1 Alpha Kappa Alpha Sorority, Inc. - Beta Sigma Omega Chapter Chapter Meeting April 18, :00 a.m. Langston University - OKC Campus Soror Cheryl D Williams, Basileus, Presiding Call to Order: Meeting called to order by Soror Cheryl Williams at 11:10 a.m. Meditation/Pledge: Meditation: by Michelle Chapple, followed by the sorority pledge. Adoption of Agenda: Agenda was adopted by adding Founders Day after the Fashionetta report. Education report was included in Soror Anika Wilson s report. Approval of March 2015 Minutes: Minutes were approved with corrections. Correspondence: Soror Angela Long, FILED. 1. OETA-request for a contribution of at least $40. (budgeted) 2. American Diabetes Association-request of contribution of $150 or more. (budgeted) 3. NAACP-request of $ or more. (budgeted) 4. Positive Tomorrows requested $50.00 or more. (budgeted) 5. St. John Missionary Baptist Church-requested contribution for the annual W.K. Jackson Golf Tournament. 6. Senator Harry Reid Democratic Senatorial Campaign Committee request for a contribution. 7. Membership cards were received and forwarded to the Tamiouchos. 8. Corporate office sent a letter regarding directorate action: 9. Midwestern Region Pecunious Grammateus sent receipts for our MWRC host chapter assessment, brochure ad, and flag with stand and pole rental. All of these were forwarded to the Tamiochos. 10. EAF membership cards were received and forwarded to the Tamiouchos. 11. Invoices were received form Dean s Typesetting for the March 2015 newsletters and from the Oklahoma City Herald for the article regarding the MWRC public program. 12. Returned m ail was received and forwarded to the Tamiouchos. 13. Bank card was received form Bank of Oklahoma and forwarded to the Tamiouchos. 14. Oklahoma City National Memorial and Museum will host the 8 th annual Memorial Motorcycle Run on April 18 th in Remembrance of the 20 th Annual Remembrance ceremony. 15. Oklahoma City National Memorial Foundation will be hosting and award ceremony on April 20 th at the National Cowboy and Western Museum. They will be honoring Federal and State Prosecution, Defense Teams and Judges. 16. The Oklahoma Heritage Association has changed it s name to Oklahoma Hall of Fame. 17. The following Thank you cards were received: Soror Nancy R. Davis acknowledgement of expressions of sympathy. Soror Anika Wilson thanked the chapter for support in the success of the 85 th MWRC. Action on Correspondence: The Executive Board recommends that we pass the hat for the St John Baptist Church request. It was Soror LaTrice Vaughn second, adopted. Soror Linda Mathews will collect the money. Senator campaign request-no action will be taken because we cannot be politically partial to a party candidate. Motion: Linda Johnson Huggins moved that we support Sigma Sigma Omega with an ad not to exceed $ to come out of Operations Contingency. Karolyn Ruffin will obtain the information for the ad size. Seconded, Adopted.
2 Officer Reports Basileus: Soror Cheryl Williams, FILED. 85 th MWRC-Congratulations to Soror Anika Wilson for her leadership as the Chairman of the conference and thanks to all the Sorors that made a contribution to it s success. The State of the Region and the State of the Sorority reports will be added to the BSO website. The 86 th MWRC will be in Wichita, Ks. Madam Supreme Basileus, Dorothy Buckhanan Wilson has created an Undergraduate Summit to be held August 21-22, 2015 in Atlanta Ga. This summit will address hazing issues to avoid a moratorium on the Membership Intake Process. The Graduate Advisors, Undergraduate Chapter Basileus, Undergraduate Membership Chairman and possibly members of the Graduate Advisory Council. The graduate chapters have been asked to aid them financially with travel assistance. Upcoming chapter activities: April 17, 2015-Alzheimer s Association Volunteer Opportunity at St. John Missionary Baptist Church. April 18, Pearls Luncheon will be held immediately following the chapter meeting. Cost of the luncheon is $ April 25, 2015-BSO Family Picnic from 3-6 pm located at Edwards Park. There is no charge to attend. Hotdogs around the world. Please confirm your attendance so we will have adequate amount of food. April 26, Fashionetta Orientation Tea. We are developing a chapter calendar. Please become active on at least on at least one committee. There will be a box for questions and suggestions by the Standard Committee and we will address your questions. First Anti-Basileus: Soror Anika Wilson, FILED. National Program Targets: Educational Enrichment-National Goal is to donate and distribute one million backpacks by the end of BSO s goal is 96 or more filled with school supplies and or nonperishable food. backpacks to give to school district in Oklahoma City area. Please bring the filled backpacks to