1 Ohio Quarter Horse Association Board of Directors Meeting November 21 st, 2016 Directors present: Rod Atherton, Clark Bradley, Rick Cecil, Vic Clark, Hank Clason, Chris Darnell, Kelli Diaz, Candi Fites, Kyle Flatter, Elizabeth Gorski, Ted Handel, Roger Landis, Binnie Ann Masters, Brent Maxwell, Kristine Nagy, Dave McDonald, Cindy Morehead, Judd Paul, Skip Salome, George Seanor, Denny Thorsell, Greg Tordoff, Dan Trein, Randy Wilson. Absent Directors: Fritz Leeman, Randy Jacobs, Don Recchiuti, Alan Potts, Wayne Erwin, Brent Tincher, Todd Salome, Shane Watson, Chuck Smith President Hank Clason called the meeting to order at 7:45 p.m. Introduction of Guests The following were introduced as guests: Cathy Martz, Tom Hall, Amanda Chapa, Justin Billings and Scott Nemeth Minutes Elizabeth Gorski made a motioned to accept the September 2016 minutes. 2 nd by Roger Landis. Motion passed. Treasurer s Report Vic Clark reported on the financial statements ending October 31, The total assets for the Ohio Quarter Horse Association are $ 10,971,002 with liabilities totaling $ 1,668, leaving a net equity of $ 9, Vic stated that while the financials are not yet complete for the year, this has been one of the best years financially for the organization. Net profit of $ 1,948,745 is being reported through October 31, Tri-Chairmen Report Scott Myers reported on the Tri-Chairmen meeting held earlier: Scott reported the Tri-Chair discussed a recap of the 2016 Congress. Scott expressed his appreciation to the board and staff on all their hard work of making the Congress a success. He stated that the reining numbers were up a significant amount from The Congress Parade was a great success. The new mayor of Columbus, Mayor Ginther, Director of Agriculture, David Daniels, President of the Senate Kieth Faberand, and Speaker of the House Cliff Rosenberger all rode in the 2016 Congress Parade. 2 OHIO COMMITTEE REPORTS Annual Banquet Greg Tordoff reported the annual banquet committee met November 21 st and are finalizing all the details for the 2016 banquet that is set for February 4 th, AQHA Reports Scott Myers reported that the 2016 AQHA World Show did not have a large amount of spectators. Drug Task Force Dave McDonald reported that the drug testing results from the 2016 Congress are not returned yet. Long Range Planning Greg Tordoff reported that the Long Range Planning Committee had a 2 Strategic Planning Workshop with Kevin Oschner that resulted in several Strategic Objectives. Greg also stated that Kevin will hopefully attend our annual meeting and make a presentation of the workshop. - Section 1. The Ohio Quarter Horse Associaiton will, with unwavering integrity, protect and promote the Quarter Horse and the interest of owners, breeders, exhibitors and enthusiasts. OQHA is committed to setting the standard in the equine industry by engaging equine enthusiast through world-class competition, recreational activities, education and engagment of the next generation of participants and industry leaders. Ohio News Danielle Stephenson reported that there was a Congress Entry Book revenue increase this year of almost $22,000 over 2015, with savings of $15,000 in expense. The Congress Souvenir Program also had a revenue increase from ad sales and program sales. The Congress Program was up around $3,000 over last year. Danielle reported the total amount collected in ad sales for the Souvenir Program was $56,780. Danielle stated other Congress advertising revenue was also up with $12,815*being sold in 2016 and Live Stream ads equaling $8,180. She reported OQHA uses Meltwater, which is a New Media Monitoring and Analysis system. With Meltwater, OQHA is able to measure our media and new efforts. Danielle stated from reports from Meltwater, Facebook had a large growth in the people we reach, video views, and total likes on the OQHA Facebook page. Danielle introduced our 2016 Congress Marketing Intern Amanda Champa. Amanda is a senior in Agricultural Communications at the Ohio State University. Page 2

