1 President: Olga Prizhbilov Vice President: Nicole Williams Secretary: Carissa Thomas Treasurer: Lynn Grimstad Past President: Mary Goodall CLASSIFIED SENATE MEETING - Minutes November 8, :30pm 2:00pm Location: Student Center - Boardroom Present: Olga Prizhbilov, Nicole Williams, Carissa Thomas, Joy Baldwin, Nicole Griggs, Chris Dewitt, Lynn Grimstad, Javier Ruiz, Mary Goodall and Beth Madigan. Excused: Bonnyjean Bowman, Lisa Carrillo, and Faryal Said. Guest: Khou Vang CALL TO ORDER: 12:37pm PRELIMINARIES: 1. Approval of November Agenda. 2. Approval of October Minutes. A. Senators discussed discrepancies with the revised October Minutes. a) It was agreed that no consensus was reached at the October meeting. b) October Minutes approved through majority vote. See Action Items below. INFORMATION ITEMS: 1. Announcements A. Prizhbilov announced the Classified Senate will present the Classified Employee of the Year award at Fall Convocation. 2. Schedule an additional Senate meeting between November 8 and December 13. A. Prizhbilov is concerned about time constraints for our current monthly meeting time. An hour and a half is not enough time to discuss everything on the agenda. B. Lack of Communication a) Due to a lack of communication via we need to meet face to face as a group to participate effectively on the Senate. Discussion continued to potentially schedule bi-monthly meetings. b) Prizhbilov shared her main concerns about the new governance structure. There are some details she has been unable to disclose in previous meetings due to time constraints. Prizhbilov reiterated the importance of shared governance and communicating with all classifieds. 1) Grimstad suggested we dedicate the next meeting to the new participatory governance structure.

2 2) Madigan questioned the major concerns of the new structure. We need more information for Classifieds as a whole. c) s have been left unread and unreturned by Senators which has led Prizhbilov to request more face to face meetings. Discussion continued. 1) Baldwin suggested using CCC Confer for an additional one hour phone conference. 2) Williams suggested using the discussion board on Canvas. The senate has a page on Canvas, we just need to get it organized. 3) Prizhbilov suggested we extend the next meeting by one hour. A majority vote passed to extend the December meeting by one hour. See Action Items below. 3. Potential Professional Development Training for Classifieds A. Prizhbilov expressed it was brought to her attention, classifieds would benefit knowing more in general about community colleges. It s important to have an understanding of how to make changes and know where you stand within the new governance structure. Know how to get your voice heard as Classifieds. a) Prizhbilov in collaboration with VP Kaur is planning to invite Pam Fischer to train all classifieds. Prizhbilov shared her impression of Fischer and requested support from the Senate. Funding for training will be provided by Administration. 1) Baldwin questioned would this be offered during the upcoming annual PD event. Prizhbilov explained this training would be held separate from the PD event. 2) Baldwin questioned is there a theme to generate interest? Prizhbilov and VP Kaur are working together to decide a theme. b) A majority vote passed in support of this training. See Action items below. DISCUSSION ITEMS: 1. Promotional Materials A. Table promotional materials until December meeting. Looking for better pricing and options. Aiming to purchase by January. B. Dewitt announced she is retiring in the spring. She will resign from the Senate in February Timeline for Events A. Williams followed up with committee and their progress with upcoming events. The winter luncheon was the main topic of discussion. The luncheon will be held, December 15 th in Community rooms 1-4.

