2 TEXAS STATE CONFERENCE Knights of Peter Claver, Ladies Auxiliary December 2014 Texas Clavers, We would like to extend to you the information for the 2015 Texas State Conference to be held in Austin, Texas, from May 01 May 03, We are truly excited to hold this year s Conference in Austin, Texas. Austin is not only the capital of Texas, but is the Live Music Capital of the World. We hope that you will take the time to visit the many wonderful attractions that this beautiful city has to offer. This year s conference focuses on resolutions. By definition, resolutions extend the opportunity to express formally our opinions or intentions. This is your opportunity to submit your thoughts on what direction the Texas State Conference should go. Our Patron Saint St. Peter Claver modeled for us on how to accomplish our mission through his ministry. Prayerfully, as Texas Clavers, let us bring the Texas State Conference forward through our guiding principles of Faith, Hope, and Love of self and others. As Knights and Ladies in the State of Texas, it is our responsibility to be leaders and bring individuals closer to the Holy Church. Let us pray carefully that through our Annual Texas State Conference, the choices and decisions we make, not only better the Texas State Conference, but will lead us in the right direction of changing world. We pray that God will guide our minds and hearts to a successful Conference. Proceeds from this assessment are distributed / allocated by the Education Committee during the Conference. It symbolizes the foundation and growth that we represent each year within the State of Texas. We ask that you adhere to the deadline of March 30, 2015 as the printing company must have adequate preparation time. Bowman Award is presented to an exemplary lady in the State of Texas who has made outstanding contributions to the Church, Community, and Claverism. Each Court is allowed to submit no more than two applications for this award. The deadline for submitting the Inez Y. Bowman Award form is March 30, Each Court is to submit an individual that is to be presented the 2015 Outstanding Lady of the Year Award for their Court. The form should be submitted by March 30, The Court may also submit a nominee for Counselor of the Year Award. The names of the Outstanding Counselor of the Year should be submitted by March 30, Conference Charitable Assistance/George Mickey Leland Food Drive Pages We respectfully request that each Council, Court & Junior Divisions, JOINTLY, submit the amount of monetary donations along with the amount of non-perishable items that were contributed to the 23 rd Annual George Mickey Leland Food Drive held on Saturday, March 30, Councils and Courts are also requested to submit, JOINTLY, the amount of monetary donations and amount of non-perishable items collected, along with the number of hours contributed in the past year by April 25, (See Mickey Leland Food Drive Insert). Conference Mass for our Deceased Members Page 25 The Texas State Conference Mass will be held on Saturday afternoon of the Conference. This Celebration is for our Deceased Members who have gone home to their rest. If your Court has members that have gone home since the last Conference, please submit the information, by April 25,

6 Texas KPC 100 Club The Texas KPC 100 Club is always seeking new members. The KPC 100 Club is a project used to establish a perpetual fund of $100,000. The interest accrued from these funds will be used for religious vocations, religious education, sickle cell research and the United Negro College Fund. In order to become a member, you must make a one-time donation of $100. For more information. Emerging Leaders The Emerging Leaders of our Noble Order are seeking new members as this committee continues the struggle of Bridging the Gap of our membership. This committee will continue its 8 th Annual Book Drive for literacy. Each division of our Order is asked to donate four new children s books, short novels, for our youth between the ages of 2 to 14. You can turn in these books at the Emerging Leaders Registration Table. The Emerging Leaders will be leading us in the Rosary on Saturday and Sunday mornings of Conference. If your Court has members between the ages of and they are attending the conference, please encourage them to join us as we start our day in prayer. The room assignment where the Rosary is to be recited will be posted within the agenda booklet. 9 LADIES COMMITTEES Audit Committee The committee provides financial audit of books and review expenditures of conference officers. Conference Team - This is a team of members selected by the conference president to assist with the conference. Education Committee This committee evaluates applications and awards qualified recipients to help support the education institution Guards Committee This committee takes the passwords of those entering the chamber, and denies entrance to unauthorized persons. Hospitality Committee - This team works to ensure every member is comfortable and receive all materials for the conference. The committee also selects the gift that will be given on behalf of the presidents. Inez Y. Bowman Committee This committee selects the member in the State of Texas for her outstanding contributions to the church, community, and Claverism from biographies Junior Daughter Counselor I Committee This committee gives updates on the Junior Conference and events. Discuss junior concerns and make recommendations as needed. This committee includes all Jr. Daughter Counselors. Medical Care Team This committee consists of members that are medical doctors or nurses that can insure each member medical assistance if needed. Nomination/Election Committee - The nomination/election committee accepts names of candidates for each officer, prepares the ballot, conducts the election, counts the votes, and reports the results. It is the Committee s responsibility to ensure that the nomination/election policies and procedures are strictly enforced. Registration/Credential Committee Registration - This committee is responsibility for preparing the materials needed for the conference and assist with the credentials committee. Credentials This committee is responsibility for the validation of each court representations to determine conference voting strengths. Resolutions A Committee This committee examines and reports on all resolutions duly and properly submitted to the Texas State Conference. Resolutions B Committee This committee extends greetings, appreciations and provides views on public issues. Resolutions C Committee This committee gives a report on the good of the order. Steering Committee This committee presents rules of order to govern conference. 9