each sorority meeting. Health Promotion- Family Strengthening- This will be included on the calendar. We will collect toiletries, seasonal wraps, such as, hats gloves and socks for children at all sorority meetings. Environmental Ownership-Please start recycling paper and plastic as we move toward a greener society. Global Impact Community Impact Dates: (Attachment-Corporate Office) Third Community Impact Day- Saturday, April 11 th -We will make up this NAMI Awareness Day. We will partner with this organization to bring awareness to mental health. There will be more information to come. Fourth Community Impact Day-Saturday, May 16 th -Playground Mobilization Day. We will partner with the Parks and Recreation to determine a playground to clean up. Fifth Community Impact Day-Sunday, June 21 st -The Longest Day Event (Alzheimer s Association) for a Mind and Body activity. Sixth Community Impact Day-May 2015-Power to End Stroke-American Heart Association. We will work closely with our representative Soror Shante Fenner. Program Committee Reports: HBCU- I have 56 names to turn in to the national office of person that have attended HBCU. Please turn your information ASAP. Education/Scholarship-Sorors Glimerine Ware &Patricia Sattiewhite-Walter Twenty Pearls Luncheon- The luncheon will be held on today for $15.00 today. Scholarship-The BSO Ivy Scholarship closed on April 1, We have 22 applicants and we will meet to determine the winner for the scholarship.
3 ASCEND-The school selected was Douglass High School. We will be asking sorors to help with this initiative. The next meeting is May 16, 2015 at 10:00 am. Health Committee-Sorors Wesui Gilmore and Anita Jones Blood pressures will be taken at the back each sorority meeting. Also, NAMI (National Alliance on Mental Health Illness will be available. (Attachment Flyer for My Story My Song featuring the Ambassador Concert Choir on April 17, 2015, regarding Alzheimer s Disease.) Thanks to those that came out to assist at this initiative. Mid-Western Regional Conference Update-We had a successful conference and MWR is financially sound. Thanks to all the chairman/vice-chairman and workers for your time, talent and treasure to make this the best conference. Questions for follow-up: What was the assessment for the MWRC conference reception? Will we receive a copy of the Regional Tamiochos Report? Second Anti-Basileus: Ameyka Pittman, FILED. I worked on the MWR Conference as co- chair for the Music and Registration Committees. I turned in my delegate report. The Divine 9 has a target of raising $100,000 for UNCF. Send a text to donate $10. Audit Committee Report- Fiscal year for 2013-Both the internal and external audits, the addendum and the response will be provided electronically on the secure members only section of the website for specific details. Refer to this for whole report. The audit was performed by Soror DeArnetta Ward Alpha Chi Omega Chapter, Ward Tax Preparer Service. FINDINGS: Program Checkbook-Payee name and amount of check is not written on checks Operations Checkbook-Payee name and amount of check is not written on check stub for 4965, 4966, 4970 thru 4985, 4995, and 5002 thru Chapter Financial Procedures- 1. No record of Comparison of Budget to Actual expenses for the periods ending in May 31 and December 31 could be found in the minutes that each member was provided the comparison reports. 2. Could not find comparison budget to actual expenses in the Tamiochos files. RECOMMENDATIONS: Internal Controls- No one soror is permitted to both receive and disburse funds, recommend that he Pecunious Grammateus should not sign vouchers. Suggest the Pecunious Grammateus Report be named-cash Receipt Report or Cash Receipt Journal rather than Tamiouchos Report. Also, suggested that the receipts be listed in numerical order for an easier audit trail. MOTION: She moved that the Audit Committee report be accepted. (No second needed) Adopted. The Audit Committee discussed how they will make sure recommendations are carried out. The Budget Committee will address all recommendations prior to the Fall after meeting with Gayle Miles Scott. Thanks to all our Financial Officers and we appreciate the work they do. Please add the Audit report on the agenda in the future. Pecunious Grammateus: Soror LaTreece Langston FILED. As of March 31, 2015, BSO has 247 financial members. Today we have 251 members. Total Operations Income YTD: $29, Total Programs Income YTD: $ Total Income YTD: $29, Report will be filed for audit. Tamiouchos: Soror Emilykaye Mitchelson, FILED. As of March 31, 2015, savings monies have been moved. Operations Checkbook Balance: $24,267,24 Operations Savings Account Balance: $8, Programs Checkbook Balance: $13, Total Cash on hand as of March 31, 2015 $45, Report will be filed for audit.
