1 Regular Meeting Minutes December 10, 2018 Call to Order President Bill Smiley called to order the regular meeting of the Chardon Square Association at 6:01pm on December 10, Roll Call Members present were: Bill Smiley, Kathy Dufur, Stephanie Talty, Thalia Hutter, Melissa Ricco, Rebekah Havanchak, Mariann Goodwin, Mary Glauser, Catherine Wolcott, Jeff Smock, Sylvia McGee, Randy Sharpe, and Barbara Ash. Approval of Minutes Randy Sharpe made a motion to approve the minutes from the November 11, 2018 meeting. Mary Glauser seconded the motion, and the Old Business Nothing to report. Officer Reports Bill Smiley, President Bill Smiley thanked Melanie Yatsko and all those that helped put on Home for the Holidays. It was a very nice event. 2 Kathy Dufur, Treasurer Kathy reported the income and expenses for November. Account balances are: $2, in checking, $32, in savings and $3, in the CD. With a commitment of $6, pledged for capital projects, we have an available balance of $31, Kathy also reported that we received a donation from the Chardon Bicentennial Commission. Their published book received royalties and they generously donated the money to us. Kathy also reported that all of the Chardon afghans have sold. Dan Means, Tech Support Dan Means was unable to attend. Melissa Ricco reported that we currently have 712 followers on Twitter (up 8 from last month) and 2,838 followers on Facebook (up 18 from last month). Bill Smiley requested that we give Dan information about upcoming events, sales, and promotions so that he can post them to social media. City Report Committee Reports Membership Stephanie Talty had no new member applications to present. She did remind everyone that membership renewal is due next month. Please bring a check or cash to the meeting. Advertisement Mariann Goodwin was contacted by the Plain Dealer to run a supplemental ad for Home for the Holidays for $600. Chardon Tomorrow went in on the cost. Mariann suggested that Geauga Now would be a good place to run a November advertisement for HFTH. Mary Glauser reported that she spoke with the Maple Leaf to reserve a constant placement (Evergreen spot) of Chardon Specific Events. She needs to negotiate the price on this and will come back to us with figures. Scholarship Bill Smiley asked that we get the word out to look for candidates for the scholarship. Stephanie Talty mentioned that the National Honor Society should contact us.

3 Letters to Santa Sylvia McGee reported that two nights have been reserved for the writing of the Letters to Santa Thursday, December 13 th and 20 th at 6pm at the Cancer Discovery Shop. Square Holiday Lighting All of the trees are up and lit. All trees spots were sold for Christmas Tree alley. Special thanks was given to the City Workers for all of their work getting the decorations up. Thalia Hutter had concern over the North End of the Square not having any decorations. This should be addressed for next season. Home for the Holidays Mary Glauser reported that the Home for the Holidays, from their perspective, had steady attendance. The reindeers were a big hit. They are working on getting a deal for them again along with the carriage rides for Complaints over the music being played during the Frozen 4K was brought up. It was on at 7am and should not go on any earlier than 8am next year. Farmers Market Catherine Wolcott reported that she was given extra money to have 3 extra bands play for the season. She stated that she is still under budget with this addition. New Business Capital Projects: Main Street Tree Lights Melissa Ricco reported that she met with Bill Smiley, Dave Lelko, and Randy Sharpe to go over information regarding the Tree Lighting of the West side of the Square. The City agreed to split costs with us. It was projected that we would spend roughly $40K on the project. Randy Sharpe reported that no one on the City end spoke against the project and that the 2019 budget reflected a temporary $20,000 contribution to the project. It was reported that if the contractor does not come back with pictures of the potential project, that Mary Glauser would contact someone in Medina to send us pictures of their lighting as it will look very similar. Mariann Goodwin made a motion to pledge $20,000 towards the Main Street Lighting project, with the City covering the remaining $20,000. Stephanie Talty seconded the motion, and the Melissa Ricco will obtain two other quotes from competing Electrical Contractors.

4 Freeway Signage Coco Griffis was not able to attend the meeting. Bill Smiley reported that CoCo put in for the application of the West Bound signage as the East Bound was not available. We are not eligible for the brown sign as we are not within 5 miles of the freeway exit. Courthouse Lighting Randy Sharpe had spoken with Commissioner Lennon, Chris Grau and Tom Bryant and they are waiting for a quote. It should cost about $300 per fixture in white. With a total of 14 fixtures on the lower level, they are projecting about $5,000 to install. The initial problem was that the fixtures were water logged and did not have proper drainage. Bill Smiley reported that they will swap out the good ones and reuse the parts where needed. A cherry picker will not be required. It was stated that the clocktower will be illuminated by antique white lights and that the new judges may entertain the notion of color lights being used on the rest of the structure. Bill will contact John and GEM to get rest of installation quote. John is willing to do parts at their cost. Bill will present all the numbers at the January meeting for the project to be voted on. Election of Officers The nominating committee, met and contacted all the possible candidates for the election of officers. President Thalia Hutter motioned to elect Bill Smiley as the Chardon Square Association President for a two year term. Mariann Goodwin seconded the motion, and the Vice President Thalia Hutter motioned to elect Stephanie Talty as the new Chardon Square Association Vice President for a two year term, rolling into the election of President in the third year. Randy Sharpe seconded the motion, and the Secretary Thalia Hutter motioned to have Melissa Ricco continue her role as Secretary of the Chardon Square Association for a one year term. Mary Glauser seconded the motion, and the Treasurer Thalia Hutter motioned to have Kathy Duffer continue her role as Treasurer of the Chardon Square Association for a one year term. Bill Smiley seconded the motion, and the Trustees Thalia Hutter motioned to elect the following members as Trustees for the Chardon Square Association: Catherine Wolcott, Jon Merz, Brian Johnson, Pat Martin and Rebekah Havanchak. Bill Smiley seconded the motion, and the

5 Miscellaneous Mariann Goodwin had questions about the news of the Courthouse relocation regarding the Courthouse Annex being possibly vacated. Randy Sharpe reported that the County plans on building at a site on the south side of the City or near UH Geauga. This won t happen for another 2-3 years. The City is waiting for a comprehensive plan on what is to be done with the Annex in terms of mixed-use development. There are tight regulations as to what can be done with the space and no one has been identified to come in and do the renovations if it goes that route. City Council has not sat down to talk about the Courthouse. Adjournment Bill Smiley made a motion to adjourn the meeting. Melissa Ricco seconded the motion. The meeting was adjourned at 6:57 pm.
