2 Colonial Square Homes, Inc. February 12, 2015 Board Meeting -newsletter minutes- Richard Gibson, president, called the meeting to order at 6:15pm. Also present were Leslie LaMarche, vice president; Debra Capps, treasurer; Mark Shoffner, secretary; Crystal Keeton, on-site manager; Cliff Abel, maintenance supervisor; Dudley Leonard, cooperative attorney; and Lisa Gamble, managing agent with Keli Management. Crystal gave the office report to the board. Six units have been sold, four move-ins are scheduled through the end of April, four units are co-op owned, two applications are in process, one application is scheduled for next week, one rental is open, and two units are awaiting improvement figures. Cliff asked that the new rules include wording that requires a member to use a licensed electrician for any new electrical installations. The board approved the following addition to Section - R - Improvements to Units or Grounds, Paragraph 1: The installation of any additional wiring, outlets, junction boxes, etc. must be performed by a licensed electrician. Cliff also discussed an improvement furnace in a vacant unit. Orientation began at 6:30pm. Three new households attended. Open Session Richard opened the meeting at 7:14pm with a moment of silence. Crystal gave the office and pet reports. There were two new waiting list applicants, one intent to vacate, one move-out and three move-ins. There were 24 statement of charges due, 15 statements of credit, no new charge statements, 20 defaults, and no attorney referrals. Reuben Noodle Casserole Ingredients 5 cups uncooked egg noodles 2 cans (14 ounces each) sauerkraut, rinsed and well drained 2 cans (10-3/4 ounces each) condensed cream of chicken soup, undiluted 3/4 cup milk 1/2 cup chopped onion 3 tablespoons prepared mustard 3/4 pound sliced deli corned beef, chopped 2 cups (8 ounces) shredded Swiss cheese 2 slices day-old light rye bread 2 tablespoons butter, melted Directions 1. Cook noodles according to package directions. Meanwhile, in a large bowl, combine the sauerkraut, soup, milk, onion and mustard. 2. Drain noodles; stir into sauerkraut mixture. Transfer to a greased 13-in. x 9-in. baking dish. Sprinkle with corned beef and cheese. 3. Place bread in a food processor; cover and process until mixture resembles coarse crumbs. Toss crumbs with butter; sprinkle over casserole. 4. Bake, uncovered, at 350 for minutes or until bubbly. Yield: 5 servings. Page 15

Vacation Notice If you are planning to be gone for a few days or longer and would like the maintenance staff to check on your unit please complete this form and turn it in to the office. We highly recommend this as a water leak can cause a lot of damage in a short amount of time. Cliff gave the maintenance, house and grounds and parking reports. There were 188 work orders completed, three move-ins, one move-out and one preliminary move-out inspection. Maintenance currently has 12 units to rehab and one is complete. One move-in is scheduled for February, two for March and two for April if the weather holds. For house and grounds, maintenance tagged one unit in tract A and one in tract B. A total of 8 parking violators were tagged in tract B. Lisa reported the balance in the reserves to be approximately $530,000. Name: Address: Time frame of vacation: Leaving Returning Steve Jones with Metro Public Safety gave the crime report to the board. A member asked who trimmed the trees. Richard said it was Google Fiber. A member reported her tub/shower and her bathroom countertop need attention. Richard indicated that in the next four years, Colonial Square would be addressing those areas. The member requested attention to her bathroom before then. She also expressed her dissatisfaction with the sump pump in her basement. The open session ended at 7:40pm. The minutes of the January 8, 2015, board meeting were approved as read. The budget meeting date was changed to March 6, 9:00am. Cliff and Crystal were dismissed at 8:50pm. 4 Colonial Square 2015 Activities Committee There will be NO Activities meeting in the month of March. There will not be an Easter Egg Hunt this year due to the lack of volunteers. 5 ATTENTION MEMBERS: The Annual Board of Directors Meeting will be held on June 11, 2015 at 7PM. Policy and Procedures for Candidates Running for the Board of Directors 1. Members running for the Board of Directors who wish to have their resume in the Town Crier must file it with the on-site manager by March 20, Resumes must be camera ready (printed or typed on white paper). 2. Candidates may campaign in any manner they choose, i.e., door to door, fliers, etc. 3. Campaigning is not allowed in the clubroom building the evening of the Annual Meeting. All candidates will be allowed to address the membership during the Annual Meeting prior to the election. 4. The on-site staff shall not prepare or copy campaign literature for candidates. 5. Resumes must be received by June 1, 2015 in order for the candidate s name to appear on the ballot. 6. All who vote at the annual meeting whether in person, by proxy, or by absentee ballot are eligible for the door prize drawing. Page 5

Members are allowed one car or truck for every licensed driver in the unit who is listed on the Household Composition. This does not include motorcycles. Motorcycles, motor scooters and minibikes owned or kept by members must be parked parallel to the sidewalk in the member's numbered spot.
