Motion to accept report by Boswell, supported by Bartz. Treasurer Report Written report was prepared and presented by Rennee Flynn. It is hard to compare year to year until the end of the school year. We ve already paid for the piano rental for solo ensemble - earlier than last year. Want to expand the position into two people and have more online payment options. Motion to accept report by Bartz, supported by Keck. Vice President s Reports: Marching Band Report Written report was prepared and presented by Dan Stout. It is information for the 2018 even though it says 2017 at the top. Motion to accept report by Kozian, supported by Chabitch. Thank you Dan for stepping into this position this year!

2 String Report - No Solo & Ensemble Report Written report was prepared and presented by Eliot Gitelman. This report is already outdated because he has already started to receive scratches. There are two rooms with piano performers. Anyone who is in section 3 will be playing on the accompanist piano. A map on how to get to Mendon JR/HS will be sent out as well a map of the site. No marimba will be available at Mendon unless someone can provide one. Motion to accept report by Chabitch, supported by Stout. Band & Orchestra Report Written report was prepared and presented by Michele Chabitch. 94 Total groups went to festival this year. 31 groups were on weekend one and 63 were on weekend two. We have a problem in our district being able to equalize this. With the weekends back to back next year we will potentially have the opportunity to equal the weekends out. Being able to equal this out will be able to lower cost for judges and hotels. Michele has already started to receive request for host for next year. Plaques should arrive mid-may. If you have not received them by then contact Michele to let her contact the company. Motion to accept report by Rosier, supported by Zerban. Thank you Michele for doing such a great job and making it look so easy! Why are we going to back to back weekends? This will allow us to have more equity on scheduling and not have a large gap between the weekends. Judges need a break after 4 bands their brains start getting fuzzy and fried. Mattawan ran into a issue at their site - Orchestra directors didn t feel that they were adequate feedback and comments from the judges. Wondering if there would be able to bring in more orchestra judges somehow. Information from Bill s face. This could be possible if we chose one day for the orchestras only if we had one day set aside for them. Thank you Mattawan for putting Orchestras on the ground floor! Are the recording judges are required to put notes on every page? The pages should not be blank they should be writing even if they are the recording judge. Adjudicator Report Report presented by Patrick Flynn. May 1st is the day that Pat can send his official letters to the judges.

3 If you have any suggestions for judges for orchestra or solo ensemble get them to Pat so he can get them out. Motion to accept report by Bartz, supported by Kozian. Committee Reports: Technology Report - Bill The calendar is updated through the year for the next school year. Motion to accept report by Stout, supported by Keck. Festival Improvement Committee Report Written report was prepared by Aaron Mirakovitz Report stood as written. Motion to accept report by Chabitch, supported by Keck. Middle School Honor Band Report Written report was prepared and presented by Cindy Zerban. There is a potential for an afternoon sectional being scheduled into the day. Motion to accept report by Keck, supported by P. Flynn. President s Report: President s Report Written report was prepared and presented by Bryan VanToll. At the top where it says MME it should say MMC. Motion to accept report by Keck, supported by Zerban. Old Business: Commission Project Update Report prepared by Beth Jonker and presented by Bryan VanToll. Waiting until we know all the details for the money. Potentially allowing the board to make the final decision over the summer if that is okay with the membership.

4 Are we accruing money? We are not - our money is starting to decrease. We have a good cushion - but we are trending downwards. Could we explore other composers who may not cost as much money. What is worse case scenario for our rainy day fund? It is just that expenses are going up. Maybe split the commission and clinician into two separate funds. This district has been in the red before - we want to make sure that we are being fiscally responsible. Would it be worthwhile to continue to investigate and postpone it for another year. Ben Rosier makes the motion to table this discussion until we explore other opportunities for composers and fiscal options. Supported by Bartz. Motion. Bartz will reach out to Beth to assist. Anyone who wants to join the committee should reach out to the Beth! She would love to have you on board. Anyone with any ideas of exploration should discuss them with Beth. New Business: Rennee Flynn makes the motion that we add an additional treasurer position to our board alternative years that they are elected by the general membership. Second by Michele Chabitch. Motion Passes. Rennee would stay on for another year with the new treasure and then someone will officially be replaced at the end of next year. The new position will be called co-treasurer. Anna will look over the bi-laws to be voted on by the membership pending voting on at the fall meeting. Dan Stout makes the motion to the 20/21 year that the marching band calendar date be moved to Wednesday, October 13 and 20. Seconded by Boswell. Motion passes. Kozian motions for Bryan to bring to the spring executive board to reinstate the adjudicators conference at the District and State Band/Orchestra Festivals. Seconded by Michele Chabitch.