4 Hodegos: Soror Terri Hurte, FILED (Refer to online report for details. Additions are ongoing.) The Sisterhood Committee conducted the Ivy Beyond The Wall Ceremony for Soror Nancy R. Davis on March 27. This Golden Alpha Kappa Alpha Soror was a member of Alpha Kappa Alpha, Inc. for sixty eight years. In 1999, she was selected as the Outstanding Soror for the Mid-Western Region. This Oklahoma History maker and trailblazer was the first African American enrollee at the Oklahoma State University (formerly called the Oklahoma A&M College in 1949) She paved the way for future generations. We delivered Easter Lilies to our Pearl Pals and sent a host of flowers and cards to sorors. Kudos: 1. Soror Georgetta James granddaughter and Fashionetta First Runner up, Ms. Rhandi Jackson, has been awarded a $5,000 scholarship from the KOCO Channel 5 Free Ride Program and a $1,500 scholarship from the Edmond Women s Club. 2. Thelma Parks was inducted into the Oklahoma Women s Hall Of Fame. 3. Soror Cheryl Williams celebrated her 36 th wedding anniversary. 3. Soror Glimerine Ware celebrated the birth of her third grandchild. Prayer Requests: Please keep the following persons in prayer: 1. Soror Francis Sears is very ill. 2. Soror Chaunte Gilmore s uncle Mr. Ben Davis of Savannah, GA passed. 3. Soror Mable Harris sister and Soror Sharon Clardy s aunt, Ms. Tommie L. Haugabook of Louisville, KY passed April 7, Soror Anita Jones mother and Soror Chares Jones grandmother, Mrs. Noneta W. Barnes passed, her celebration of Life service was on April 1, Soror Evelyn Spriggs brother, Mr. Robert Brison passed. The funeral service will be Friday, April 3 at 11:00 am at St Luke Baptist Church in Spencer, OK. Visitors were acknowledged. Graduate Advisors: (The undergraduates may attend the September BSO meeting instead of the October meeting.) Beta Beta: Soror Candice Milard, FILED. Beta Beta has fifteen active members. Seven members will be graduating this semester. One Soror will be transferring and seven will be returning in the Fall. 1. They hosted a Skee Week form March 29-April 4. They have hosted several social events as well as program events, including the following: Remember The Time Jeopardy Game, Pretty in Heels workout session, Lemonade Stand, Dirt Cup chocolate desert distribution with the recycling facts for Acts of Green and a school supply drive for the 1 million backpacks collections. 2. A charter day celebration was held on March 31 with cupcake distribution and a sisterly relations activity. They also participated in the Muscle Walk for Muscular Dystrophy Association. 3. Upcoming events: They will host a Puzzles for Autism Event. They plan to complete their back pack distribution and Health Fair event at Britton Elementary on May 1, They plan to send one delegate to the Leadership Seminar in July, and a representative to the Summit in Atlanta, GA. They are also making plans to attend the Undergraduate Round-Up. Kappa Psi: Soror Latonya Robinson, FILED. A letter was received form Madam Regional Director, Jan Carpenter-Baker stating Kappa Psi Chapter was placed on cease and desist effective immediately. They will be unable to engage any campus activities, unable to hold chapter meetings, or unable to represent Alpha Kappa Alpha Sorority, INC. in any way until further notice. All Chapter members have been notified. The I Team investigation will be May 1-3. The Undergraduate Advisory Council meeting will be on Saturday. Although they are not conducting chapter business, the ladies continue to excel individually. Soror Briana Jones has been awarded a scholarship from the Gaylord College for the academic year. Sorors Chandler Campbell and Ravynn Teague will graduate next month. I am planning to attend the Leadership
