As we prepare for our Conclave, please adhere to all deadlines for important documents to be returned to the Supreme General Assembly. Registration is set at Twenty dollars ($20.00). The deadline for registration will now be June 15 th. There will be no onsite registration. Cartegena Award and Good Neighbor Award are also due by June 15, 2018 All registration fees can be made online or mailed to the National Office along with your orders for tickets to the Conclave Luncheon. The Luncheon is Saturday Afternoon August 4, 2018 and all are welcome to attend. Enclosed in this packet of information are the forms for Cartegena Award, Good Neighbor Award, Committee Assignments, and Registration/Credentials. Please remember the deadline for all Conclave information must be post marked by June 15 th.

2 The Cartegena Award Article III, Sec.5 of the by-laws of the Fourth Degree states that the "Cartegena Award shall be given to a Sir Knight for service and achievement, which were given or realized in any given year or years". Included is the revised copy of the guidelines and forms for this award. Those assemblies who wish to place a Sir Knight s name in competition for this award should send the completed form to the Office of the Supreme Navigator postmarked no later than June 15, The Good Neighbor Award Article III, Sec. 6 of the Fourth Degree states that the "Good Neighbor Award shall be presented to the top three (3) Grand Assemblies that performed the most outstanding deeds for their fellowman and Claverism". Included is the revised copy of the guidelines and forms for this award. Those assemblies who wish to place a Sir Knight s name in competition for this award should send the completed form to the Office of the Supreme Navigator postmarked no later than June 15, 2018 Committee Appointments Article III, Sec.11 states that, "All Grand Assemblies shall notify the Supreme Navigator, no later than June 15th of all Sir Knights who plan to attend the Supreme General Assembly Conclave". The Supreme Navigator shall (from the names received) make committee appointments received no later than June 15 th. There will be no committee appointments from the Conclave floor! 6 Guidelines for the Nominations and Election Process 1. Nominations and election of Supreme General Assembly Officers shall be held at the designated time indicated by the Presiding Officer according to the Conclave Agenda. 2. Officers to be elected are as follows: Most Faithful Navigator, Very Faithful Captain, Very Faithful Comptroller, Very Faithful Purser, Very Faithful Scribe, Very Faithful Steward, Very Faithful Pilot, Very Faithful Inner Sentinel, and Very Faithful Outer Sentinel. 3. All candidates for office must be present in the Conclave Chamber to be placed in nomination. 4. Sir Knights desiring to make nominations should approach the microphone, show their voting card, be recognized, and give his name and Assembly number before making their nomination. Nominating speeches shall not exceed two minute. The Timekeeper will be a member of the Nominations and Election Committee. Sir Knights nominating a person for office must cease speaking when time is called by the Timekeeper. 5. A nomination form will be provided by a member of the Nominations and Election Committee. The form must be completed in order to have the correct office and correct spelling of the candidate s name for placement on the official ballot. 6. Seconds to each nomination will not be necessary. An individual may nominate himself for a Supreme General Assembly office. 7. Once all nominations for each office are completed, the candidates will be introduced to the membership present in the Conclave Chamber. 8. Sir Knights will be given instructions by the Nominations and Election Committee Chairperson and/or Presiding Officer when balloting will begin, to facilitate an orderly movement of the membership to the designated voting area. 9. Sir Knights will gain admission to the voting chamber by showing their voting card as appropriate identification. After signing the official register and their voting card, each Sir Knight will be provided an ELECTOR ID and PASSWORD. The Sir Knight shall then proceed to the assigned computer to cast his secret ballot. After balloting is complete, the ELECTOR ID and PASSWORD will be deposited in the sealed receptacle provided. We ask your cooperation to allow our current Supreme General Assembly officers to enter the voting chamber and allow them to vote, at any time, during the allotted voting time, in order that they may continue their duties as officers during this Supreme General Conclave meeting. 10. All officers will be elected by a majority of votes cast for each office. In the case of no clear majority, the names of the two candidates with the largest number of votes will be resubmitted to the membership for a vote to determine a winner. 11. The report of the results from the Nominations and Election Committee shall be placed on the Conclave Agenda for early in the Afternoon Session to allow adequate time for Page 1 of 2 4/11/2018

