1 Associated Students of Santa Ana College Executive Board Meeting Minutes Time and Place: Monday May 6 th, :30-3:00 p.m. U Call to Order: President Monica Zambrano called the meeting to order at 1:55 p.m. 2. Approval of Agenda: Vivanco motioned to approve the agenda as printed. Perez seconded the motion. Yes=6, No=0, Abstain=0. Motion passed. 4. Approval of Minutes: a. Brito motioned to approve the minutes from April 15 th as printed. Michel seconded the motion. Yes=6, No=0, Abstain=0. Motion passed. b. Vivanco motioned to approve the minutes from April 22 nd as printed. Perez seconded the motion. Yes=6, No=0, Abstain=0. Motion passed. 5. Public Forum: Presenter: Monica Zambrano, President Monica mentioned to ASG that she would like to bring snacks for the ASG office during the last week of the semester/finals week. She also asked the members what they would like to have as snacks. She mentioned she will bring waters, CapriSun, and cookies. Presenter: Susana Sosa, Student Activities Coordinator Susana announced the icanaffordcollege.com which advertised a $5,000 scholarship where students must explain in 50 words or less what their educational and career futures are going to be. Susana also noted that the Transfer Celebration will take place on Thursday May 23 rd, in Phillips Hall. Vivanco moved to suspend the rules and move to item 9, New Business. Perez seconded the motion. Yes=6, No=0, Abstain=0. Motion passed. 6. New Business

2 a. ASG Budget: Treasurer Guadalupe Cruz passed out a copy of the ASG Proposed Budget. This budget included categories such as Account #, Account Name, and Amount. Guadalupe mentioned that during the last budget meeting they cut many accounts, some by at least 10%. She mentioned that there was $300 cut from the Awards account which will now have $6,300. Next, she explained that the accounts ASG Student Give Back and Student Representation did not get cut in any way. Next she explained that the Contingency will be $1,500 next year, Inter-Club Council will have $6,000 and Leave A Legacy will remain at $7,000. Guadalupe then explained that the Student Activities account got cut about $50 from each event so now the account will have $2,750. The account Spot Renovations/U106 accounts did not receive any cuts and will remain at $2,000. Guadalupe also mentioned that the account Supplies got cut because there is no money for such expenses and this means helium will no longer be purchased for events because it is very expensive and the money for it is not being spent wisely. Lastly Guadalupe explained the Total Projected Expenditures was at $62,850, the Transfer from Reserves is $21,054, Estimated Student Sticker (March 2012) is $41,796 and the Total Projected Budget is $60,796. Discussion: Susana brought up the fact that many other groups use the helium tank for balloons during their event, so if we eliminate it, there might be some concerns. Ali Esquivel asked who would be in charge of fundraising for next year. Brian Perez mentioned that after discussing this question with future president George Sandoval, they thought it would be best if there were an Ad-Hoc Committee for fundraising next year. Lilia Brito and Melanie Michel both mentioned that in the future, the balloon expenses could come out of the total allotted for the specific event. Perez motioned to approve the Associated Student Government budget. Vivanco seconded the motion. Yes=5, No=0, Abstain=0. Motion passed. b. ASG Finals Stress Relief Days; Monica Zambrano asked ASG if they would like to have this event again this semester. The ASG Finals Stress Relief Days consist of having free cookies, coffee, tea, Bluebooks, pencils and scantrons available for students in The Spot during the first few days of finals week. Abraham Vivanco asked what kind of supplies would be bought for the event. Guadalupe mentioned that the money for this event would have to come out of the Student Activities account. Also during the discussion, the idea of next year having the same event but students must purchase a student sticker in order to benefit from the event. The group agreed that the student sticker should be used more frequently during ASG events, and that the student sticker needs to be advertised more so students will purchase it. Vivanco motioned to set the ASG Finals Stress Relief days budget to $550. Esquivel seconded the motion. Yes=5, No=0, Abstain=0. Motion passed. 7. Appointments: None. 8. Reports a. Executive Reports Presenter: Monica Zambrano, President

3 Monica stated that she attended the Student Senate of California Community Colleges General Assembly in San Francisco during the weekend of April She mentioned that she enjoyed her time there and made the most of it by attending breakout sessions on the first day of the conference. The first session Monica spoke about was on Time management. She said that during the session they spoke about how to run committees more efficiently by holding each person accountable for a certain task in the committee. She also noted that it would be a good idea for ASG to contact local businesses to coordinate fundraisers with them. The next break out session Monica talked about was on the Student Success Initiative and how important matriculation is. She also attended a breakout session on Massive Online Open Courses in which they talked about crediting students for this type of course. Lastly Monica expressed the fact that she found the resolutions sessions, interesting and full of knowledgeable and passionate people. Presenter: Justine Cathey, Executive Clerk Justine mentioned that she also attended the Student Senate of California Community Colleges General Assembly with Monica Zambrano, Abraham Vivanco, Ali Esquivel and Susana Sosa. She first mentioned that she attended a breakout session on Accreditation. She then proceeded to list ways that ASG can hold the campus responsible for keeping up with the accreditation standards: Find out what our campus accreditation standards are Join the SAC Accreditation Committee Encourage other students outside of ASG to join the committee Hold teachers accountable for presenting and implementing their SLOs Make sure the professor s SLO s are enforced and reinstated throughout the semester and at the end of the semester SLO s should be written in accordance to the accreditation standards Survey students to see if they feel the campus is measuring up to the standards Participate in the case study Ensure SAC does not lose their accreditation Speak with Academic Senate on how they can enforce the accreditation standards Justine then proceeded to express that she felt student involvement in any kind of shared governance is key to obtaining change. She also mentioned that ICC should be more involved in the things ASG is doing. Next she told ASG that the only way faculty and administration will take them serious is to know all the information about whatever the topic may be and be prepared for rebuttals. Justine also brought up the idea of having a once a month cabinet meeting where all the branches of ASG come together to exchange information. She also mentioned that the Senators should focus on making sure their deans are holding their respective departments accountable for meeting the accreditation standards. Justine also touched upon the idea of partnering with local business for fundraisers as mentioned by President Zambrano. Justine also presented the quote As we climb, we must lift that she heard from the speaker during the breakout session Women in Leadership. Lastly Justine mentioned that next year ASG should host a Meet-and-greet event where students would be more exposed to the Associated Student Government. Presenter: Brian Perez, Vice President Brian announced that Viridiana Mojica is the new Vice President Pro Tempore of the senate so she ran the last senate meeting. Brian also noted that during this last meeting the senate approved the money for the Student Leadership Banquet and the Asian Pacific American event. Brian announced that there is a pool tournament in the Spot this Thursday. Lastly, Brian told

