Call Meeting to Order NDSU STAFF SENATE EXECUTIVE COMMITTEE MEETING MINUTES June 20, 2012, 9:30 11:00 p.m. Location: Ceres, Room 312 LaDonna DeGeldere called the meeting to order at 9:30 a.m. Present were: Mary Asheim, Wendy Clarin, Laura Dallmann, LaDonna DeGeldere, Tina Exner, Bill Lenarz, Kris Mickelson, Jodi Pierce, Jill Spacek and Liz Thompson. II. Approval of the Agenda MOTION (Mickelson/Dallmann): to approve agenda as amended. MOTION CARRIED. III. Approval of the June 6, 2012 Staff Senate minutes MOTION (Dallmann/Exner): to approve minutes as amended. MOTION CARRIED. IV. Approval of the May 16, 2012 Staff Senate Executive Committee minutes MOTION (Dallmann/Asheim): to approve minutes as amended. MOTION CARRIED. V. Treasurer s Report Tina Exner Agency Fund - $ Appropriated Fund - $0 Local Fund - $7, VI. Membership Report Jodi Pierce Attachment 1 Lori Rezac and Andrea Abrahamson are no longer at NDSU, need to remove them from the attendance list. VII. Standing Committee Reports A. Bylaws Laura Dallmann will bring the bylaws for review to the next meeting. B. Election We are down 7 senators and Laura will be meeting with Kris and Jodi soon to discuss. C. Legislative Jeri Vaudrin, Vance Olson and Letha Cattanach are members of the committee, they have not met yet. D. Program Fall Fundraiser, the drawing for the big prizes will be the week of Homecoming. Gathering prizes and getting tickets ready to assemble. E. Public Relations Committee met and put together a list of all the things that they want to accomplish. A few of their priorities are to update the poster frames in the Memorial Union, work on updating the Staff Senate brochure and the third item is the New Employee Orientation. Do we have a budget, how much money do we have to work with. Can we do fundraising? Recommended that Mary Asheim verify this with Matt Hammer. Update the brochures, we would like to include the new brochures in the New Employee Orientation. It will not be ready for July, but the brochures should be ready for the next session in October. State Employee Week discussed some options for things that the Public Relations Committee could incorporate into the celebration. F. Scholarship Attachment 2 G. Staff Development see Program Committee above. H. Staff Recognition no report I. Valentine s Ball no report J. Gunkelman Award tabled until December. VIII. Other Committee Reports A. NDUS Staff Senate Spouse benefit package when both employees are state employees. Sick leave policy does not currently include in-laws, the question is being sent to HRC for review. B. COSE meet July 17, 2012 in Bismarck. Nothing more to report. C. Senate Coordinating Committee No policies for input or information. Next meeting will be the end of August. D. Traffic Issues Committee no report E. Bison Day of Honor no report

2 IX. President s Cabinet They have not met. The last few meetings have been cancelled. X. Unfinished Business A. Marketplace Use tabled B. Jump Drives and Cards Laura Dallmann to purchase a 4 GB drive for each committee and two 8 GB drives. Keep cards the same. C. FORWARD Survey Survey monkey has a limit of 100 responses unless you pay. GDC Group Decision Center will cost $25. For the survey, we will pay it. XI. New Business A. Escape Day Bus Laura Dallmann to send a blurb for the minutes. XII. Future Discussion meeting locations. Jodi going to announce who is responsible for the Exec Committee meeting and that person is responsible for booking a location. XIII. Advisor Comments no comments XIV. 5 Attachment 2 Staff Senate Scholarship Committee Final Report Committee members include: Chair, Matt Chaussee, Wendy Clarin, Janis Bork, Janine Trowgridge. Scholarships were advertised through the Staff Senate Website, in the Staff Senate Messenger and via the Staff Listserv. During the application window, the Scholarship committee received 23 applications, 17 of which met the minimum criteria for consideration. These consisted of 4 Staff applications and 13 Children of Staff applications. Applicants were given a unique applicant number to protect against any potential bias in scoring and these applications were distributed via Blackboard to Committee members along with scoring sheets. Committee members scored each applicant and submitted scores to the chair to compile the results. A meeting of the scholarship committee was held on April 19 th, 2012 to discuss the distribution of scholarship funds to scored applicants. The total amount available for distribution was $1,340 from the endowment fund with the Alumni Association. Upon reviewing the scores submitted from each committee member and discussing the content of the applications, the Scholarship Committee awarded scholarships in amounts from $100-$320 to applicants from each pool. The general distribution is as follows: Scholarship Pool Number of Awards Total Amount Awarded Staff 2 $200 Children of Staff 4 $1,140 General Students 0 $0 Unallocated N/A $0 Total 14 $1,340 General Notes Unfortunately, due to unforeseen circumstances, Staff Senate was not able to hold the Valentine s Ball resulting in the unavailability of the general student scholarship for this year. The Scholarship Committee is charged with organizing a fall raffle to contribute to the scholarship pool. Planning is well under way and a partnership with the office of TRIO programs has been established for support in pursuing this venture.
