1 AcAdemic SenAte MINUTES Tuesday, February 24, 2015 HUMANITIES :00 to 3:00 p.m. Roll Call: (Italics = Absent) Jaima Bennett, Amanda Best, Pete Bouzar, Gregg Carr, Warren Carter, Charles Clinch, Gonzalo Garcia, Collette Hausey, Karen Hinton, Jon Holland, Steve Isonio, Jon Kasabian, Noah Levin, Chip Marchbank, Veronica Pizano, Nikki Plaster, Martie Ramm Engle, Diane Restelli, Mike Shaughnessy, Don Sillings, Paul Tayyar, Jennifer Wilcox, Student Representative Melody Mulligan Mission: The Academic Senate is an organization whose primary function is to make recommendations with respect to the following academic and professional matters: curriculum, including establishing prerequisites and placing courses within disciplines; degree & certificate requirements; grading policies; educational program development; standards & policies regarding student preparation & success; district & college governance structures as related to faculty roles; faculty roles in accreditation, including self-study & annual reports; policies for professional development activities; processes for program review; processes for institutional planning and budget development; and other academic & professional matters as mutually agreed upon between the governing board and the academic senate. (Title 5: Section 53200) I. Welcome Guests II. III. IV. Congratulations and Appreciation Approval of Agenda Approval of Minutes: A. February 10, 2015 V. Opportunity for Public Comment Members of the public have the opportunity to address the Academic Senate on any item that has been described in this notice, before or during consideration of the item. We ask that you keep your comments to three minutes. Thank you. Senator Clinch asked what the Senators experience with the campus s mailroom was like. He indicated that he had lost textbooks in his mailbox. The replies from the Senate were that textbooks had disappeared and/or were stolen from the faculty s campus mailboxes. One suggestion was to have textbooks sent to faculty member s home addresses to assure delivery. Another was to put additional copies of textbooks on Reserve in the library. Another suggestion was to have the textbooks locked in the back of the mailroom or to restrict access to the mail room for faculty only. The Senate President indicated she would discuss this issue further with the Administration to start the process toward finding a resolution to these problems. The Senate President announced that College Preview Day would be on Thursday, March 5, It would be moved back to the quad area. Senator Marchbank added that the buses would arrive on the Golden West street side, by the Native Garden. The Admissions and Records staff would be at the check-in table to make sure students had their applications on file. Students without an application on file would fill it out at the spot. After checking in, the student would go to the gym for a presentation and would go to the quad area after. A radio station would be providing entertainment. The first bus would arrive at around 8:45 a.m. The Senate President announced that the play Yankee Tavern, directed by Tom Amen, would be playing for two weekends, starting on March 6. Also, auditions for Spamalot (playing from May 1 10, 2015) were taking place. Senator Wilcox shared that she went to the Civitas meeting. As an instructor for non-online classes, she felt that she did not get a clear answer for the data collecting part and did not see the advantages of it. She could see it might be helpful for large classes but was told it was not

2 built for classes with over 200 students. Also, it would not work for students who attended multiple colleges at the same time. However, it could be a good tool to use when the bugs are worked out. Senator Clinch said the focus was data mining for online classes from Blackboard through assignment submissions and gradebooks. He wondered how much prediction data it could get from the extracted data. Senator Wilcox asked if after the data was identified, would there be financial resources to implement programs? Vice President Pourzanjani replied that the college had money from different grants and programs but did not have enough information on what would need to be done. Senator Marchbank stated that we were losing students because EOP/S students were not allowed to take some classes online; but, those classes were only offered online at GWC. Therefore, they had to take them elsewhere. CCI Chair Bennett announced that there was a new website for new faculty: It was very well written and had all the information of what to do before and after the semester begins. She encouraged faculty to check it out. VI. VII. VIII. IX. Consent Items A. Darla Kelly and David Baird to serve on the Guiding Principles of the Enrollment Management Plan subgroup The Senate moved to approve Darla Kelly and David Baird to serve on the committee. It was moved by Senator Tayyar and seconded by Senator Hinton. Votes counted as: Yes = 19 (Sillings, Garcia, Hinton, Pizano, Carr, Kasabian, Carter, Isonio, Marchbank, Tayyar, Wilcox, Plaster, Bennett, Restelli, Hausey, Levin, Holland, Bouzar, and Clinch.) Action Required Discussion New Business A. Action or No Action Items 1. Election of faculty member to serve on the EEO Hiring Committee. Jaima Bennett was elected to serve on the committee. (Votes counted as Jaima Bennett = 17 and Evangelina Rosales = 2) 2. Updated Priority Registration (e-attachment) The Senate President went over the Priority_Registration_Board_Presentation _2_4_2015 document. Regarding lack of an approved student education plan, a Senator asked why this was an issue. Senator Hinton replied some students just