Seconded by: Brian THAT the Agenda for the May 11, 2017 meeting of the Brockville Railway Tunnel Committee be approved as amended. CHAIR'S REMARKS Dave told how at an event in Ottawa he had tried a "Virtual Reality" Booth. In this booth he got to drive a steam engine and gone to Vimy Ridge. Dave thought it might be a good revenue stream for the tunnel if they could purchase and operate one. Page 1 of 6 Page 3 of 8

4 Jack will take this idea to the next Rails and Trails meeting to see if they would be interested in renting one for the weekend. NEW BUSINESS ARISING FROM THE MINUTES DELEGATIONS/PRESENTATIONS CORRESPONDENCE & COMMUNICATIONS 1. BBC Documentary Dave stated they are waiting to hear back from these people Islands Triathalon Conal received an from this group asking if they could use the tunnel as part of their route during this August s triathlon. The committee thought this was a great idea. STAFF REPORTS Page 2 of 6 Page 4 of 8

5 SUB-COMMITTEE AND MEMBER REPORTS/PROJECT UPDATES 1. Construction Update - Conal Conal confirmed that the masonry is 99 percent complete. All they have to work on is the plugs on the south facing portal. He added that Ford Electric is making great progress and that they were hoping to start pouring concrete this week. Conal said the lights have been delivered and they are all in storage at the GWMC. Conal stated that they asked four companies to bid on the rock bolting and only one bid was received. Therefore the rock bolting will be done by Marathon Drilling from Ottawa. Conal shared that they were very excited about the project after they saw the tunnel. He added that they expect to be done in 10 days at the most. Conal stated that Mark Jones and Ford Electric are working out a schedule so Mark can get back in the gorge to complete the work on the trees. The stumps need to be cut down and treated so they will be unable to grow. Conal met with Jay Buckland regarding the hydro seeding. He was offered two prices; one with standard mulch and the second was a bit more for bonded fibre matrix that is meant for slopes. He is working out a schedule with Ford Electric as well. Regarding Phase 2, Conal said the architects will have something for the committee to look at soon. He added that the date for the public meeting will be June 12, 2017 and it will held at the Brockville Memorial Centre. Moved by: Linda Seconded by: James THAT the Committee approves the bid by Marathon Drilling at a maximum cost of $216,000. 6 2. Rotary Train Dave confirmed that they have found the train they want, but it is too costly. They have three options; they could locate an operator that could chip in the balance, they could attempt to raise an additional $30,000 or get an operating loan after they can show revenue. Dave stated that Sandi MacDonald the City Clerk is looking into insurance and requirements for by-laws in order that the train may travel on the streets. Also the train will not be up and running for this year. Dave said he has two operators interested and he is just waiting to see their business plans. 3. Fundraising Linda excitedly announced that they had just received $100,000 from Burnbrae Farms. She added that they have some new members being added to the Fundraising Committee. Linda said that the committee is looking at other ways to raise money. Two ideas put forward were "Cocktails in the Tunnel" and "Sneak Peeks" in the tunnel for a fee. Linda noted that they need to have temporary signage for the donors put up as the permanent signs won't be ready in time. PUBLIC RELATIONS 1. Marketing Update Philips Signage Opening Philips is working a case study folder that will be created and they will be providing some money to help with the cost of a paper insert. Conal said that Gordon Signs has been selected and are drafting two construction type signs. He added that Henderson Printing was the successful bidder and will be doing the way finding signs. 7 Jack stated that everything for the parade is going well. Jack suggested that the committee needs to enter a float, and that Dave Sheridan has offered to help. Jack said that Carol Palko is organizing the entries. 2. Merchandising Jack described his idea of having merchandise to sell at the opening. He added that he had pitched it to the Tourism office but they showed very little interest. They did however come back with a proposal to increase their budget by $2,000 and order some t-shirts, although they would keep the revenue. Jack stated the City is not really that keen on getting into the retail business. The types of gear offered for sale were discussed. Moved by: Jack Seconded by: Keith THAT the BRTC take on the project of selling a certain amount of merchandise NEW BUSINESS 1. Concrete Stamping The idea of stamping the concrete and staining it so it resembles train tracks was discussed. Moved by: Brian Seconded by: Doug S. THAT 100 feet of concrete stamping be completed at the south end of the tunnel at a cost of $14, Group Photo No photo was taken as most members forgot to wear their tunnel shirts. 8 3. Smith Falls Museum - Irish Visitor Tour The committee has been contacted someone at the Smith Falls Railway Museum and they have a group of visitors coming from Ireland. They were wondering if sometime in early July this group of people could have a tour of the tunnel. The committee was agreeable but this would be contingent on when the contractors are not working in the tunnel, likely later on a Friday afternoon would work best. Conal will speak to Dave Bouwers at Ford Electric.
