1 EEA ESEM Cologne 218 EXHIBITION AND ADVERTISING BOOKLET Dear Exhibitor / Advertiser, EEA-ESEM 218 WILL BE HELD AT UNIVERSITY OF COLOGNE, IN COLOGNE, GERMANY, BETWEEN MONDAY AUGUST 27 AND FRIDAY AUGUST 31, 218. NOW IS THE TIME TO RESERVE SPACE FOR YOUR EXHIBIT / ADVERT ON THE ENCLOSED FORMS. Website University of Cologne will play host to the 33rd Annual Congress of the European Economic (EEA) and the 71 st European meeting of the Econometric Society. EEA-ESEM Cologne 218 will feature the work and findings of the leading scholars in economics, econometrics and related fields. The European Economic Association, Econometric Society and the University of Cologne hope to welcome over 15 of these scholars. All exhibits will be located in Philosophikum, which is in the same building as the majority of contributed session rooms and the registration point. There will also be coffee and lunch stations in the area of the exhibits. The exhibit area will be available to exhibitors for setup from 1: to 14: on Monday August 27, 218. Badges are required in the exhibition area at all times. Each exhibiting company gets one complimentary Exhibitor badge. Any extra representative will have to register at the special exhibitor rate. Full details are available on the contract overleaf. EEA-ESEM Cologne 218 will provide your company an excellent opportunity to display and explain your product line to a large audience representing economics. Exhibitors and advertisers have had a lot of success by exhibiting and advertising at past EEA-ESEM meetings. We have already received numerous requests for information; therefore, we encourage you to reserve your space early. Exhibition and advertising space will be secured only by returning the enclosed application with full payment. Also, exhibition and advertising space will be assigned in the order in which applications, accompanied by payment, are received. The best way to receive your first space selection is to return your application with your payment as soon as possible. MEDIA EXPOSURE The event will be publicized through the EEA and ES websites, the JEEA and through the websites of partner institutions. Details of the Contract 1. General Information EEA-ESEM Cologne will be held in the buildings of the University of Cologne, Germany, from Monday August 27 to Friday August 31, 218. The deadline for application for and full payment of exhibition space and advertising is Thursday May All material of all exhibitors / advertisers needs to be delivered to the venue between 1: on Wednesday August 23 and Friday August 25, 218 at 16: latest. Storage for materials will be available only during these dates. The exhibitors will have full use of storage room during the Congress. Returns must be collected by 13: Monday September It is of utmost importance that all boxes are marked with the name of the exhibiting company and labelled for EEA-ESEM Cologne 218. Complete delivery details and contacts will be provided after receipt of payment. All exhibits will be located in Philosophikum, close to the majority of conference rooms and food stations and the registration point, in accordance with the enclosed floor plan. The Congress organisers will inform all participants at EEA-ESEM Cologne 218 of exhibitors and locations of exhibition area through blasts and Twitter feeds to maximize traffic flow through the exhibit area. A representative of the Congress organisers will be at the registration stand, beginning Monday August 27 at 9:3 am (see section 6). Exhibitors must register and pick up badges before entering the exhibition area and preparing the stand. Badges must be worn at all times. The Congress organisers, however, reserve the right to change the opening date or the duration of the Congress, its prolongation, postponement or early closure, and the exhibitors / advertisers have no right to claim indemnity. If the Congress does not take place due to causes beyond the control of the organiser, including consequences of a fire or explosion originating either on the premises or nearby, the sums paid by the exhibitors will remain the property of the organisers. 2. Exhibition Space and Equipment

3 The Congress organisers will ensure that the exhibitors will be provided with equipment (tables and chairs) set up in such a way that it covers an approximate area of anything between 3m x 1.5m and 2m x 2m or 4 m x 1 m). The Congress organisers will not prepare any identification signs for the exhibitors nor provide any furnishing for the table tops. To maintain uniformity and to prevent obstruction of the view of the adjoining stands, displays must not be higher than 2.5 metres. No walls, partitions, paintings, decorations, or other obstructions may be erected which in any way interfere with the view of any other exhibitor. Only the equipment that is written on the application form will be provided. 3. Special Equipment and Services If additional equipment, services or requests are required, exhibitors must send an to congress@eeassoc.org. A budget for the specific costs will be sent out to the exhibitor. 4. Payment for Space and/or Advertising A signed copy of the application form must be received by Thursday May 31, 218, to ensure space and/or advertising. The application must be signed by a member of staff legally able to sign on behalf of the exhibitor/advertiser. Applications must be accompanied by confirmation of bank transfer. Application will only be finalised and confirmed on receipt of full payment. All forms must be sent electronically to congress@eeassoc.org. 5. Assignment of Exhibition / Advertising Space Exhibit space / advertising space will be assigned in the order in which applications with full payment are received. The Congress organisers reserve the right to add or remove space / advertisements as necessary. Any change in the position does not entitle the exhibitor/advertising to cancel the contract nor to request lowering of fees nor to put forward a claim to damages incurred thereby. 6. Setup, Hours, and Dismantling of Exhibitions Setup: Monday 27 August 1: - 14: Exhibition Hours: Monday 27 August 14: - 19: Tuesday 28 August 8:3-19: Wednesday 29 August 8:3-19: Thursday 3 August 8:3-19: Friday 31 August 8:3 12:3 All exhibitors will be present at their spaces during the above hours. Dismantling: Friday 31 August 12:3-17:

