1 CITY OF BOISE To: FROM: Mayor and Council Finance and Administration and Public Works Departments ORDINANCE or RESOLUTION NUMBER: DATE: May 7, 2009 SUBJECT: Approval of Amendment Number 6 and 8, RFP ; Custodial Services, Public Works Department to ABM Industries, Inc., for general cleaning services in the additional amount not to exceed $100, ACTION REQUIRED: Amendment approval by resolution. RECOMMENDATION: Approval of Amendment numbers 6 and 8 to increase RFP ; for Custodial Services by $100, Amendment number 6 adds City Hall West Facility for Fire and Police in the amount of $39, Amendment number 8 adds the Main Library and West Branch Library in the amount of $61, Amendment 7 was a deduction to the City Hall Complex to cleaning 2 times per week verses 5 and to cancel cleaning services for Public Works Operation Division facilities due to the economy. The original contract amount was approved by Council on 11/21/2006 for $126, Over the years additional changes were made to the contract. On 11/5/2008 City Council approved a one year renewal for $185,000. Attached is a Contract Summary of the previous amendments. The new contract total amount is $242, FISCAL IMPACT/BUDGET IMPLICATIONS: Financial Services has confirmed sufficient funding is available for this obligation. BACKGROUND: This request for proposal is intended to provide for general cleaning services needed for City Hall, the Annex and Water Quality Division. It also includes Library Branches, City Shop, Communications, Government Building Shop and City Hall West. This contract allowed for use by other departments. This contract is good until November 30, The contract does have the option to renew one more year. ATTACHMENTS: Resolution and Amendment Number 6 and 8.

A RESOLUTION AUTHORIZING THE MAYOR AND CITY CLERK TO EXECUTE ON BEHALF OF THE CITY OF BOISE CITY, AMENDMENT NUMBER 6 AND 8 FOR RFP ; CUSTODIAL SERVICES FOR BOISE CITY, PUBLIC WORKS DEPARTMENT, BETWEEN THE CITY OF BOISE CITY AND ABM INDUSTRIES, INC., AND PROVIDING AN EFFECTIVE DATE. WHEREAS, Finance & Administration and Public Works staff recommend award of RFP ; Custodial Services for Boise City, Public Works Department, to the highest ranked Proposer, ABM Industries, Inc. and, WHEREAS, during their meeting of 11/14/06, the City Council followed staff recommendation and awarded Resolution No , RFP ; Custodial Services for Boise City, Public Works Department, to ABM Industries Inc.; and, WHEREAS, this amendment is to add addition scope of work to the original contract and increase the contract amount by $100,609.12; and, WHEREAS, Finance & Administration and Public Works staff believe that it is in the best interest of the City to contract with ABM Industries, Inc. NOW THEREFORE, BE IT RESOLVED BY THE MAYOR AND COUNCIL OF THE CITY OF BOISE, IDAHO: Section 1. That Amendment Numbers 6 and 8 by and between the City of Boise City and ABM Industries Inc., for RFP ; Custodial Services for Boise City, Public Works Department, a copy of these amendments, marked Exhibit A, is attached hereto and incorporated herein by reference, be, and the same hereby is, approved both as to form and content. Section 2. That the Mayor and City Clerk be, and they hereby are, authorized to execute and attest said amendment on behalf of Boise City. Section 3. That this Resolution shall be in full force and effect immediately upon its adoption and approval. McNeley Phone: (208) Fax: (208) Main Library: Task Frequency Sheet 7 days/week, 114 hours/week Main Library approximately 80,000 square feet, 4 floors, 8 sets of restrooms, 4 kitchen areas Cole & Ustick Library: Task Frequency 6 days/week Task Weekly Monthly Quarterly Annually Comments 7x /6x Carpet Areas & floor mats Hard surface floors - marmoleum Trash empty (new liner if needed) Trash receptacles throughout Dusting Wipe all public tables Dusting damp wipe staff desks in staff areas and circ. desks Dusting Book shelves 7x/6x 7x/6x 1x, Mondays 7x/6x 7x/6x 1x, Mondays Thoroughly vacuum using beater bar/brush type vacuum, remove all spots/stains on carpet this includes gum or coffee spills Wet mop with non-tracking, nobuildup cleaner, removing all scuff marks All cans throughout facility, including restrooms, including receptacles inside stalls, includes receptacles outside of front entry doors, includes emptying of ash tray outside front entry door Clean thoroughly Clean thoroughly Do not move personal items. Do not use abrasive cleansers. Use only a clean cloth. Feather dust tops of book shelves, wipe off bottom shelves

Area s to be cleaned are Library facilities referenced in above address. ABM shall provide their own cleaning supplies, shall use their own cleaning equipment, and shall use high-end, quality cleaning products, as approved by Boise Public Library. ABM shall provide all paper products, hand soap, garbage can liners, and feminine hygiene products.
12 Products used for the Cole & Ustick Library building must be EcoLogo or Green Seal certified or provide demonstrable proof of meeting the EcoLogo or Green Seal standard and certification requirements.
