1 May 2017 Secretary s Report 1. The BHOA meeting minutes from last month were published and posted via and the BHOA website, 2. The owner roster has been updated and distributed to exec committee members. 3. Five landscaping tours have been given and quotes have been received. The exec committee will finalize actions soon. 4. Annual dues for 2016 have been paid in full by all BHOA property owners. Thank you everyone. 5. Allene is attempting to fill blank spots on the owner/occupant roster. Flyers were distributed eliciting information. Three replies thus far were responded to and updated. 6. The BHOA liability insurance has been secured and the policy is effective 31 May The new executive committee members have fully embraced their new duties and roles. 8. Recurring monthly executive committee meetings are scheduled for the second Wednesday of each month. We met recently at Allene s house on 31 May The architectural committee has been busy. One landscaping plan has been submitted and approved this month and one assessment for unkept lawn has been levied this month. Date planning for June: - We still need volunteers for a planning and participating in a 4th of July activity. Last year we had a get together at the cul-de-sac. Join the party, help with planning or participating. Contact Valerie at (402) or (512) Contact Marla at (512) For the Future: - The BHOA Executive Committee has embraced an Arbor Initiative. Consider planting a tree this fall. The BHOA Covenant references tree requirements and there are many considerations involved with planting a tree. If you have questions about tree planting, just contact the BHOA and we can guide you to a sound landscaping plan.
2 And last but not least: - Our neighborhood looks very nice. One of our most beautiful aspects is that our trash cans are well cared for. Please keep your trash can off your driveway and not in front of your garage door. If you have any questions, special needs, or fall/safety issues regarding not keeping the can on the driveway please contact (361) or any executive committee member.
3 June 2017 Secretary s Report 2. Total of six landscaping tours were given and quotes received. The exec committee is using Ledezma s Landscaping Stonework and Masonry at (512) , ledezmaslandscaping@gmail.com. Monthly cost will be $170/mnth for twelve months, one time cleanup of refuge in the front part of the wildlife preserve is $1, Steel signs for the five subdivision entrance pillars are being ordered. 4. Treasurer report includes a balance of $14,881 as of 1 May Projected expenditures for the month of June will be approximately $3,100; liability insurance, landscaping, and event activity. 5. The executive committee held their monthly meeting on 14 June at Marla s house. Next meeting is scheduled for 12 July. If you have any topics for consideration, notify an executive committee member. 6. The architectural committee has levied one assessment for unkept lawn this month. There are two new houses being built in the neighborhood, and the architectural committee is actively involved with those processes. Date planning: - There will be a BHOA 4th of July activity for this year. Stay tuned for updates and flyers, join the party, help with planning or participating. If you see unsavory behaviors or actions, notify the authorities. This helps prevent vandalism, graffiti, personal injury and hazardous activities. Past interventions included: unlicensed dirt bike uses, high-speed skateboarders, kids riding a wheelchair backwards down the inclines in the retention ponds.
4 July 2017 Secretary's Report Location: 620 Algerita, 6:30 PM. Joey, Allene, Valerie, Rick in attendance Hedgewood complaint This address is adjacent to, but not part of, Briarwood Section 4. Joey talked to this homeowner about his complaint that we cut down some of his trees, and that our retention pond was flooding his property and eroding his soil. During their meeting, Joey showed him the survey pins denoting his property boundary, which convinced him the trees our landscaper cut down and trimmed were not on his property. Because his lot is in the flood plain, and was in the flood plain before our retention pond was built, our retention pond is not the cause of his flooding or erosion. The basis of his complaint seems to be that Jim Lassiter responded to a similar complaint when the subdivision was being built by 'being a nice guy' and constructing a temporary mesh barrier to keep his soil from washing out, which may have given this homeowner the impression BHOA would help him resolve issues related to flooding of his property. If so, this set a bad expectation, one which the current board should not continue. Joey suggested contacting the city engineer to evaluate his erosion problem and suggest a solution not involving us. 2. Treasurer report indicated a balance of $13, as of June 30. In addition, checks for the following amounts were written: $71.16 for 100 checks $ for landscaping maintenance $ for liability insurance $ for the 4th of July party. This was under the budget of $300. Excess hot dogs were donated to Georgetown Fire Department. 3. Architectural committee drafted a letter for mailing to homeowners whose trash cans have been in violation of covenants. Before sending any such letters, it was suggested that a mass mailing to the neighborhood relating to trash cans, and the covenants in general, be postal mailed to ensure awareness on the part of all residents. Violation notices would not be sent until after a grace period of 30 days after this mass mailing. The consensus of the board was to do the mass mailing first. 