1 RICHARD MONTGOMERY HIGH SCHOOL PTSA, INC. Meeting Minutes - September 17, :30 pm - RMHS Cafeteria Welcome and Introductions: The meeting called to order by Pat Wolf, President. Those in attendance signed in. The sign-in sheet is kept with the official copy of the meeting materials. A quorum was present. Introductions were made around the room. Approval of Agenda: Jinjer Azurée moved approval of the agenda. Linda Cruciani seconded. Approved by voice vote. Approval of Minutes: The minutes of the May 21, 2013 General PTSA meeting were distributed. Lori Merrill moved they be approved. Kavita Dawson seconded. Approved by voice vote. Treasurer's Report: Lori Merrill, Treasurer, presented the treasurer s report. The treasurer s report encompasses this YTD July and August. Spending to date has been approved using old budget categories. No one should exceed their allocated spending budgets. The Treasurer s report was filed and a copy is kept with the official copy of meeting materials. The Executive Committee decided to keep the General PTSA and Post-Prom accounting separate for tracking purposes, but all monies will remain in one checking account for simplicity. Approval of Budget: The proposed budget reflects the format that we'll see throughout the year with two separate accounts for the General PTSA and the Post Prom. The Post-Prom shows a deficit but had a surplus from last year to make up the difference. General account revenues are from memberships and donations. Grants are given to the school for classroom and school activities that enhance academics. The dues expense goes to the county PTA as well as the state and national. Approval tonight allows the treasurer to write checks based on direction of committee chairs on an ongoing basis. Lori Merrill moved the budget be approved. Linda Cruciani seconded. Approved by voice vote. Principal's Report and Presentation: The report included the announcement of Michele Adams' death and that she has a son here. Commencement this year will be on June 11 at 10 am at DAR. Senior parent meetings will be held in November and March. Back to School night is September 26. There will be an informational club fair on Main Street beforehand as well as during lunch for students on the same day. Parents will report to home room earlier this year at 6:40. A college information night will be held on October 12. On October 14, Columbus Day, there will be Open House for parents to observe classrooms. PSAT will be administered on October 16. Sylvia Costa is the new SSL coordinator. The full principal s report is kept with the official copy of the meeting materials.
2 SGA Report by Ye-Ji Lee, President: A walk for the homeless will be held on September 24. Participants will walk to Stepping Stones Shelter and have dinner from Noodles and Co. All proceeds go to Stepping Stones. Student may get SSL hours. Middle schoolers and parents may also participate. Homecoming - Anja Aniere from the Special Functions Committee spoke about Homecoming activities. They are looking for volunteers in two hour shifts (coat check or food and drinks). To volunteer contact her at alas109@yahoo.com. Student obligations must be cleared before students can buy a ticket for $30 or for $25 with donation of a canned good. RM s canned food drive was #1 in Montgomery County last year and was close to winning first place in Maryland. This year s drive will run from October 7 to October 11. The full SGA report is kept with the official copy of the meeting materials. FLEET STREET UPDATE by, Paula Strange, Pedestrian Safety Coordinator: Part of the plan to rezone the Rockville Pike includes replacing the grassy strip adjacent to the shopping center with an extension of Fleet Street. The PTSA and SGA voiced concern last year to the Rockville Planning Commission about student safety because this road would become a cut-through for traffic and there is a great deal of student pedestrian traffic along that walkway. The public comment period is now closed but the PTSA did officially oppose the extension of Fleet Street. The City of Rockville website is a very good reference for all details of the Rockville Pike Plan. Originally there were going to be four lanes for Fleet Street; it has now been revised to two lanes, with the east side to have a sidewalk, and the west side (the neighborhood side) to have a walkway. Once the Planning Commission finishes its work, the plan goes to City Council for discussion and approval. Dr. McLeod commented that it is likely that nothing would start for at least three years from now. For more information contact Paula whose can be found on the PTSA link on the RMHS website. Other Committee Reports are available in the printed materials (attached). Highlights include: Parents helped staffing guidance office during first week of school. PTSA sponsored a breakfast for staff upon return to school. Work is underway on student directory and there is one sponsor so far - Helen Rudd. The grocery program is a fundraiser; please link grocery cards to RM. The grocery store links are on the PTSA web page. The Reflections Program, a county/state/national competition for the arts is now accepting applications. Victoria Van Dyke moved to create a Bylaw Committee. Paul Scott seconded. Approved by voice vote. ELECTION OF BYLAWS COORDINATOR by the Executive Committee: Paul Scott moved that Emily Serway be named as Bylaw coordinator. Lori Merrill seconded. Approved by voice vote. LISTSERV MOTION: Victoria Van Dyke moved that the term Listserv be used as prescribed by L-Soft, the name owner, for the PTSA and RMIB electronic distribution lists. Kavita Dawson seconded. Motion passed by voice vote. At the Executive Board Meeting over the summer, it was decided switch to using electronic distribution list instead of the term Listserv because of possible trademark issues. Victoria Van Dyke, List Serve Moderator, discovered that we would have to close down both the PTWSA and RMIB Listservs to make the change. She researched the matter and found information on the L-Soft webpage about how to use the term Listserv
4 correctly. Those concerned about this usage should contact Lynn Perry Parker who will do further research if necessary. PRESIDENT S REPORT by Pat Wolff, President: The PTSA Board met over the summer and decided to accept donations for bricks with names embedded in them for $65/brick. Jeannine Kostka and Julie Corrigan are appointed to the Bylaw Committee. Kimberly Agnew-Heard and Liz McNamara are appointed to the Grant Committee. The PTSA is in need of a Second Vice President to coordinate the parent series. Tina Morgan needs help to proof read the student directory. Volunteers are needed to provide beverages for the staff lunch on September 27. Kavita Dawson is looking for volunteers to work at the PTSA tables at Back to School Night. A motion to adjourn was made by Lynn Perry Parker. Linda Cruciani seconded. Approved by voice vote. Meeting Adjourned.
