1 Call to order at 1:04pm Attendance: Present: President Cohen, Vice President Kavanagh, Secretary Koehler, Senator Bogard, Senator Bowser, Senator Cope, Senator Lanning, Senator McFarland, Senator Byiringiro, Senator Richardson, Senator Chupp, Senator Ng andwe, Senator Goldstein, Senator Sheppard Patel, Chief Justice Haxton, Advisor Strittmatter Late: Senator Garcia arrived at 1:26pm (excused) Absent: Treasurer Kurzhal (excused) I. Voice of Constituents a. Ali Salameh (Food Drive) Ali stated that last year his organization, Tri Beta, did a food drive and it did not go so well. He stated that he would like to do it again this year. He said that they did not specifically want monetary funding, but just the support from SGA. The Food Bank is providing barrels and they need a place to store the food as last year they had issues with poaching. They are giving an award to the club that collects the most food. 1) Vice President Kavanagh asked if they are working with H.O.P. Project. 2) Ali stated that they will use H.O.P. s event as a kick off start date. 3) Vice President Kavanagh asked what they would like from SGA. 4) Ali stated they need a room to store the Barrels of collected food. 5) Senator Bogard asked if each organization gets a barrel and also if they are in charge of giving the barrel to the group for storage. 6) Ali answered yes. 7) Senator Goldstein asked if the Barrels are going to be a drop off. He stated that if they are somewhere open, people could still steal before they are full. 8) Ali stated that the clubs are in charge of and will protect them. He stated each group gets barrels that they are in charge of. 9) Senator Ng andwe asked if the clubs and organizations could store their barrels in their advisor s rooms. She gave an example of the Political Science department Room used to store the Political Science s barrel. 10)Ali stated that they have not looked into that idea yet. 11)Senator Bogard asked if they could store the food weekly and keep it in the SGA office for the week and then donate to the group rather than taking everything over there at the end of the month. 12)Several senators voice their concerns of having enough room even for weekly

2 storage. 13)Vice President Kavanagh asked how much they expected to get donated. 14)Ali stated that they are unsure because so many more organizations are joined this year. 15)Senator Bogard stated then every group could take care of their food till the end of the month. 16)Ali voiced his concern with the conflicts of people and clubs storing and possibly taking food home with them. He wants to eliminate any problem. 17)Senator Lanning asked what they did with the food last year. 18)Ali stated they stored it in an office that has very limited space after finding out people were poaching. 19)Advisor Strittmatter stated that he commends all the ideas but there is no perfect system and they should look for the system with the least amounts of flaws. He recommends that as they look to grow the food drive that they should look to put some responsibility on organizations and clubs. 20)Senator Byiringiro stated that SGA could store up to six Barrels. 21)Ali asked if it could be possible to use the SGA office as an overflow. 22)Senator Bogard stated that they should have an organized way to do this rather than just having the groups randomly bring in the goods. 23)Senator Sheppard Patel stated that if SGA does provide the space it would be difficult to keep track of what club has what donated. 24)There was no motion to extend time and the food drive decision will be brought back up in new business. b. League of Legends & Japanese Pop Culture Club Mike Moran Mike Moran came before SGA representing two clubs wanting to have a Cosplay event. He stated that they want to team up with multiple organizations to have a Cosplay event that is open to everyone with DDR and Mario Smash Brothers. They want to offer candy pizza and pop. They are requesting money for the food for the event. They would like to charge an admission of one canned food item for donation. He thinks that it will be a great campus event to get people involved. 1) Senator Bogard stated that they just had Ali Salameh with food drive and she stated that they should advertise together. 2) Senator Goldstein asked if he knew what funding they had and what is in the club s accounts to fund towards the events. 3) Mike stated that he is unsure but he can find out this information. 4) Senator Byiringiro Motioned to fund up to $220. Sheppard Patel seconded