4. Covenants committee brought a physical example of a purple No Trespassing sign that might be posted in the common area, which could be obtained for approximately $22 each (without pole). The sign was passed around and was favorably received by all present. Allene moved to purchase 4 such signs for the common area (3 + 1 spare). Motion seconded by Rick. Vote: 4 For, 1 Against (in absentee). Acquisition of poles for the signs will be discussed at the next meeting. 5. Next meeting will be Wednesday, August Meeting adjourned at 7:30 PM. 5 August 2017 Secretary s Report 2. Steel signs for the five subdivision entrance pillars are near completion. They have been cut, masonry placements marked and are awaiting delivery and installation. 3. Trash can notice letters had a very paradoxical effect on the subdivision members. The outcomes equated to: two incidents of positive feedback verses at least 86 known negative feedbacks, there were no new screens placed and the number of trashcans moved off of driveways seemed to not be affected. Since the Exec meeting on 9 Aug, all trashcan problems have been addressed individually between the BHOA president and owners. 4. The executive committee held their monthly meeting on 9 Aug 2017 at Marla s house. Next meeting is scheduled for 13 September. If you have any topics for consideration, notify an executive committee member. 5. Rick has ordered purple no trespassing signs for the wildlife preserve area. Installation details to follow. And last but not least: Fall is approaching, plan your yard and tree care appropriately. Pruning of Oak trees is best if done no earlier than late in the year (or even Jan/Feb) to prevent diseases, secure your tree trimming needs. Spreading compost is another fine fall activity, free compost is available from the City of Georgetown. Compost can be picked up over near the animal shelter. They do reliable, timely, quality work, feel free to contact them if you have work for your own property that needs to be done.
6 September 2017 Secretary s Report 2. Five steel signs for the Briarwood subdivision entrance pillars are installed. 3. The executive committee held their monthly meeting on 13 September 2017 at Alan s house. Next meeting is scheduled for 11 October. If you have any topics for consideration, please notify an executive committee member. 4. The purple no trespassing signs for the wildlife preserve area are in, and installation is in progress. 5. Last but not least: National Night Out plans are underway. Funding has been provided, multiple activities for all family members is planned, and a flyer will be distributed. Our neighborhood has been registered with the City of Georgetown and all departments invited. and Katheren or chairing the activity The duplex and fourplex neighborhoods have been more substandard than usual. Trash, trash cans, small business operations from residential areas and garage warehousing/ sales have all been reported to Code Enforcement. members are encouraged to provide feedback to the City of Georgetown, Code Enforcement related to the condition of the duplex and fourplex neighborhoods of Algerita and Hedgewood Drives.
7 October 2017 Secretary s Report 2. Resale certificates are expected for several of the homes listed for sale in the neighborhood, including the newest build on Hedgewood. The new home on Algerita is shaping up nicely, a much needed esthetic change to the two corner lots. 3. Annual dues invoices will be mailed very soon. BHOA annual fee is $120 to be paid by 31 Dec Our BHOA finances continue to be managed perfectly, bills are paid on time, our monthly landscaping continues, etc. Last months bank statement cited $9, as our balance. 5. National Night Out was cancelled due to a rain out. There were a few items that were not returnable/refundable, however we were able to cancel the fried chicken order. The BHOA executive committee would like to thank Suzanne for all her hard work in organizing this years event, sorry we didn t get to hang out together as a community in our nicely landscaped cul-de-sac area. 6. Last but not least: Our annual BHOA meeting is scheduled for 6 Dec 2017 at the Georgetown Public Library. Agenda for the meeting will be drafted during next months BHOA Executive meeting on 8 Nov If you have any topics you would like included in the annual meeting agenda, please forward your intent to any executive member.
8 November 2017 Secretary s Report 2. Annual dues invoices have been mailed. BHOA annual fee is $120 to be paid by 31 Dec BHOA annual meeting is 6 December at 6:30 PM in the Georgetown Public Library. Flyers will be distributed. Hope to see everyone there. 4. The last of the new builds have been completed, landscaping placed and are ready for move in. 5. Twenty five percent of the Briarwood Homeowner Association dues have been paid by members. Pay before January to avoid late fees and to help close out our 2017 accounting. Thank you,
9 December 2017 Secretary s Report 1. The BHOA Secretary s Report was published and posted via and to the BHOA website, 2. Our BHOA membership meeting at the Georgetown Public Library had a very low turnout. Could have been due to weather, or maybe due to it being a Wednesday night. Six executive committee members were present and six property owners were present for a total of twelve attendees. 3. Your executive committee has already planned the next BHOA membership meeting. Intentions are to reserve the library for 1 May and 8 May 2018 and we are in the process of making that happen. The primary focus of the next meeting needs to be Executive Committee position changes (election of officers ). If you or anyone you know is interested in managing this BHOA, please make the intentions known. 4. Annual dues payments will be considered late if submitted after 31 December Please make your payments now. 5. Forty five percent of the Briarwood Homeowner Association dues have been paid by members. That means 33 people have paid, forty people have not paid. Thank you,