4 The Congress organisers, however, reserve the right to change the opening date or the duration of the Congress, its prolongation, postponement or early closure, and the exhibitors / advertisers have no right to claim indemnity. NOTE: Dismantling must be completed by 17: on Friday 31 August. All display materials that are not removed from the exhibit floor by 17.3 will be discarded. We would like to offer the exhibitors the chance to donate the display material to the Congress organisers at the end the Congress. Books would contribute and enlarge the Faculty s library, which is frequently used by numerous researchers interested in all aspects of economics literature. 7. Cancellation A 5% refund will be made if the contracted space is cancelled by an exhibitor before Thursday May 31, 218. No refund will be made if the contracted space is cancelled by an exhibitor after Thursday May 31, 218, or if the exhibitor fails to occupy contracted space. If the space is not occupied by 8:3 on Tuesday 28 August, the Congress organisers shall have the right to use such space as it sees fit to avoid empty spaces in the exhibit area. 8. Power and Light Sufficient lighting will be provided in the exhibition area. If special electric service is required, please communicate it to us at congress@eeassoc.org by Thursday May Use of Exhibition / Advertising Space All demonstrations, interviews, or other activities, including advertising and distribution of promotional materials, must be confined to the limits of your exhibit space. No materials may be placed on seats, attached to walls, ceiling or woodwork in the university building, or left in public places in the university for distribution. No exhibitor shall assign, sublet, or apportion the whole or any part of the space allotted to them without the knowledge or consent of the Congress organisers. Should you wish to organise a reception outside or inside the Congress venue, please contact Gemma Pruner-Thomas, EEA General Manager, at gemma@eeassoc.org prior to the start of the Congress. The exhibitor agrees that radio, television, motion pictures or other sound producing apparatus and visual aids will be operated in such a manner and place as to provide no inconvenience to other exhibitors. Sound must be at a level to reach the immediate vicinity of the exhibitor's area only. The Congress organisers reserve the right to prohibit the use of any equipment contravening

5 these regulations. The Congress organisers reserve the right to require an exhibitor to alter the exhibit before the show or on site. The Congress organisers reserve the right to require a sample description of the product to be displayed / advertised prior to accepting an application for exhibition space. Material to be displayed in an exhibition space must be reputable and appear to be of interest to a substantial portion of our members. The Congress organisers reserve the right to make additional conditions, rules and regulations as it deems necessary to ensure the success of the exhibition. This right can be asserted in any moment, even after the Congress start. 1. Congress Organisers Staffing of Exhibition Space The Congress organisers will provide a steward to be at hand during the hours that the exhibition is open. However, the Congress organisers are unable to provide guards during the hours the exhibit area is closed, and furthermore, neither the Local Arrangements Committee at the University of Cologne, nor the European Economic Association, nor the Econometric Society, nor any subcontractor, accept responsibility for security or any damage to the exhibitor's property. The staffing is merely a service to assist the exhibitors during the Congress. 11. Maintenance and Liability No combustible decoration, such as crepe paper, tissue paper, cardboard, or corrugated paper shall be used at any time. All packing containers, excelsior, and wrapping paper, which must be flameproof, are to be removed from the floor and must not be stored under tables or behind displays. All materials and fluids that are inflammable are to be kept in safety containers. Open flames, butane gas, oxygen tanks, etc., are not permitted without the permission of the University of Cologne and the Fire Prevention Bureau. It is mutually agreed that it is the duty and responsibility of each exhibitor to install their exhibit before the opening of the exhibition and to dismantle the exhibit immediately after the close of the exhibition (see section 6). The exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and save the members of the European Economic Association, the Econometric Society and the University of Cologne and its employees and agents harmless against all claims, losses and damages to persons or property, governmental charges or fines and legal fees arising out of or caused by exhibitor's installation, removal, maintenance, occupancy or use of the exhibition premises. In addition, the exhibitor acknowledges that the European Economic Association, the Econometric Society and the University of Cologne do not maintain insurance covering the exhibitor's property and that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by Exhibitor.

6 No obstructions shall be placed in any aisles, passageways, lobbies or exits leading to any fire extinguishing appliances. Direct passageways leading to fire alarm communications must be maintained free of any obstructions. By acceptance of exhibit space, the exhibitor agrees that neither he/she nor employees shall deface, mar or otherwise injure the exhibit premises. Nothing shall be pasted, tacked, nailed, screwed or otherwise attached to walls, floors or furniture. Any damage resulting from actions of the exhibitor or his/her employees shall be corrected by the exhibitor. 12. Inability to Perform If for any reason, the European Economic Association, the Econometric Society or the University of Cologne, should be prevented from conducting EEA-ESEM Cologne 218 by any cause beyond its control, or if it cannot permit the exhibitor to occupy this space due to circumstances beyond their control, the exhibitor will be refunded the amount of the exhibition fee paid less a proportionate share of the exhibit expenses, which shall be determined by the Congress organisers, in agreement with the European Economic Association, the Econometric Society and the University of Cologne, and all shall have no further obligation or liability to the exhibitor. In all cases of litigation, it is agreed to by the exhibitor that the competency of the duly authorized court in Cologne, Germany is recognized. German law is to be used.

9 Advertising Opportunities Advertising in the Congress Program Book EEA-ESEM Cologne participants will be able to download from the Congress website a pdf version of the Congress program one month before the start of the Congress. This will ensure that the program is diffused to an even wider audience further increasing the visibility of the advertiser to an even wider group of people. The number of final participants to EEA-ESEM Cologne will be communicated to all companies wishing to include flyers in Congress bags by Tuesday July 31, 218.