7 GUIDELINES FOR THE NOMINATION AND ELECTION PROCESS run-offs, if necessary. If a runoff of candidates is indicated, instructions will be provided at that time. 12. Certified tally sheets of the electronic election results will be provided by the Nominations and Election Committee to the National Conclave Scribe, so that they can be included in the 2018 Supreme General Conclave Minutes and retained for 30 days following the election of officers. 13. Campaign paraphernalia may not be worn or displayed in any manner or form once the Election process begins, inside the Conclave Chamber or in the designated voting chamber. The Election process shall begin upon approval of the Guidelines for the Nomination and Election Process by the 2018 Supreme General Conclave body. 14. The Nominations and Election Committee shall monitor all phases of the election process. Page 2 of 2 4/11/2018

The prestigious Cartegena Award is given annually to a Sir Knight of the Meritorious Knights of Peter Claver. 2. The Sir Knight must exemplify the true spirit of humility and sacrifice without thought of reward; whose achievements in the field of Catholic Action are so commendable that members of the Hierarchy and Clergy take cognizance of them; who possesses the spirit of heroic charity by practice of Spiritual and Corporal Works of Mercy. 3. A written account of the Sir Knight activities can be included with the nomination form. 4. Only one award (medal) will be presented at the Supreme Navigators Banquet. 5. 10 SUPREME GENRAL ASSEMLY KNIGHTS OF PETER CLAVER FOURTH DEGREE DIVISION GUIDELINES FOR ANNUAL AWARDS GOOD NEIGHBOR AWARD 1. This award is given annually to the top three (3) Assemblies performing meritorious deeds for the current year. The Good Neighbor Award will be presented at the Supreme Navigators Luncheon. 2. A detailed accounting/narrative of the Assembly meritorious deeds from May 1, 2017 to April 30, Assemblies are encouraged to make efforts to participate and highlight your activities. (See #4 below). ALL MATERIALS submitted must be for the time frame indicated above. 3. Only Assemblies sponsoring, participating in and/or supporting projects and activities of a spiritual, charitable and social endeavor which significantly affects the community will be considered for the Good Neighbor Award. 4. A clearly stated written LISTING of the Assemblies activities must be submitted with the name and number of the Assembly, the Assembly s Seal and the

11 signature of both the Faithful Navigator and the Faithful Comptroller. 5. Documented letters from various agencies, church officials, etc. stating the service performed by the Assembly must also be included. 6. Submit copies of checks and receipts for all donations made in the name of the Assembly to various charities, churches and/or individuals. 7. Include all volunteer services rendered at varying agencies, locations, etc. Indicate name of Sir Knights who performed volunteer services. 8. Include all Assembly turnouts other than Wake/Funeral Services. 9. Provide a list of all honors, plaques, certificates and trophies received by the Assembly. 10. Seven (7) copies of tall materials with a cover letter must be sent to the OFFICE OF SUREME NAVIGATOR postmarked no later than June 15 th of any given year. 14 Dear Sir Knights, I hope this letter finds you all in good graces. I am writing to you on behalf of the Advanced Leadership Committee (ALC), which was established August 1, Our goal as members of this committee are to publicize the works of charity of the Meritorious Fourth Degree, provide additional support for recruitment of Clavers with an age range of 21-45, and provide projects at Conclave for the Sir Knights. This year s project includes a visit to the VA Hospital in Long Beach, CA. While visiting the veterans, we will be providing them with monogrammed hats reading, If You Love Your Freedom, Thank a Vet as a display of appreciation for their service. The project will be August 3, 2018 from 1:00pm-3:00pm where we will disseminate the hats to the Veterans at the Long Beach Veterans Hospital. While visiting the veterans, we will be providing them with words of encouragement and thanks, as we display our appreciation for their service. We thank you for countless efforts as Sir Knights!!!
