2 Location: Livonia Civic Center Library SHARED AUTOMATION SYSTEM USERS GROUP (SASUG) JULY 28, 2016 DRAFT MINUTES Meeting called to order at 9:30 by Chair, Patty Braden Round of Introductions Approval of Agenda A motion to approve the agenda was made by Becky Willemsen (MDHT) and seconded by Joan Rogers (WATE). The motion passed unanimously. Approval of Minutes from June 23, 2016 Motion to approve minutes by Joan Rogers (WATE) Seconded by Becky Willemsen (MDHT) System Update Anne Neville TLN and SirsiDynix recently made some changes to the configuration of the Enterprise Catalog to improve searching. 1) The Standard MARC Map used for searching was changed to force searching to weight the MARC 245, subfield a, higher than other subfields in the MARC 245 field. This change improves search results for titles such as Wild: From Lost to Found on the Pacific Crest Trail, which previously as difficult to find due to the MARC 245 having subfields b and c populated (subtitle and author name). These additional subfields would cause the relevance ranking of the search for wild to be very poor. 2) The implementation of a stop word list. Currently the following words are not indexed and in most cases are ignored if present in the search terms: A,An, The 3) The implementation of Synonym lists to match some commonly used terms to alternate spellings or synonyms. For example: 1 st and First, Dr and Doctor, Your and You re 4) Tightening the fuzzy factor of the Enterprise Catalog. This change reduces the number of errant hits in a search by increasing the required relevance of search results to be included in a hit list. For Example: Previously when searching for Cribbage the resulting hit list would include hits for Cabbage, the change in fuzzy factor has helped to prevent odd results like these. Merging Hartland Records There are a number of Hartland records that were not able to be matched to an existing record in our database during their migration to the shared system. TLN cataloging staff merges these records to our existing records as we become aware of them. While there are a number of ways that library staff can report such records to TLN cataloging staff so that the records can be merged, the easiest way is to simply print
3 the Hartland record when you come across one in Enterprise and send it to the cataloging staff at TLN, indicating on it that the record should be merged. Or you can open a helpdesk ticket and provide us with the ISBN or Title Control number of the record to be merged and ask us to merge it. Holiday Closing Reminder TLN will be closed on Sunday, September 4, 2016 and Monday, September 5, 2016 for the Labor Day holiday. Shared system staff will use the holiday hours to rebuild the Headings index. This is one of the major indexes in the system and will require most of the 2 days to complete. Enterprise and WorkFlows will be unavailable for much of these 2 days while this maintenance work is completed. Technology Services Update Angie Michelini 1) Telecomm Update a. Redundant circuit will be installed by October 1. The cost of the circuit will be added to the Shared End Cost for the quarterly billing. The cost will come to $125/year or $32/quarter per library 2) Save the Date: a. VoIP presentation on September 20 (RingCentral, Office@Hand Solution) at Redford at 10:00 AM b. Technology Forum will be held Friday, September 30 at Bloomfield Township Public Library. Registration information will be sent out in early August. Report from the TLN Board Celia Morse Security Assessment Proposal approved and will take place in January of This addresses vulnerability in security. Update to bylaws (reducing term of Steering Committee from 3 to 2 years). Next meeting will be at Hartland Cromaine in August. Report from the Executive Committee Paul McCann Met on July 7 th and made appointment to the board. The RFP and Budget Committee are taking a closer looks at Polaris July 29 th deadline to commit to Melcat AV lending/borrowing Good response to ILS RFP committee; now they need to review proposal and budget August 3 rd deadline to submit nominations for group 1 and member at large Report from Circulation Committee None Unfinished Business Joan Rogers (WATE) reconsidered her stance on forming a committee to design a way for libraries to switch to library-specific borrower cards. Joan noted that each library is unique and suggested that each library do it on its own. Discussion followed noting that:
4 1) cards do serve a purpose, i.e., non-resident cards 2) Libraries should be encouraged to move to new barcode numbers for database validation new databases require it 3) TLN will provide a range of numbers for each library. Met.com will print new barcodes; or you can still order/use blue cards from TLN and simply have printed new barcodes on sheets (as many do now). 4) Anne Neville with put together a report regarding barcodes and present it to Ex- Comm. Joan Rogers (WATE) made a motion to rescind last month s motion regarding barcodes and Becky Willemsen seconded it. Motion passed. New Business Shared Automation System (SAS) Budget Budget Meeting began at 10:38 a.m. by Anne Neville. Anne noted that the new billing formula (75% per library, 25% per building) will be in effect. James Lenze (GARC) moved to accept budget, Sandy Ruhmann (ALPK) seconded motion: motion passed. BDBS budget presented to group by James Flury. Also noted new billing formula (see above). Ed Rutkowski (BRIT) moved to accept budget, Maryann Zurmuehlen (NOVI) seconded motion; motion passed. 10 TLN Youth Services Committee Meeting Minutes Friday, August 12, Township Public Library Call to Order at 9:34am. (1) Sara Fifield, (2) Fran Hotchkiss Agenda approved with addition by Ashley Lehman for call of suggestions for Performer Showcase. Minutes approved by Amanda Vorce and Trista Reno. State/Local Committee Updates None. TLN Updates Janna, TLN representative, brought TLN listserv and asked for corrections to be made. She also brought a book from local authors, Tracy Foster and Shannon Cooper-Toma, called Benson s Adventures in Michigan in case any libraries were interested in ordering it for their collection. Confirmed 2017 meetings. All representatives present and confirmed except for the Canton Township Library. Trista announced Sara Fifield (soon to be Hodgson) chair elect. Jessica as secretary. Discussion of performers for Performers Showcase. Speaker Shelley Harris did a presentation entitled Sensory Storytime 101: the Whys & Hows See attached sheets Discussion of summer reading experiences: Jody of Westland had some difficulties during the summer; had successful finale in a splash park. Charli of Oak Park great, good performers and participation up; a lot of success with a guessing jar of Legos. Sara Fifield of Wixom super great & super bad. Staffing changes; participation rate up, great performers and success with sensory programming. Amanda of Walled Lake enrollment doubled since last year. Trista of Commerce went rogue. Characters Welcome as theme; participation up, passive programming. A lot of success with an Elmo costume. Ashley of Ferndale participation doubled; success by partnering with parks & recreation dept. Elizabeth of Commerce same as Trista. Stephanie of Brighton A lot of success with national watermelon day program; live action Pac-man for teens/tweens; bouncing baby story time.

Sue Walton of Rochester Switched from Evanced to Read^2; after-hours camping program was a bust; ran out of first level prizes. Karen of Livonia Registration down, but participation up. Tonja and Fran of Brandon Township Instead of summer reading had a Community Reads Together competition; 37 th Year Hot Dog Talent Show was a success; programming was varied and successful. Cathy of Baldwin Participation was unpredictable; worked with Cranbrook; had a band conservatory. Tyler Lecture Wednesday, December 7, 10:00 AM Redford Township District Library Linked Data st Century Catalog Relevance John Richardson, Vice President of Business Development Zepheira What is linked data, BIBFRAME and search relevance Richardson will provide Primer on this and Zepheira s many projects under way Preparation material for both presentations can be accessed at: TLN Releases RFP for an ILS The process to review the current Integrated Library System (ILS) provided by SirsiDynix has started. With the ILS marketplace stabilizing over the past three years, TLN and the Executive Committee of the Shared Automation Services User Group have embarked on an ambitious path to test the ILS marketplace for consortia based services. Five vendors indicated an interest in responding to the RFP. Vendors have until the close of business on November 1, 2016 to submit full proposals. Amy Rosen from White Lake Township Library chairs the 20 member committee which will review all submittals starting on November 2. Celia Morse, assisted by Amy Rosen and Paul McCann, completed four focus group meetings with SASUG member staff. Over 78 staff attended. Follow up from all SASUG members has been solicited in the form of a questionnaire, due October 21. Finalists will each be invited to demonstrate their ILS solution during a 2 1/2 day demonstration, in February, hosted by the Redford Township District Library. Time has been set aside for up to three sessions of vendor demonstrations, two days for member review and ½ day for TLN staff. A link to the RFP is on the TLN home page.
