1 February 10, 2017 Morgan Elementary PTO News of the Week: Box Tops: Thanks to everyone who came out and went ice skating on Monday night! It was a great turn-out and, unlike last year, was not the coldest night of the year. We hope you enjoyed yourselves and your family and Morgan community time. Please make sure to pay close attention to this week s newsletter, as there is a lot of information included, regarding the minutes from the last meeting, family night out, PTO officer positions are all open for the school year, nomination forms, and treasurer information. deadline is today, February 10 Check your expiration dates, mount the regular Box Tops in groups of 10 or 50, send them in to your child s classroom for money Remember that BONUS BOX TOPS should not be mounted. 4 MINUTES Morgan Township Elementary PTO Minutes February 2, 2017 The meeting was called to order by Tammy Cox at 6:05 pm In attendance See Roll Call Approval of Minutes The minutes were read from the November 10, 2016, meeting and approved. Budget The budget was reviewed and new procedures for handling PTO funds were discussed. See the attached Count and Deposit Procedures sheet for more details. The Money Count Worksheet mentioned in the Count and Deposit Procedures is also attached as is the new Reimbursement Request form. All of these documents were distributed at the meeting. Cash boxes have been set up and are being stored in the elementary office. Please see the principal to check out a cash box for your event. New Business For class parties, the nurse will no longer be checking the ingredient list for snacks. A packet was handed out with suggestions for treats and that packet will be given to the room moms. The nurse is still willing to answer questions about snacks but will not be responsible for clearing treats and having a change made after the fact. The spring party is March 17 even though spring break is not until March 27. There was an error on the school calendar but we are leaving the party as is. Barracuda Intruder Defense System A parent ed Tammy asking if this is something PTO would consider purchasing for the classrooms. Mrs. Niebel stated that Porter County is rolling out a new protocol that will be for all schools in the county and that this is not part of the new protocol that we will be seeing. Lotus Reach Penny Rubarts is going to see if we could have a drop off on Saturday, March 18. This is not a day that Lotus Reach is open but maybe they could have someone meet us so that we don t have to store things. Lotus Reach askes that the clothes (for any age) be freshly laundered and gently used. She is going to find out if toys are accepted. Kimberlee Remer mentioned a group in Lake County that takes toys for foster children. This may be another avenue to pursue. Committee Reports Scholastic Book Fair The January Book fair was a success. We are changing the way Scholastic Dollars are distributed to teachers. In the past, they were given an amount to spend online but the items offered online are more expensive and not necessarily items the teachers want. Each teacher and the librarian were given $50 in scholastic dollars to spend at the book fair. Teachers will be given money to spend at each fair so that libraries can be kept current. Book sets are needed for classwork and we are checking in to being able to order them from the fair and have them delivered but paid for with the Scholastic Dollars.

5 Ice Cream Social Due to the size of the event in May, PTO has decided not to serve ice cream on May 4 but we are going to see if Culver s will do a family night for us. That way families can go to Culver s before or after the STEAM show. Daddy Daughter/Mother Son Night This year was a huge success. For next year, we need to remember to play a song and tell the dads to dance with their daughters. There are already raffle gifts for next year. We raised $1,403 from the raffle this year. For next year, make last call for the raffle at 7:15 pm. Close the raffle by 7:25 at the latest so the tickets can be pulled. It worked better to have the numbers read in the gym and cafeteria at the same time by different people. Due to the number of baskets we had this year (40) we should have started reading numbers at 7:30 so people could be done by 7:45. The boy s side thought the budget was too low. This will be reviewed at the summer budget meeting. Family Night Out March will be at Buffalo Wild Wings on a Monday Field Day Mrs. Schumacher has asked for a committee of parents who would help with the planning of field day. Contact Mrs. Schumacher if you are interested in helping. All School Picnic Birky s will be feeding us on Field day at the all school picnic. Tammy Cox spoke with Chris Birky about also serving hot dogs with the pork burgers. Board Positions A nomination sheet was handed out at the meeting and it lists the four board positions, a job description, and an estimated time commitment. All four positions are available in May. Box Tops The fall distribution has been done. We will also be sending out a distribution for the Box Tops collected last May. The collection is due Friday, February 10. Next Meeting Thursday, March 9, 2017 from 6-7 pm in the Large Group Room Motion to adjourn was made at 7:15 pm and was passed unanimously.

6 Nominations and Elections for Elections will be held at the PTO Meeting on Thursday, May 11, 2017 at 6:00 pm in the Large Group Room. If you are interested in running for a PTO Elected Officer position, please list your name and contact information and return this form to the Elementary office by Thursday, May 4, Elected Officers Nominee Name Contact Information President Vice President Secretary Treasurer Teacher Rep Elected Officer Job Descriptions President Serve as leader and key contact for the PTO; preside at all PTO meetings; appoint chairpersons for special committees; coordinate the work of the officers and committees so that the PTO s objectives can be met. EFFORT: year-round, on-going Vice President Act as an aide to the President; perform the duties of the President in the absence or inability of that officer to serve; coordinate the general activities of any Special Committees created by the Executive Board. EFFORT: year-round, time varies depending upon roles Secretary Keep the minutes of all general meetings and all meetings of the Executive Board; perform all other duties assigned. EFFORT: 3-4 hours every other month this includes attending the meetings and typing up the minutes Treasurer Be responsible for and have custody of all funds; make disbursements as properly authorized; be present at all PTO events where money will be collected; prepare financial reports for each meeting and as needed EFFORT: 4-5 hours per month on average Teacher Representative Teachers representing the best interest of the students

7 Morgan Township Elementary PTO Count and Deposit Procedures ALL MONEY STAYS AT THE SCHOOL IN THE RECORDS ROOM UNTIL THE DEPOSIT CAN BE MADE. Items needed before you start handing the money: Money Count Worksheet, bank deposit slip, calculator with paper roll (in the PTO cabinet), deposit only stamper, pen Chairperson of event counts the money first. Either the principal, elementary secretary, board member, or another chairperson event volunteer should recount the money. See who is in the building and available. How to handle checks: Copy all checks (4 to a page) and run a tape on the calculator. Tape needs to go with the deposit to the bank. Write the total amount of the checks on the Money Count Worksheet. Stamp the back of each check with DEPOSIT ONLY STAMPER. How to handle cash: Count cash and coin writing the total of each denomination on the Money Count Worksheet. Check total balance against quantity sold, book fair report, raffle tickets, etc. Counter #2 recounts all checks and currency verifying the amounts on the Money Count Worksheet as they go. Both Counters need to sign the Money Count Worksheet. Once both counts balance: Complete the bank deposit ticket. The Morgan Township PTO account number is ; date the slip, and add the coin, cash, and checks. As long a calculator tape of checks is with the deposit, there is no need to write all of the checks down. However, if there is only one or two checks, list those on the bank deposit slip. Make sure you sign the deposit slip. Who needs this information? Make 2 copies of the Money Count Worksheet and deposit ticket. o Give the original to the Treasurer o The first copy is for the PTO President (there is a folder in the PTO mailbox for these papers) o The second copy is for the Event Coordinator Take the deposit to Centier Bank on LaPorte Ave in the Centier Money Bag Checklist: 1. Count checks and currency (& stamp checks) 2. double count checks and currency 3. fill out Money Count Worksheet 4. make out bank deposit slip (include calculator check tape) 5. make copies of checks, worksheet, deposit slip 6. take deposit to Centier bank 7. make copy of bank deposit from the bank 8. distribute copies to appropriate persons and keep a copy for event records