3 3. Classified Professional Development Annual Event A. Baldwin requested PD ideas from the Senate. In terms of the venue, the Crown Plaza is the best option for an off campus site. a. Discussed format, keynote speaker and breakout sessions. Working in collaboration with Christina Wagner in the CTL for professional development ideas and prior sessions with the highest attendance. b. Discussed possible themes. Baldwin will request ideas from all classifieds via . c. The annual PD event will be held the week of spring break. Tuesday, March 27, d. Potential breakout sessions are as follows. Any additional ideas, please send to Joy Baldwin via . 1) Understanding anger 2) Outlook 3) Medicare 4) Emergency response training 5) Designing your own flyers 6) Technology 7) Art/Crafts and creativity Goodall mentioned Patricia Wood is interested in participating. 8) Conflict resolution 9) Williams suggested Mellonie Richardson from District Office. Richardson is interested and willing to present. She is very animated with good insight and provides a great presence. 10) Generations in the workplace 11) Goodall suggested reviewing the 4CS website for a list of presentation ideas as well as available presenters across California community colleges. 4. Fundraising A. See s Candy a. Williams updated the Senate on the progress of the See s Candy sales. She has been working with Grimstad and the business office to place an online order. b. Discussed pricing, quantity, and sugar free options. REPORTS & CLOSING COMMENTS: 1. President s Report

4 A. Requested information from all senators detailing participation in various committee. She explained the governance tiers from the participatory governance and integrated strategic planning document available on the ARC Insider s page. Williams drew a visual on the board. a. Griggs expressed her concerns with the new governance structure and how it affects the structure of the Classified Professional Development Committee. The PD coordination council directed campus based funding for all constituent PD groups and they retained all historical information. Griggs is unsure who to work with in regards to PD concerns, funding, and committee actions. She has continued to follow guidelines as it was done in the past, until a new point of contact is updated. 1) Prizhbilov confirmed the committee will continue to function as it did in the past, as the new functions have yet to be implemented. Prizhbilov will have a more complete answer to address concerns by January B. Operations Coordinating Council a. Prizhbilov stated some councils have yet to meet due to time constraints and a lack of pressing issues and concerns. b. The Classified Hiring Prioritization Process will be under the Operations Coordinating council starting next year. C. Classified Hiring Prioritization Process (CHPP) a. Prizhbilov addressed concerns regarding CHPP, as she distributed the revised documents. She explained her intention to follow the guidelines and timeline. Prizhbilov received conflicting information and was under the impression CHPP may not be used this year as it did not fit within the new structure. b. CHPP needed to have been discussed last year to address major concerns. The process was considered inequitable by Administration, in turn Prizhbilov and Madigan took the initiative to update the documents to align with the strategic plan. 1) Prizhbilov apologized for the miscommunication with the Senate. Prizhbilov and Madigan were under the impression we had reached a consensus at our October meeting. An was sent out for a vote to approve the revised CHPP documents, however Prizhbilov did not receive any response. The deadline was fast approaching, Prizhbilov felt she had to move forward with the process. She suggests the Senate create a CHPP committee in the spring, or discuss other options.

5 2) At this point the Senate is moving forward with the revised documents to complete CHPP by the timeline. The presentation portion has been removed. 3) Senators consider inviting an equity officer to assist with the process next year. Griggs participated in CHPP last year and shared her experience. Prizhbilov was not a part of CHPP last year, although she received feedback from the presenters. Concerns that changes were made during the presentations which caused confusion. Griggs and Goodall shared their impressions of what transpired last year. An equity officer is unneeded for CHPP, as it is not a hiring committee. Grimstad expressed his concerns and a need for collaborative change as a collective process. The Senate in entirety should have been involved in the process before revisions were finalized. Madigan agreed with Grimstad, and explained it was not the intention to override committee decisions. She commended Prizhbilov s actions regarding CHPP. The Senate needs to take note of changes this year and work collectively with CHPP next year. Madigan encouraged all Senators to participate in the process. Possibly extend screening to all classifieds to amplify the classified voice. Discussion continued. c. Prizhbilov requested all senators participate in the ranking of applications. The documents will be sent next week via Mentorship Program Table for December meeting. ACTION ITEMS DURING THE NOVEMBER MEETING. Second: (Grimstad) Ayes: 9 Nays: 0 Abstentions: 0 ACTION ITEM: December meeting Motion: (Madigan) Approve extending the December Senate meeting by one hour, to allow time to cover all agenda items. Meeting will be held from 11:30am 2pm.

ACTION ITEM: Requesting the use of Senate funds Motion: (Williams) Donate $250 from the Classified Senate to support the VRC and give back to our Veteran community whose families are in desperate need over the holidays.