5 Conference in July, the Undergraduate Summit in Atlanta, Ga. And the Undergraduate Round-Up in Jefferson City, KS. The Regional Delegate report was submitted on March 23, Under graduates are mandatory required to attend a summit on 8/21/15-8/22/15 in Atlanta, GA. The purpose of the summit is to proactively curtail hazing. This was recently announced at the MWRC. The undergraduate chapters will need financial assistance to attend. MOTION: Executive board recommends that we provide to $2500 be allocated for two graduate advisors and one representative from each under graduate chapter to attend the mandatory summit with the money being taken from operations savings. Soror Linda Johnson Huggins moved the same. Seconded. Adopted.. Committee Reports Audit Report See Second Anti- Basileus section Connection: Anastasia Pittman Pitre, FILED. The following activities were completed: AKA Advocacy Day at the Capitol on March 18 th in the Senate Chambers. We collaborated with State Connection Coordinator Soror Cynthia Walker. We registered twenty-two sorors, 1 youth and 5 volunteers with 3 no shows. Total raised was $ Kevin Mathews won the special election for the State Senate District 11 in Tulsa. BSO submitted two resolutions that were adopted by the body. BSO Connections Chair Soror Anastasia Pittman-Pitre presented Citations for the Secretary of Transportation and presented the Midwestern Regional Director and the Supreme Basileus Dorothy Buckhanan Wilson with the mock signs that represented the Memorial Highway for Founder Ethel Hedgeman Lyle. The Ribbon Cutting ceremony will be in June of We partnered with Soror Angie Wright and Junior League of Norman to raise $1,000 for our chapter backpack donation. A resolution was written on behalf of Soror Nancy Randolph Davis. Cancer Awareness Day: Tuesday, April 21 on the 4 th Floor Rotunda 9:00 am to noon. Please submit names and addresses of local survivors form our community so they can be recognized during the roll call to pittman@oksenate.gov by April 15, The connection committee and Social Action Committee will host the 2 nd Amendment Concealed Weapons class on Saturday May 30 th at the Northeast Church of Christ in OKC.$65 per person includes lunch and ammunition for the gun range. Guns are provided or yu can bring your own gun. Please contact Soror Anastasia for Preregistration. Team of 5. Class has limited seating. Announcement: The 20 th Biennial A. C. Hamlin Banquet will be postponed to Monday September 28 at the Cowboy Hall of Fame. Fashionetta: Felecia Moriels. FILED Currently, 57 potential candidates have been invited to the Fashionetta Informational Tea. The Informational Tea was is on Sunday, April 26, 2015 at the Character Inn Conference Center 520 W. Main St. Ok. At 3pm. We welcome Sorors to attend at no charge. Please sign up with the committee members. The next meeting is at Kamp s 1910 Café 10 N. E. 10 th St. at 6pm. The committee met on April 2, 2015 at the Urban League at 6 pm. The committee discussed the details for the Standards Workshop bus trip to the mail in Grapevine Mills, TX. A 54 passenger deluxe motor coach from Village Tours. The cost will be $30.00 per soror. There will be no refunds. We will need to have 108 paid registrants to have two buses. The bus will be only for BSO sorors. The workshops will include the following topics: Strategic Plan, Rituals, Communication and Health. Flyers will be available and it will be sent electronically. (flyer attached) We will have 10 short questions at the May chapter meeting to assess how Beta Sigma Omega is doing. We will use Survey Monkey electronically and hard copies at the sorority meeting. The main survey will be conducted in the October- November timeframe. BSO will have a light /pulse evaluation during the October Cluster meeting for the years 2013 and The cost of the E-Team will be split between chapters receiving evaluations at the Cluster meeting. The evaluation will cover the Chapter Self-Assessment. Retention Guide, and Annual Chapter Records Certification form. Chapters are required to develop a Strategic Plan. Madam Basileus Soror Cheryl Williams is taking names of Sorors willing to work on an Ad Hoc Committee to develop the plan. The nest meeting will be on Tuesday May 12, :00-8:00 pm at Johnnie s Charcoal Burgers 6629 Northwest Expressway.
