3 CORPORATION OF THE TOWN OF COCHRANE MINUTES OF THE COCHRANE VOLUNTEER DEVELOPMENT AND RECOGNITION BOARD MEETING HELD AT THE TOWN HALL, COUNCIL CHAMBERS, 171 FOURTH AVENUE, COCHRANE, ONTARIO ON MONDAY, JUNE 13, 2016 AT 6:30 PM, LOCAL TIME. OPENING REMARKS AND ROLL CALL 1.1 The Chair welcomed everyone in attendance and declared the meeting open. There was no quorum; however, the members present held discussions on the matters contained on the agenda. Mayor Politis requested that we schedule a meeting with both schools for him to meet the student council in early September. 2. DECLARATION OF PECUNIARY INTEREST Nil. 3. ADOPTION OF AGENDA There was no quorum; however, the members present held discussions on the matters contained on the agenda. Mayor Politis requested that we schedule a meeting with both schools for him to meet the student council in early September. 4. ADOPTION OF MINUTES Nil. 5. BUSINESS ARISING FROM MINUTES Nil. 6. REPORTS 6.1 Proposals on Awards (the Rock) The Clerk presented awards (the Rock) for the Board to choose from coasters, Polar Bear Statutes. The Board chose a carved Polar Bear Statutes made by Larry Beaucage. The Clerk will get more information on the item and pricing, for the next meeting. It was decided that the plaque on the award of the month should read: In appreciation for Volunteer of the Month. Cochrane, Ontario. We can get an image of the Bear on the coasters with a written message. 6.2 Volunteer Nomination The Board did not receive any nomination for Volunteers Recognition yet. Raymond Génier will be contacted to fill out the proper forms to nominate Dolores Janson as a Volunteer of the Month. Mrs. Janson was voted the volunteer of the year by Le Club Amical 50 Plus. The Volunteer Recognition Award Program will be launched at the BBQ this fall. The date for the BBQ was set on the second Saturday of the month of September. The event will be held at the Polar Bear Habitat. The Clerk will contact local Service Clubs to inquire if they are interested in hosting the event with the assistance of Town staff to setup tables, tents and BBQ grills. The date is set for September 10th, 2016 and the BBQ will start at 5:00 p.m.

COMMUNICATIONS 7.1 Ministry of Citizenship Immigration and International Trade - Ontario Medal for Good Citizenship - Nominations The Board will not be nominating a candidate for this award. 7.2 Bill Heavener - Request to commemorate the late Jack Cotgrave Mr. Bill Heavener sent a letter requesting that the Glackmeyer Ball Field be named after Mr. Cotgrave. This request is more a commemoration request than a volunteer nomination. The Clerk will call Mr. Heavener to inquire if he wants to fill out a volunteer nomination form to nominate Mr. Cotgrave 8. The entire application must be filled out by the Nominator. Please research and record the volunteer s entire set of accomplishments. It is critical to ensure all areas of the nomination form are completed. PLEASE NOTE: Should your nominee be successful your submission will be used in publications for the awards ceremony. The nominee cannot have received this award within the last five (5) years. Award Selection Process Once all nominations are received, they are assessed against the specific criteria provided, scored and recipients are selected by the Cochrane Volunteer Development Recognition Board. As a nominator, you will be informed of the receipt of your nomination package, well as the result of your nomination. as
