2 Law Enforcement Records Management Consortium Executive Board Meeting Lacey 12:00 PM Wednesday, November 27, 2013 Minutes Members present: Chief John Stines, Tumwater; Chief Dusty Pierpoint, Lacey; Chief Todd Stancil, Yelm. Members absent: Chief Ronnie Roberts, Olympia; Chief John Hutchings, Tenino. Staff and Guests Present: Laura Wohl, Olympia; Kim Sorby, Lacey. The meeting was called to order by Chief Stines at 12:05 PM. I. Review and Approval of October 2013 Meeting Minutes Ms. Sorby sent a draft of the October 2013 Meeting Minutes in advance of the meeting to the Board. Chief Stancil moved to approve the October minutes. Chief Pierpoint seconded the motion. The motion passed unanimously. II. Review and Approval of Expenditures Ms. Wohl provided electronic copies of the expenditures to Ms. Sorby. Ms. Sorby sent copies to the board in advance of the meeting. Ms. Wohl stated that the jail management software had yet to be delivered by SunGard. Chief Pierpoint asked if payment should be withheld until delivery. Ms. Wohl stated that a demonstration is scheduled for next month. Chief Stines asked and Ms. Wohl confirmed that Olympia is the only agency that will be using the jail management software. Chief Pierpoint moved to approve payment of the expenditures, including the RMS annual maintenance. Discretion was left to the chair to authorize payment for undelivered items. Chief Stancil seconded the motion. The motion passed unanimously. III. Crime Reports Crime Reports.com is a website that provides citizens with limited information on reports taken by officers. The information is downloaded from the consortium records management system and provided to crime reports.com. Chief Pierpoint reported that there was no updated information on the website from Lacey PD so the link was removed from the department s website. Ms. Wohl stated that initially, the information provided for crimereports.com and LInX was withheld due to the continuing
3 work on conversion. However, it had been determined that the information provided to crimereports.com does not need conversion to be complete. Jan Morgan-Leiferman from TCOMM will work on getting it set up. Chief Pierpoint asked if the records management system does the same thing as crimereports.com. Ms. Wohl confirmed that it does, but it is not as robust or as user friendly. Chief Pierpoint asked if David Armstrong, the Director of Professional Services for SunGard has resigned. Ms. Sorby stated that this information was confirmed by SunGard. Chief Pierpoint stated that Ms. Sorby has been the point of contact with SunGard. Ms. Sorby will no longer be available for the full project management duties. Chief Pierpoint suggested that the consortium look into other options for filling this need. Chief Stines asked if the interlocal agreement with TCOMM is due. Ms. Wohl confirmed that it is and that the consortium should revisit the level of support it received from the FTE that the consortium pays for. There was a general agreement that should be addressed. Chief Pierpoint moved to adjourn the meeting at 12:38 pm. Chief Stancil seconded the motion. The motion passed unanimously.