10 Joint Committees Commanders/Counselors Committee This committee gives updates on the Junior Conference and events. Discuss juniors concern and make recommendations as needed. This committee includes all Jr. Knight Commanders and Jr. Daughter Counselors. Church Relations Committee This committee enhances the spirituality of the Knights of Peter Claver and Ladies Auxiliary as it relates to their various parishes and the services provided by the Church. Emerging Leaders - This committee is comprised of members of ages Provide community service and mentor Juniors that are prepared to transfer to the senior division. Evaluation Committee This committee assists membership with the electronic evaluation, accumulate the results and provide input on strengths and weaknesses George Mickey Leland Food Drive Committee A project established by the Texas State Conference to continue the works started by the late Congressman, George Mickey Leland in providing food to the less fortunate. This committee is composed of all grand knights and grand ladies. This committee complies information provided by their councils and courts of Texas enumerating the total amount and pounds of money and food collected. Joint Audit Committee This committee provides financial audit of joint books. Liturgy Team - This committee is selected by the chaplain and the Vice-President to work on the masses and the prayer room. Publicity Committee - This committee works with the city's media to get information concerning the conference on the news and in the area newspapers and the papers where each court and council is located. Security Committee (Jr. Division) This committee functions during the Jr. State Conference to secure the Jr. State Conference sites. Provide a summary of a security issues at the Texas State Conference. State Scholarship Committee This committee monitors the progress of state scholarship recipients Souvenir Book Team This committee helps to solicit ads and finding reasonable bids for printing the book. Works with the vice-president to be sure all members receive the book and all ads are secured for printing. Special Projects Committee This committee serves as an AD HOC committee to the Texas State Conference. The Texas State Presidents will define the committee s charge, purpose, and length of service. The Special Projects Committee seeks to address timely societal, educational, health, and economic events with a particular consideration on issues affecting African-American Catholics. The Texas State Conference Presidents may also convene the Special Projects committee in response to directives issued by the National Board of the Knights of Peter Claver. Technology Committee This committee is to assist membership with completing the electronic evaluation, accumulate results, and report on the responses, including strengths and weaknesses. Texas Claver Fighting Cancer Committee - This committee collects gifts and money donated from councils and courts for a silent auction that is placed in a dedicated room. A person must be in the room at all times. Texas KPC 100 Club Committee - This committee a joint standing committee that shall recommend the disbursement of funds from the Texas State conference 100 Club account. The committee shall follow the guidelines that have been established and approved by the Texas State conference. The Texas KPC 100 Club standing committee shall review tall request for annual funding form organizations within or outside the Catholic Church and the Knights of Peter Claver. Vendor Committee This committee works with area businesses to secure at least 10 vendors from the area and surrounding cities. 10

Nomination Form must arrive on or before the due date of March 30 th of the Conference Year. Late applications arriving after the due date or deadline will not be considered NO EXCEPTIONS. 2. Nomination Form must bear the signature of the Grand Lady and Court Seal NO EXCEPTIONS. 3. Nomination Form must include the nominee s NATIONAL, LOCAL, and/or STATE CONTRIBUTIONS TO KPC, CONTRIBUTIONS AND SERVICE TO CHURCH, and CONTRIBUTIONS TO THE COMMUNITY. 4. 22 TEXAS STATE CONFERENCE Knights of Peter Claver, Ladies Auxiliary December 2014 Dear Brothers and Sisters in Claverism: Since 1990, we have sponsored a food drive in memory of the late Honorable George Mickey Leland, Representative from Texas Congressional 18 th District. The first drive was held in April of 1990, during the Palm Sunday weekend.
