Lee Center, Alexandria, VA Soror Rhonda Luss, Basileus, Presiding Minutes Date: Saturday, March 5, 2016 General Membership Meeting No.: The meeting was held on Saturday, February 6, 2016 at Nannie J. Lee Center, Alexandria, VA. The meeting was called to order by Soror Rhonda Luss, Basileus at 10:00am. Meditation: Led by Soror Regina Hawkins. Greetings: Soror Breanna Gray Introduction of visiting sorors. Visitors included: Sorors Laresha Turner, Chandra Beander, Keosha Varela, Pamela Snowden, Sharonda Glover, Renee Brown, Chantel Hard, Shanna Travis, Audra Smith, Antoinette Duncombe, Chidinma Biela, Monique Brown, Tasha Lewis, Melanie Warner, Jehan Jones-Radgowski, Christine Stevenson, Andrea Street, Tasha Moses, Kelly Alexander, and Ongelique Sherman. Quorum: Soror Yvette Darnaby, Philacter. Zeta Chi Omega 115 sorors present; quorum established. Adoption of Agenda Corrections: Strike DGS from the agenda. MOTION: Soror Robin McCoy moved to adopt the agenda with the correction. Motion seconded. Call for the vote. Motion carried. Reading and Disposition of Minutes Soror Patricia Edwards, Grammateus MOTION: Due to technical difficulties, Soror Gloria Bell moved to postpone reading of the minutes until the March meeting. Motion seconded. Call for the vote. Motion carried. Reading of Correspondence: Soror Starr Garrett Read correspondence Reminder to Sorors, the Ivyette articles are due by the 15 th of the month. The Newsletter Committee has requested the assistance of the Technology Committee with converting the Ivyette from a PowerPoint document to a Word document. OFFICER REPORTS Basileus: Soror Rhonda Luss which included highlights from the International, Regional, and Chapter. Report is also in the Ivyette. Submitted the 2016 Diamond/Golden/Special Needs Hospitality Boule registration form for all chapter Golden Sorors to the Corporate Office. Delegates and Alternates for the Mid-Atlantic Regional Conference will be elected today. Per the Chapter Bylaws, Article IX, Section 2, Delegates to the Regional Conference and the Boule shall include the Basileus, Anti-Basileus, Grammateus, Tamiouchos, the Graduate Advisor, two ranked listed officers, and five (5) other sorors. The following sorors will serve as the delegates for the five officer positions per the Chapter

2 Bylaws: Basileus-Soror Rhonda Luss, Anti-Basileus-Soror Tamara Rowe, Grammateus-Soror Patricia Edwards, Tamiouchos-Soror Robin McCoy, and Graduate Advisor -Soror VaShawn Guice Veal. The sorors who volunteered to be the remaining delegates for the MARC are Soror Aisha Jefferson, Soror Sherry Billingsley, Soror Angie Hemingway, Soror Vanessa Jackson, Soror Jackie Guillory, Soror Carol Turner, and Soror DeTisha Joy Page. The sorors who volunteered to be alternates for the MARC are Soror Monique Robinson, Soror Stephanie Hubbard, Soror LaFrances Williams, Soror Hazel Cameron, Soror Irma Bogan, Soror Carolyn Rowe, Soror Betty Morrison, Soror Thomasine Coates, Soror Starr Garrett, Soror Geraldine Lewis, Soror Michelle Jones, and Soror Ade Leaka Gore. MOTION: Soror Patricia Edwards moved to accept the list of delegates and alternates as presented. Motion seconded. Call for the Vote. 107-affirmed, 0-opposed. Motion carried. Anti-Basileus-Soror Tamara Rowe Report is also in the Ivyette 76 backpacks were donated by Zeta Chi Omega Chapter at the Metropolitan Founders Day on January 31, There will be a Program Committee meeting on Monday, February 29, ASCEND- Will be attending the Alfred Street HBCU Fair at T.C. Williams on Saturday, February 20, MLK Day- 60 sorors in attendance-served twenty (20) youth. The canned goods and non-perishables were sent to the Arlington Food Assistance Center. Pink Goes Red -Reported by Soror Jackie Guillory 22 Sorors were in attendance at Pentagon City Mall. Through flyers and information, over 300 people were given information about keeping their heart healthy. Anti-Grammateus-Soror Aja Charity Photos of newly transferred and reactivating sorors will be taken before and after February General Body meetings. Sorors, who are financially active by February 6, 2016, will be listed in the directory. February 9, 2016, is the last day to update your information in order for the information to make it into the directory. The Directory Committee will distribute the 2016 Chapter Directory at the March General Body Meeting on a first-come, first-serve basis. Tamiouchos Soror Robin McCoy General Fund Account: Beginning Balance as of January 1, 2016 $ 84, Total Revenue $104, Total Expenditures $ 16, Ending Bank Balance as of January 29, 2016 $ 88, Property Fund: Beginning Balance as of January 1, 2016 $259, Ending Balance as of January 31, 2016 $250,