3 5) Senator Byiringiro stated that it seems like common sense of what SAF ought to be spent on. 6) Senator Lanning stated that he is worried about who will want to go to the event. 7) Senator Goldstein stated that he knows several people in the club and up to 30 people will be attending. 8) Senator Lanning stated that he is worried how much it will pull in people outside the club. 9) Senator Bogard stated she thinks the video games will pull other people in and that they should advertise what exactly the Cosplay is. 10)Senator Byiringiro stated that we should focus on the logic and the flow of the event rather than personal interests or whether one would personally attend such event. If it is open to everyone and is a logical idea, it ought to be funded. 11)Senator Garcia stated that it is an event that he has never heard of and is a creative. Vote to fund up to $220 for the Cosplay Event. i. Against: n/a iii. Abstain: Senator McFarland iv. Motion Passes II. President s Report a. Update President Cohen stated that he went to Bloomington and there are a lot of great things going on. b. President Cohen presented an Excel program he designed that would input all data on Bills of Legislation and provide information for the SGA to act upon. The information can provide a variety of information like documenting if the event was on or off campus, and if a Bill of Legislation was passed or not. It keeps track of costs of on and off campus events. The system keeps everything up to date and allows SGA to see exactly where they are with the budget without relying on the guessing or estimations. He said it supplies a great structure. Senator Goldstein asked if it was for SGA or for all the student body. President Cohen stated that he tried to put on Google drive for everyone to see but Google Docs is not capable of the complexities that Excel is.

4 Senator Lanning stated that Sky drive could be used. President Cohen stated he would like for all the student body to see the program. III. IV. Vice President a. Vice President Kavanagh asked everyone to please continue to serve on committees and let him know of any issues. He also stated that the Chancellor Luncheon is set for Friday November 8 th. Treasurer s Report President Cohen gave the Treasurer s Report. He stated that there is 50% of total allocatable money left to delegate out. He stated that they have already allocated nearly $20,000 this year. That money includes prior year debts as well as all allocated funds they have agreed to be paid for this year. V. Secretary s Report a. Meeting Minutes were approved for Friday, October 8 th VI. VII. Advisor s Report Advisor Strittmatter stated that everyone is doing a good job. General Business a. Committee Reports 1) Senator Sheppard Patel stated he has been going to the campus affairs committee and they changed their meeting times so he can no longer serve on that committee. He stated right now they are coming up with a new mission statement for the school. He stated that he was the only student there and he would like to continue to have a student there and some of his ideas are even making it to the final mission statement draft. (Senator Byiringiro left the meeting at 1:59pm) 2) Senator Bogard stated that the library affairs committee is going to have tablets that they will be renting out and then have people give reviews on the tablets. They received a grant to get people's feedback. 3) Senator McFarland stated that the HLC Committee led by Dr. Mettetal had applied to get grant money to create programs that are beneficial to students. These are called Micro Grants and they want to promote collaborating between the campus communities. 4) President Cohen stated that he thinks it might be a good idea to buy a camera and tripod to stream the meeting online for students to see.

5 5) Senator Bogard stated that we will still need the written minutes. 6) President Cohen stated that there would still be minutes but according to Roberts Rules, dialog does not need to be written down in the minutes at all and they could be substantially shorter. 7) Motion to table Camera and Tripod discussion till next week passes. VIII. New Business a. Appointment to Campus Directions Committee. Senator Goldstein motioned to appoint Senator Lanning to the Direction Committee. 1) Senator Goldstein stated he shows interest in the committee and wanted to be on before. Vote to appoint Senator Lanning to the Direction Committee i. All in Favor: Senator Bogard, Senator Bowser, Senator Cope, Senator Lanning, Senator McFarland, Senator Richardson, Senator Chupp, Senator Ng andwe, Senator Goldstein, Senator Sheppard Patel ii. Against: n/a iii. Abstain: n/a iv. Absent: Senator Byiringiro v. Motion Passes b. Food Drive Office Availability. 1) Senator Bogard stated that there might not be a need for our office and each organization can take responsibility for the food and if there is a need a club could come to SGA and ask. 2) Senator Richardson stated that he is worried about the responsibility for the food to be on SGA. 3) Senator McFarland stated that he liked the idea of the overflow but until he knows more about the plan he does not want to make any decision. 4) Senator Goldstein stated that he agrees and the office is not that big and even with an overflow policy the office could be easily overflowed. 5) Senator Sheppard Patel stated that he is also worried with the overflow. 6) Senator Lanning stated that we should have our own organization barrel and keep that in our office. 7) Senator Bowser stated that she is worried about something going wrong and SGA could be held liable. She thinks the organizations should be held responsible for their own barrels. 8) Senator McFarland stated he does not see a reason why SGA would not use the office to help out.

6 9) Senator Bogard stated that they should let the organizations take control and help if a need follows afterwards. 10)Senator Lanning asked advisor Strittmatter how this was done in the past. 11)Motion to table discussion for next week passes. IX. For the Good of the Order 1) Advisor Strittmatter reminded everyone to take care of themselves. 2) Vice President Kavanagh stated that he thanks Senator Richardson for all his work with the HOP project. 3) Motion to adjourn the meeting passes Meeting adjourns at 2:25pm
