3 ISO/IEC JTC1/ SC7 WG 2 N.335 MINUTES OF ISO/IEC JTC1 SC7 WG2 MEETING HELD IN MONTREAL, CANADA, /15 1. Opening of Meeting The Convener of WG2, Mr Ken Johnson, called the meeting to order at 11.15hrs on after the first session of the SC7 Plenary Meeting had been completed. 2. Conveners Report The Convener made a brief report on the activi ties of WG2 since the last meeting in Penang, Malaysia. 3. Domestic Arrangements Domestic arrangements were in conjunction with the SC7 Plenary held in the ETS Building, Montreal, Canada. 4. Roll Call and National Update There were seven working group members present. In Memoriam: The convener informed members of the WG that Polly Perryman Kuver, a former member of the US Delegation and WG2 had passed away after a long illness. The WG observed a period of silence in memory of Ms Perryman Kuver. The convener had already requested Tom Kurihara to convey sincere sympathy to her husband. Editors Training Sessions: Three members, Annette Reilly, Tom Kurihara and Richard Hodgkinson, attended the Editor s training sessions held on Saturday, Richard Hodgkinson (UK) reported that the FDIS had been submitted to ITTF for publication, but confirmation from ISO of the publication date had not yet been received. SC7 Secretariat had promised to pursue the matter, but no news had been received so far. It is hoped that the matter will be resolved by the next meeting of WG2 in October

4 Annette Reilly (USA) reported that the US TAG had continued to support the SC7 activities and that the STC had been participating in W3C standards development, updating the US standard for Technical Reports. Copies of SC7 drafts had also been circulated for comment to STC members. Prof. Yamamoto (Japan) reported that the Japanese NB mirror group continued to meet monthly to provide input for WG2. They were continuing to develop a NWI proposal for on-line documentation standards and had formed a separate committee to implement a small prototype which would provide on-line help for users of Writer, part of the Open Office suite. Ken Johnson (UK) said that the UK mirror group (BSI IST/15) of which he was the Chairman continued to meet quarterly to discuss SC7 matters, including that of WG2. David Keech, of BSI, Secretary to that committee would be attending this meeting of WG2. 5. Minutes of WG2 Meeting held in, Penang, Malaysia, /29 The minutes of the Penang, Malaysia, meeting were discussed and approved. Matters arising 5.1 FDIS ISO/IEC Guidelines for the design and presentation of software user documentation (Project 07.45) Richard Hodgkinson, the Project Editor, said that the editorial sub-group had produced the FDIS which had been sent for publication at the beginning of March It was not known if the ballot had commenced. He would check with SC7 Secretariat during the meeting to see what progress had been made. A small number of editorial corrections had been identified by the editorial group which could be incorporated in the published IS. 5.2 IS 9127(Rev) User documentation and cover information for consumer software packages Professor Yamamoto said that he would be able to present the proposed FCD text for approval by the WG during the meeting. Some amendments to reflect current technology would be necessary 5.3 ISO/IEC TR 9294(Rev) Guidelines for the management of software documentation (Project 07.18) Tom Kurihara said the action on him had been completed. 6. WG2 Work Programme 6.1 ISO/IEC FCD18019 Guidelines for the design and prese ntation of software user documentation (Project 07.45) Mr Richard Hodgkinson, the Project Editor, said there was no more to add with regard to publication. FDIS ballot and publication by ISO/IEC would complete the current project. 6.2 IS 9127(Rev) User documentation and cover information for consumer software packages (Project ) Professor Yamamoto said that he would revise the format of the document to the current style guide used during the training sessions on and submit it to the WG for comment. Some discussion on the potential for reflecting current technology was held and the WG decided that although small improvements could be made, it would be more appropriate to either add an Annexe to the current document or to produce a similar standard for software packages bought on-line. It was agreed to recommend to SC7 that a resolution be made to form a study group, headed by Prof. Yamamoto, to determine the appropriate structure as an overall context should be established for all of WG2 standards with the business plan revised accordingly. 