3 Shared Automation Systems Users Group January 28, 2010 Brighton District Library Demonstration of Polaris OPAC Carla Giorgi, Terry Morris Pierce County, Dallas Public Library and Maricopa County Library were used as examples in the demonstration. All three libraries use the full Polaris ILS. Polaris does not sell subsystems separately (Circulation, OPAC, Acquisitions, etc.), only the full ILS. Highlights include: Ability to integrate ChiliFresh, LibraryThing, & NoveList Spell-check Results screen shows local call number, copies available at local library and other libraries Patrons can create a username instead of using barcode Large-text version Browse search has FRBR-like labels Ability to save, print, and lists Lists can be formatted for bibliographies Searches can be narrowed by various fields (subject, publication date, etc.) Supports 115 languages Limit searches by format & collection Change account information button places block on user account so staff can verify when patron comes in Requests can be suspended and reactivated Fines/fees can be paid by credit card. Receipt ed. Patrons can store searches and reading history Currently in development: Ability to put holds on lists Mobile app The following website links to many Polaris customer OPACs: Libraries that have implemented a "basic" OPAC page: Black Gold, Brampton, CCM, Pinellas Libraries with some customizations: Lee County (font, wording/labels), Maricopa (they actually use Polaris as their website) Libraries with major customizations: Clinton-Macomb, Dallas, Pierce County Meeting called to order at 10:48 am by Chair, Ed Rutkowski (BRIT). Approval of Agenda Motion to approve agenda by Joan Rogers (WATE). Seconded by Ron Andrews (CHEL). Motion passed unanimously. Approval of Minutes from December 2009 Meeting Motion to approve minutes as printed by Amy Rosen (WHLK). Seconded by Celia Morse (BERK). Motion passed unanimously. System Update Anne Neville All shared system libraries, except one, are live on MelCat. The remaining libraries went live December 23. SirsiDynix is no longer supporting the Normative Data Project. Ed Rutkowski and Anne Neville will be attending the COSUGI conference in Florida.
4 Multiple tags can now be used for searching in LibraryThing for Libraries. Tags should be separated by commas. Anne received an from the salesman about a shelf browser that has book covers you can scroll through and a mobile application that can be used with the iphone & Android. The SirsiDynix mobile application was just released. The shared system would need to be upgraded to Symphony 3.3 and the catalog would need to be Revision D. The Shared System should be moving to Symphony this year. Symphony will have separate entries for first, last, and middle name. Report from the Executive Committee Martin Smith TLN Board proposed that the IT audit be revisited. They will pay first $1000 and the Shared System would pick up the balance. Estimated figure should be around $2500 total. Ex-Comm will be voting on the Did You Mean/Spellcheck feature at the next meeting. The cost was $4875 for the first year. The BDBS cleanup project had a 50% match rate, which was lower than expected. The match criteria will be loosened and run again. There was discussion about whether to schedule a demo of AquaBrowser. At the meeting, Anne Neville had brought up whether the Shared System should send her and Ed Rutkowski to COSUGI. Ex-Comm decided it was important to send them. Report from the TLN Board Meeting Celia Morse The Board met last week and received news that Co-op Plan revision has passed so there are written protections in place for the Shared System. Most recent statement for capital reserve showed $798,976. TLN received their state aid check on Monday. Report from Circulation Services Committee Becky Willemsen Several libraries are changing to 1-year renewal for library cards. There is a new listserv for RFID discussion. The committee discussed the duties of pages at various libraries. If a barcode is misread and displays that it is in transit to another library, please let that library know so they can delete the item. Report from Technical Services Committee Vanessa Morris Jim Flury reported that the transition within BDBS and other areas of TLN is going very well. BDBS is keeping up with the work that comes in on a daily basis. Subfield Z training has now been completed. Royal Oak Township was the last library to take the training. It was decided by the Committee that Encyclopedias should be added as a category to the Subfield Z Quick Guide. Spacing errors are causing some of the problems with Subfield z use. Extra care should be used to make sure that spacing is correct. Subfield Z training will be included in future linking classes.
5 Janna Williamson is still planning to implement a WebCam tutorial of the Subfield z training. The issue of brief records creation and deletion was discussed. Online documentation was updated last summer, and remains an ongoing process. Procedures for periodicals deletion are on page 55 of the serials manual. MelCat items should be checked out to the DISCARD user. If items are not deleted fast enough, contact Brigette Felix. Brief record training could possibly be included in future Linking classes. Anne Neville noted that the current recon project may not eliminate as many brief records as expected, because many of the records can t be matched. Purchase of additional vendor records is being considered as well. Jim Flury and Janna Williamson will review the vendor samples and make recommendations to the Committee for the purchase of additional vendor records Meeting Locations Locations are still needed for the June and July meetings. Proposal to implement patron cash accounts NOVI Motion to accept Novi s proposal of implementing patron cash accounts by Joan Rogers (WATE). Seconded by Sheryl Schumacher (WALL). Motion passed unanimously. Anne Neville will set up policies. Libraries can opt in or out. Discussion of OPAC demos There will not be a demo for MLC s Evergreen. The LibraryThing for Libraries subscription expires in September or October. For SirsiDynix Enterprise, the Shared System would need the Symphony & ibistro upgrades complete. Ed Rutkowski will try to schedule a demo of AquaBrowser. Motion to adjourn at 11:46 am by Heather Sturm (MANC). Seconded by Wendy Teagan (NOVI). Motion passed unanimously.