4 ASG that the theater department is looking for nine males and nine females for an upcoming play. b. Commissioner Reports Presenter: Ali Esquivel, Publicity/Public Relations Commissioner Ali told ASG that he also attended the Student Senate of California Community Colleges General Assembly alongside his peers. He mentioned that he attended breakout sessions as well. The first one was about helping lower the book costs to help college students better afford textbooks. He also noted that there is a possibility of having open books online in a central library. Ali also attended a breakout session on Participatory Governance. He told ASG that he learned about how the Brown Act of 1988 is the reasoning behind why Associated Student Government even exists. He also said that because of Educational Code Title 5, there is mandatory student participation during school decision making. Lastly Ali recapped the Effective Planning breakout session he attended. He said that the session turned into a student focus group for the facilitators. Ali would like to have local business advertisements on the sacasg.com webpage. Presenter: Melanie Michel, Cultural Awareness Commissioner Melanie described the Asian Pacific American event as successful with good attendance. Even though the event took place in the later afternoon, Melanie felt pleased with the turnout. She mentioned that during the event they had activities like trivia questions based on information at their event snack table. She also told ASG that they had the organization OCAPICA( orange Country Asian Pacific Islander Community Alliance) present handing out resources provided for Asian Pacific Islanders. Melanie said they also held a hula hoop contest for prizes like gift cards and movie tickets. At the event tables there were snacks, drinks and ASG applications. Melanie extended her gratitude toward Virdiana Mojica, Brian Perez, Eduardo Gallegos, Lilia Brito, Monica Zambrano and Susana Sosa. Presenter: Lilia Brito, Activities Commissioner Lilia noted that after the meeting she will speak to Linda about the ASG Finals Stress Relief event. She feels that having the event in the early morning would work best since this is when the most students are on campus. Presenter: Abraham Vivanco, Legislative Commissioner Abraham extended his gratitude to ASG for the privilege of attending the SSCCC General Assembly with Monica Zambrano, Justine Cathey, Ali Esquivel and Susana Sosa. Abraham commented on how a student participant from another college was very vocal about his negative feelings toward the SSCCC. Abraham then proceeded to explain to ASG that the state of California is divided into 10 Regions and each of these regions is comprised of community colleges who then choose delegates to represent them in region meetings or whenever necessary. He also told ASG that we are in Region VIII. Like his peers who attended the SSCCC General Assembly, Abraham also attended breakout sessions. The first breakout session Abraham described to ASG was about Financial Aid. He felt that he did not learn anything new from this session because it became more of a focus group with no solutions coming out. But he did note that at other campuses they have financial aid buildings to accommodate all students. Abraham also explained that he attended a breakout session about curriculum. He said he learned that California has the largest database in the world; it dates back to the 1960 s and contains very detailed information on student profiles. Lastly, Abraham announced that during the last Region VIII meeting, elections were held for the new cabinet members and he will bring the elections results to the next meeting. c. Committee Reports

5 Presenter: Justine Cathey, Banquet Committee Justine announced that the Leadership Banquet invitations have been sent out via , so please respond by May 9 th, Once the individual has RSVP d, they then need to pick up a ticket to ensure entry to the event. She also noted that the theme is Hawaiian Luau but the attire is still semi-formal. She mentioned the next meeting will be soon but for now if anyone has any questions about the event, they can ask her or Susana. d. Shared Governance: None. e. Student Activities Coordinator Presenter: Susana Sosa, Student Activities Coordinator Susana announced that the Student Leadership Awards banquet invitations were sent out this week. She also noted that the Hammond/North Cross awards voting is taking place this week in the Office of Student Life. She also announced that the Centennial Leadership Conference still needs student leaders to serve as volunteers for the event this Thursday. Susana also announced that she will be meeting with the four leaders for Student Leadership evaluations tomorrow. Susana also explained that she attended the Student Senate for California Community College (SSCCC) General Assembly in San Francisco. She noted that she attended the breakout session about the General Assembly s Nuts and Bolts which gave a broad overview of what the SSCCC General Assembly will be like. She also attended breakout sessions about parliamentary procedures and performance based funding. She also asked ASG to please RSVP to the banquet by Friday May 9 th, Lastly, Susana announced that Service Learning is having an awards ceremony in the Spot to recognize students who have done over 100 hours of community service.. 9.