Distributed copies of the final budget for Pecunious Grammateus: Soror Crystal Lander Total Membership as of 01/31/2016: 341 Total Cash Receipts for period 01/01/ /31/2016: $16, Note that the Pecunious Grammateus and Tamiouchos reports differ due to items receipted in January, but not yet reflected in the deposits for January. Hodegos: Soror Gayle Jordan Announced birthday wishes. Read thank-you cards. Parliamentarian-Soror Kendra Riley There are three new proposed amendments to the Constitution and Bylaws that will be voted on at the Mid-Atlantic Regional Conference. The proposed amendments will be available under the Members Only section on the Chapter s website for sorors to review prior to the March meeting, where voting on the amendments will take place. Graduate Advisor-Soror VaShawn Guice Veal Highlighted the January and upcoming February activities of Sigma Alpha Chapter. Meetings have been scheduled with the leadership at both Marymount University and Strayer University. Paid chapter dues, chapter taxes, and former Graduate Advisor submitted final 2015 financial report. Request to the Mid-Atlantic Regional Director to conduct MIP was not approved. STANDING COMMITTEE REPORTS Nominating Committee- Soror Bonnie Jones Moon-Chairman The Nominating Committee received two (2) applications for the position of Anti-Tamiouchos in January The candidates were Soror Katrina Anwar and Soror De Tisha Joy Page. The Nominating Committee certified that only one candidate, Soror Katrina Anwar, met the criteria for the office as established in the most recent Chapter Bylaws dated October 2, MOTION: By the direction of the Executive Committee, it is moved that Soror Katrina Anwar be ratified by the Chapter as the Anti-Tamiouchos. Discussion. Call for the Vote. 143-affirmed, 0-opposed. Motion carried. Scholarship-Soror Diann Burns, Chairman The 2016 Cooley-Moore Scholarship Application has been updated. There will be one application for applicants to apply for the Cooley-Moore Scholarship and the book scholarship. 3

4 MOTION: The Scholarship Committee recommends that applicants with the next highest scores be awarded a stipend or scholarship based on the funding available. The funding may be used for necessary expenses the student requires for school to include books or tuition. Funding would be remitted to the university or college in the same manner as the Cooley-Moore scholarship. Call for the Vote. 115-Affirmed-2-Opposed. Motion Carried. Connection-Soror LaFrances Williams, Chairman Legislative Day will be Monday, February 15, 2016, at Virginia Union University. All sorors are encouraged to register. The registration cost is $40, and registration closes on February 9, Membership-Soror Christina Thomas, Chairman Stated purpose of the Membership Committee is to recruit, retain, and reactivate. An order for previously paid chapter t-shirts was placed. A new long sleeve chapter t-shirt is being designed for a projected completion of February 28, New Member Orientation is scheduled for Saturday, April 2, 2016, after the chapter meeting. Membership Social Hour scheduled for Friday, June 24, MOTION: By the direction of the Executive Committee, it is moved that Saturday, April 2, 2016, be added to the Chapter calendar for a New Membership activity, and Friday, June 24, 2016, be added to the Chapter calendar for a Membership Retention/Reactivation Activity. Call for the Vote. Motion Carried. The Membership Committee, by an overwhelming majority, proposes that Zeta Chi Omega conduct MIP in MOTION: By the direction of the Executive Committee, it is moved that the chapter vote to request permission for Zeta Chi Omega Chapter to conduct MIP in Discussion: Questions about the number of retainees from the last MIP and the number who attended the conferences. It was moved to table the previous motion until answers are received to the discussion questions. Call for the Vote. Motion Carried. AD HOC COMMITTEE REPORTS EAF-Soror Nelfred Blanding, EAF Chapter Captain Chapters will be recognized for individual soror and Chapter contributions. The Mid-Atlantic Regional Conference is running a Hats Off to EAF Chapter Challenge. Each chapter member is asked to donate $19.80 for the year EAF was founded (1980). Chapters with 60% or more members participating will be recognized at the EAF breakfast at the 63 rd Mid-Atlantic Regional Conference. There are three levels of chapter donations, which are the silver level at $500, the gold level at $1,000, and the platinum level at over $1,000. MOTION: By the direction of the Executive Committee, it is moved that the chapter make a $2,000 contribution to the Educational Advancement Foundation (EAF) in support of EAF and to achieve recognition at the Mid-Atlantic Regional Conference as a Platinum Level contributor to EAF. Call for the Vote. 93-Affirmed, 4-opposed. Motion carried. 60 th Anniversary Committee-Soror Chandois Phillips Soror Irma Bogan selected the winning theme for the 60th Anniversary event. The theme is Zeal, Commitment, Outreach: Celebrating 60 Years. Anniversary Tea scheduled for Saturday, May 14, 2016, from 12 Noon-3:00 PM at the Ritz Carlton- Pentagon City, Arlington, VA 4

5 The cost is $70.00 per soror. Valet parking rate is $10. Pentagon City garage parking also available. Special room rate is provided for sorors who choose to stay overnight. No unfinished business. UNFINISHED BUSINESS NEW BUSINESS ANNOUNCEMENTS Sisterly Love Brunch-Soror Stephanie Woodland Kelly, Chairman Thanked the Membership Committee Chairman and Co-Chairman for a wonderful Sisterly Relations Social Hour in celebration of AKA Founders Day. Sisterly Love Brunch will take place at LaPorta s Restaurant on February 21, 2016, at 1:00 PM. Regional Gathering-Soror Michelle Jones, Cluster Coordinator There will be a Regional gathering at the 2016 Boule Madame Regional Director will be host a Town Hall meeting on Wednesday, February 10, 2016, at 7:00 PM. The number is (605) , meeting ID # Soror Rhonda Luss appointed Soror Marquita Davis as the Chairman of the newly formed Stroll Committee. IFNV-Soror Sharon Gregg-Cotillion Co-Chairman IFNV Cotillion has 14 prospective debutantes The Mother-Daughter Tea will take place on Sunday, March 13, 2016, from 2:00-4:00 PM, at the Hotel Monaco. Tickets are $45 and must be purchased by February 28, The committee is still looking for hostesses for the Debutante Cotillion Ball on Saturday, April 16, Greetings from the Regional Director-Soror Joyce Henderson- Read by Soror Rhonda Luss Please register for the Mid-Atlantic Regional Conference (MARC). That is where the business of the Region takes place. Madame Regional Director expects 100% participation from Zeta Chi Omega Chapter.
