarks, Vests - merchandising Sandy Rozon was congratulated on her great work with the banners. Bruce Devitt and Bob McKie volunteered to do a rough count of locations where banners could be placed. Input from Engineering and Public Works staff is also required in determining locations for banners. Discussion took place regarding printing up a Centennial bookmark which could be distributed to schools, libraries, and recreation centers. It was suggested to have the banner artwork for a bookmark.

4 Centennial Celebrations Select Committee Page 4 6. NEW BUSINESS Moved by Dino Fiorin, seconded by Sherri Robinson that 10,000 bookmarks be printed up. Vice Chair Devitt requested input from the group regarding what type of merchandise they would like to see. The suggestion was made to research prices for a Centennial Grocery bag. Discussion took place regarding vests. The suggestion was made to have the banner logo put on the vests. These could be sold to Committee members for identification and also to the public. The colour, style, etc. still need to be identified. Moved by Bob McKie, seconded by Celia Owen that 50 vests be ordered in various sizes. 12. Volunteers Celia Owen reported that no one has signed up on the website for volunteering yet. She does have a list of potential volunteers from Buccaneer Days that she will follow up with. The suggestion was made to attach numbers to projects to get a general idea of how many volunteers may be required for each. The suggestion was also made to approach the High School for their Cook s program. (1) Presentation to Esquimalt Council Vice Chair Devitt advised that he will be presenting an update to Council and encourage their support in preparations for the Centennial. The budget allocation and carryover of funds will also be presented to Council for their approval. Graham Jackson will also be attending to present the Centennial website. (2) Military Report Dino Fiorin advised that the Canadian Scottish Regiment will be commemorating their 100 th birthday in 2012 also. He reported that the Royal Canadian Artillery would like to put on a display towards the end of May (26 th ). He has spoken to Commander Hughes and invited him to attend the community meeting in February. He also noted that there may be several events such as Freedom of the City as the Canadian Armed Forces have Freedom of the City. He will provide contact information for these events. (3) Inclusion of Committees of Council/Increase in Committee Membership Mayor Desjardins suggested inviting representatives of the other committees of Council to the next Centennial meeting. An invitation will be extended to attend the meeting and to bring their ideas forward. The suggestion was also made to extend an invitation to the Base to participate in this group. An increase in membership would be beneficial in getting work done, include more volunteers. (4) Camera Club Update Lynda O Keefe advised that the club has a spring show at the Recreation Centre with an Esquimalt theme. She was involved with Esquimalt s 75 th birthday celebration where photos of Esquimalt were shown. She may be able to get a copy of that presentation and suggested compiling comparison photos for the 100 th birthday celebration. She requested that members let her know if they require Camera Club assistance.

5 Centennial Celebrations Select Committee Page 5 7. ROUNDTABLE Karol Sanderson suggested making a wine/champagne for the September Gala. She will look into it and report back to the group. The following suggestions were also made: Encourage creation of an Esquimalt Song; Paint a Centennial mural on Archie Browning Sports Centre. 8.