did not pay attention at what they were supposed to do. Also, it was hard to get all the students in at the beginning, due to the lack of sufficient counseling staff. The counseling department has hired additional staff and was having workshops on DegreeWork for the students. Senator Marchbank added that the 49.3% (students meeting the eligibility requirements for priority registration) was a Districtwide number. It was unknown what the number was for each college. Board Policies and Administrative Procedures 3430, 3435, and 3540 (e-attachments) The Senate went over the Board Policies and Administrative Procedures and had the following comments/questions: For AP 3430, under Education any Prevention for Students, did the counselors have any input in the orientation when admitting new students? Had anything from the procedures been covered in the orientation or provided to the students? Vice President Pourzanjani replied he thought that BAT was working on this issue. For AP 3540, the mandatory Safe College Online Training from Keenan was an example of the District s responsibility to provide education and training on sexual violence. It was important to get the word out that everyone needed to do the training since sexual violence on college campuses across the nation was so out of control. Also, it was required that everyone who became aware of a sexual violation to file a report. Two Senators said that they did not get the regarding training. A Senator stated that the training aspects would need to be verified. Some areas of the document distinctly identified between staff and faculty; but, other did not. That might explain why some faculty got the and some did not. The Senate President replied that the was from the District but it was unclear how it would relate to the faculty. She would try to get some verification regarding it. B. Action Required Discussion X. Reports A. President s Report Martie Ramm Engle, Senate President The Senate President reported the following: The Promoting a Climate of Equity, Inclusion, and Diversity document received from Mr. James Andrew, CCCD Executive Director of Human Resources, was handed out to the Senators for comments and feedbacks. Senator Tayyar commented that intellectual diversity was important. He noted that intellectual diversity was not in the document but needed to be added. The Senate President replied she would gladly pass on the comment to Mr. Andrews. The Senate Presidents had a Google Group discussion board where information and communication between the Academic Senate presidents in California were shared. One of the recent questions was how often their Senate met. At some colleges, the senate meets once a month for 45 minutes. At others, they met every week for two and an half hours. The Senate President felt that the GWC Senate meeting schedule was working effectively. B. Academic Senate Vice President Reports Pete Bouzar, Noah Levin Senate VP Bouzar reported that the LCF taskforce met for the first time. Margot Bowlby was taking charge of the taskforce. The taskforce s next step was to develop and send out a survey to all LCF faculty to get their feedbacks on LCF. Senate VP Levin reminded that the ASCCC s first ever Online Education Regional meetings would be at College of San Mateo on Friday, March 20 and at Mt. San Antonio College on Saturday, March 21. Everyone was welcome and registration was free. C. CCI Jaima Bennett, Curriculum Chair CCI Chair reported the following: February was a busy month for CCI. The committee was trying to get everything done to meet the catalog deadline. In the last meeting, the committee got 30 course outlines done, thanks to the departments curriculum representatives. The Nursing program was undergoing a major revision. A new learning community was being proposed. Page 3 of 5

4 The committee was asked by P&B to review and make recommendations on part of the Enrollment Management Plan. The Cosmetology department had started a Barbering Program which will meet on Saturdays. The Auto Tech department was expanding. Our faculty were succeeding in working with the course outlines in C-ID. D. IPD Amanda Best, Professional Development Chair E. Union Update Gregg Carr, CFE Union President CFE Union President reported that the membership meetings were being held differently this year. The meetings would be held at GWC and Coastline. The next meeting was February 25 at 12 p.m. in LRC 250. He was hoping that the Board President Lorraine Prinsky would be at the meeting. F. ASGWC Report Melody Mulligan, ASGWC Student Advocate Melody Mulligan, ASGWC Student Advocate, stated that, this semester, she had to leave the meetings early for one of her classes. She reported the following: The Movie Night had been moved to Thursday, February 25, at the Starshower Amphitheatre. Maleficent would be showing. ASGWC was sending 8 students, along with 3 EOP/S students, to the March rally in Sacramento. Club Rush would be on Wednesday, March 04, and Spring Town Hall would be on Wednesday, March 25. CCI Chair Bennett asked that the ASGWC report be moved to be first under the Reports section to accommodate student advocate Melody Mulligan s schedule. G. SLOs H. Special Projects Electronic copies of written reports are due to the Senate Office by Thursday at 5 p.m. the week preceding the meeting for which the report is attached to the agenda. XI. GWC Alert: Blackboard Connect Preparation--Please update your personal information in anticipation of the new District Emergency Notification System by logging onto MyGWC, clicking on the employee tab, choosing Banner Self Service, then personal information, and clicking on address and phones.