3 Amanda completed her internship with OQHA from September through October. She was a great asset to OQHA s marketing team assisting with selling ticket, social media coverage and wrote other special news articles. Danielle also reported on OQHA s Winter News Magazine. Ad sales for the magazine total $4,550. The magazine is close to being finished and will be ready to send to print. Danielle stated the target deadline to send out in the mail is the middle of December. Public Policy Skip Salome reported that the Ohio Quarter Horse Association has signed a contract purchased the 26,000 square foot, Champion Window building at 6325 Zumstein Drive for $1,150,000. OQHA will pay a $100,000 deposit after a satisfactory inspection. The building is leased through the end of April and OQHA can take possession on May 8 th, The building is 26,000 square foot and OQHA has predicted for renovations to cost $250,000. Rules Chris Darnell read the 2 nd reading of the following rule changes. BY-LAWS THE OHIO QUARTER HORSE ASSOCIATION, INC. ARTICLE I NAME, OBJECT AND LOCATION Section 1. The name of this organization shall be the Ohio Quarter Horse Association, Inc. Its object shall be to promote in all ways the interests of Ohio Quarter Horse owners, to increase the number of Ohio breeders and owners of Quarter Horses registered by the American Quarter Horse Association and to advance Ohio to the position of the leading Quarter Horse State. All the proceedings of this Association shall be in harmony with the policies and activities of the American Quarter Horse Association. NAME, OBJECT MISSION AND LOCATION Section 1. The Ohio Quarter Horse Association will, with unwavering integrity, protect and promote the Quarter Horse and the interests of owners, breeders, exhibitors and enthusiasts. OQHA is committed to setting the standard in the equine industry by engaging equine enthusiast through world-class competition, recreational activities, education and engagement of the next generation of participants and industry leaders. Chris Darnell read the 3rd reading of the following rule changes. Ohio Quarter Horse Youth Association Constitution and Bylaws ARTICLE III OFFICERS AND DIRECTORS Page 20 Section 2. Officers: The officers of the Organization shall be the President, Vice President, Secretary, Treasurer and Reporter and will be elected by ballot from the membership annually. Candidates for President and Vice President must be at least 14 years old by January 1 of the year running for office. Candidates for President, Vice President, Secretary, Treasurer and Reporter must have completed a minimum of twelve (12) months of service as a Director or Officer of the Ohio Quarter Horse Youth Association. The President and Vice President shall hold office for a period of one year and until their successors are elected and qualified. Page 3

4 The President and Vice President may succeed themselves in office for a period of one year. CONGRESS STEERING COMMITTEE REPORTS Animal Protection/Fire and Safety Binnie Ann Masters reported the Animal Protection/Fire and Safety committee passed out medical waste containers at the Stall Office during the Congress. All trainers and exhibitors were offered one. Commercial Exhibits Judd Paul reported that the feedback from Congress Commercial Exhibitors were all positive. Congress Program/Press Office Candi Fites reported that 2016 Congress Program sales had increased from She also reported that there were 1,898 programs sold, 279 given away to members and 460 programs were given to media. Demonstrations and Lectures Elizabeth Gorski reported that all the Demonstrations and Lectures at the Congress went very well and each demonstration and lecture had good attendance. Judging Tournament Dave McDonald stated that the 2016 Judging Tournament had a great amount of participation and that Dr. Daniels; Director of Agriculture attended the Judging Awards Presentation. Reining & Roping Clark Bradley reported that the reining at the Congress was very large in participation. Super Sale Vic Clark reported on the 2016 Congress Super Sale. This year s sale contained a new Yearling Super Sale Pleasure Stakes portion. There were 105 yearlings consigned and 86 paid the sustaining fee for the 2017 class. OQHA is committing $ 500 of the consignment fee for sustaining yearling to the 2017 purse. Overall, the sale was a success. NYATT Scott Myers reported that all the OQHA NYATT exhibitors received a champion jacket courtesy of Fritz Leeman. Trail Dan Trein reported that the trail entries had a significant increase in exhibitors this year. Dan stated they saw a 15% increase. Dan also reported that the 3 Year Old and 4/5 Year old Trail Stakes was a good addition to the Congress Schedule. Page 4

5 Youth Activities Candi Fites reported that the OQHYA had a wonderful Congress! OQHYA was the winners of the 2016 NYATT competition. ASSOCIATION REPORTS Amateurs Justin Billings reported that the Amateur Association has moved their board meetings to the Sunday before the Open board meetings to allow amateurs to attend open meetings. The Ohio Amateurs raised $3,500 from their Annual Pancake Breakfast. Justin also stated that the Amateur Association is finding ways to encourage the first time Quarter Horse exhibitors to attend The Buckeye Classic. NOQHA Candi Fites reported that NOQHA will have their Annual Awards Banquet at the Hilton Hotel in Akron, Ohio on January 28 th. NOQHA have selected their judges for the 2017 show season. NOQHA will have horse shows held May 26 th -28 th, June 15 th -18 th and September 2 nd -3 rd. SOQHA Judd Paul reported SOQHA is having the Turkey Circuit Horse Show, November 26 th & 27 th. O-M-I Tom Hall reported that OMI will have a new horse show on April 7 th & 8 th, The horse show will be located in Sunbury and it will only be for youth and amateur exhibitors only. EOQHA Brent Maxwell reported that EOQHA is having their Annual Awards Banquet January 7 th at the Longaberger Golf Course. Ohio State Buckskin Assoc. Ted Handel reported that the Ohio State Buckskin Association is having their Annual Awards Banquet on January 7 th. Ted also stated that the convention will be held March 13 th -17 th. Ohio Quarter Horse Foundation Cathy Martz reported that the Ohio Quarter Horse Foundation appreciates the OQHA board and OQHA staff. The Foundation had over 300 people attended the Foundation Gala that was held during the Congress. Cathy stated that the golf cart donated by Salopek was sold for $11,000 and the yearling bucking bull donated by the Thorsell family brought $8,100. New for the 2016 Congress, the OQHF provided a classroom at Page 5