5 6.3 ISO/IEC DTR 9294(Rev) Guidelines for the management of software documentation (Project 07.18) The Project Editor, Tom Kurihara said that he had included all the changes from the Penang meeting and the revisions had been circulated prior to the meeting. The document had been revised to the new ISO template and he could circulate that draft to the WG. The draft was circulated electronically at the meeting and discussed. The revised document was recommended by WG2 to SC7 for circulation as DTR ballot. Action: Tom Kurihara 6.4 ISO/IEC CD Guide for the application of ISO/IEC to the documentation process (Project ) Annette Reilly said that she had produced a draft CD2 which had been circulated to WG2 and the Secretariat, but that had appeared not to be registered yet by SC7. This question was resolved by discussion with the Secretariat and Annette Reilly led a discussion of the draft. At the conclusion of the discussion, it was agreed to make a recommendation to SC7 to progress the draft by recommending a combined WD and CD registration and CD ballot. Action: Annette Reilly/SC7 Secretariat 6.5 ISO/IEC 15910R Software user documentation process (Project ) The NP did not succeed due to a No vote by the US NB. This was discussed and it was agreed that there should be time to resolve any differences before the SC7 Plenary meeting in Brisbane. This was likely to be when the Project Editor would be able to attend. Due to the publication of ISO/IEC 18019, it was likely that ISO/IEC would need to be re-structured with the addition of some new material and the removal of some of the existing text. It was agreed that, given an appropriate response by the WG to the US comments before the WG2 meeting in Washington, DC, in October, it would enable the preparatory work to be completed and that work on an approved, revised NP could be started. Action All members/phil Cohen 7 Recommendations to SC7 Four recommendations to SC7 for resolutions to the plenary meeting were made: WG 2 Resolution WG 2 recommends SC7 to make a resolution to conduct a combined WD and CD registration and CD ballot for ISO/IEC Software and systems engineering Guidelines for the content of software life-cycle process information products (documentation) Documentation to follow by the end of the week. WG 2 resolution WG 2 recommend SC7 to make a resolution to progress ISO/IEC DTR 9294 System and software engineering Guidelines for management of software documentation to a DTR ballot Documentation to follow. WG 2 resolution WG 2 recommends that SC7 establish a study group to determine an appropriate relationship structure for user documentation Standards. The terms of reference for the group should be to show the relationships between the existing and potential International Standards on software user documentation. The structure would be related to a potential new business plan for WG2 and will take into account liaison with the IEEE Computer Society. The group will finalize its report for 4

6 presentation at the SC Plenary meeting in Brisbane. WG2 offers Professor Yamamoto (Japan) to lead the group and members of WG 2 will support the effort by correspondence. WG 2 Resolution on Resolution for ISO/IEC WG2 with liaison from WG7 and the IEEE Computer Society shall support development of guidelines for the content of system and software life cycle process information products (documentation). Concurrently, WG2 with liaison from WG7 shall initiate study of change to ISO/IEC to include documentation of system life cycle processes. 8 Publicity Richard Hodgkinson said that he was continuing to write full-page regular quarterly articles for The Communicator. He had supplied the text of all eight articles plus the text of an article for the Borland User Group Magazine, to SC7 Secretariat with the proviso that any questions of copyright would be needed to be resolved before use could be made of them by SC7. Prof. Yamamoto said that he was continuing to try to contact the Technical Writers Association in Japan, but had not yet been successful. 9 WG2 Project plan The WG2 Project Plan was reviewed and updated. The revi sed plan reference is WG2 N.334. The plan to be published with the other meeting documents by the convener. Action: WG2 Convener 10 Liaison Meeting A joint Liaison Meeting was held with representatives of WGs 7, 10, and 18. A recommendation for a resolution to SC7 was made regarding the coverage by WG2 in its products of the system aspects of documentation through the text of ISO/IEC CD or an allied standard. Action: WG2 Convener 11 Future meetings The following meetings of the working group were scheduled. WG2 Interim Meeting, Washington, DC, USA, /29 SC7 and WG2 Meeting Brisbane, Australia, /14 WG2 Interim Meeting, Takayama, Japan, Oct Appreciations Grateful thanks were expressed to ETS for their help and generous hospitality during the meeting in Canada. 13 Other business There was no other business 14 Adjournment There being no further business to discuss, the Convener thanked all members for attending and closed the meeting.
