1 (TO BE OBTAINED ON Rs. 100/- STAMP PAPER ) AGREEMENT This deed of Agreement is executed on this between the Karnataka Khadi Gramodyog Sangh(Federation), Bengeri, Hubballi herein-after called as the first party. and Shri the Fabricator herein - after called as the second party. 1. WHEREAS the First party is going to conduct a State Level PMEGP Exhibition for 07 days at Glass House, Hubballi for the period from to The First Party called tender for Fabricator for Organizing State Level Exhibition vide paper publication dated: from interest parities. 3. Accordingly in all Tenders were short listed. These tenders were opened by the Exhibition Committee in its meeting held on The Second Party being lowest quoted tenderer, was considered for organization of Exhibition work. 4. WHEREAS the Second Party agreed to execute the work as per specifications and plan agreed upon by the First Party for a total amount of Rs lakhs. And the First party is also agreed to pay the amount on following terms and conditions. 5. % payment will be released along with the work order after signing agreement against irrevocable bank guarantee for the aforesaid amount. 50% payment will be made after satisfactory execution work of the exhibition to be certified by an officer authorized by the Exhibition committee. % will be released on receipt of the report of completion of exhibition including photos and other formalities. 6. It is agreed by the Second Party to execute the following work to the best satisfaction of the First Party. Further the following works have been agreed by the Second party in connection with exhibition. a) Over all design of the exhibition. b) Stall layout c) Stall structure d) Main pavilion of all stalls of 8ft x 8ft ( stalls) should be fully covered from all the sides all along the peripherals. e) Un-interrupted power supply is to be ensured by the Second Party daily between 11 AM. to 11 PM. f) Partitions should be octonorm panels of 8 feet height 1

2 g) Entire area should be coir carpeted as per the design. h) Facilities: Tables, chairs, racks etc. to be provided in each stall i) Lighting arrangements in stalls j) Lighting arrangements in overall exhibition venue inside and outside k) Design of Main entrance, display panels, flex hoardings l) Arrangement for security and safety measures. m) All the main stall areas, theme pavilion, office, should be raised with platform of at least 1 feet height from the ground level and property nailed. n) Other incidental works related to exhibition as per FIRST PARTY requirements. 9. The Second party shall be solely responsible for any omission or any incidents, injuries that may occur in the exhibition area due to his negligence or deficiency of service. The first party shall not be made party for any of the incidents that may occur except the work related to promotion/ sale of Khadi and V.I. Products. 10. In the event of unsatisfactory performance of work by the Second Party, the First Party shall have the right to terminate the Contract at any stage and award the work to some other Contractor /Contractors. In such an event, the Second Party shall be liable to pay damages equivalent to double the contract amount and other additional expenses incurred by the First Party for completing the work/ rectification of mistakes. 11. Other terms, conditions and requirements as specified in the Tender document binds on both the parties. The Tender Document shall form part of this agreement. 12. The Second party shall handover the ground for occupation of stall holder on or before at 1.00 PM. 13. After the completion of the Exhibition, the Second Party shall dismantle the structures, remove all the materials and give vacant 2

3 possession of the ground to the First Party, within a day failing which the Second Party shall be responsible to pay the ground rent and other damage charges levied by the owner of the ground and the same shall be adjusted by the First Party against his final settlement. 14. Both the parties to the Agreement hereby agree that any dispute between them relating to the above subject shall be resolved by a sole arbitrator through arbitration, failing which for legal recourse the courts at Hubballi alone shall have the jurisdiction. Capacity 2 07 days. 7 Providing two table of 4.5 ft. x2 ft. for each stall covered with white table cloth upto the ground level on the front side. (2x35) 8 Providing two moulded chair for each stall. 7 KARNATAKA KHADI GRAMODYOGA SAMYUKTA SANGH (F), BENGERI-HUBLI (Karnataka State) PHONE No /FAX: SHORT TENDER NOTICE Sealed Tenders are invited from the registered, experienced and eligible fabricators /stall erector for erection /fabrication of stalls for State Level PMEGP exhibition at Glass House, Hubli, from to The Tender forms will be issued upto and should reach on at hrs. The Local Exhibition Committee will open the Tenders at hrs on the same day. The eligible fabricators /stall erector can obtain the Tender documents from Karnataka Khadi Gramodyog Samyukta Sangh (Fed), Bengeri-Hubli-23 during the office hours on working days by paying non-refundable application fee of Rs.1000/- (Rupees One thousand only) by way of Demand Draft /Cheque. The bid documents should be submitted along with EMD of Rs.10,000/- (Rupees Tend thousand only) in the form of Demand Draft in favour of Karnataka Khadi Gramodyog Samyukta Sangh (Fed),. The tender documents can also be down loaded from the KVIC website : and the tender fee should be remitted along with the tender documents. 8 TERMS & CONDITIONS PMEGP - STATE LEVEL EXHIBITION TO BE CONDUCTED FROM TO The lowest rate quoted will be taken as L1, L2, L3 & L4 etc. and L1 will be awarded with the work of erection of stalls. 2 After the completion of the exhibition the contractor shall dismantle the stalls and remove all the materials on the completion of the exhibition. If the dismantling and removal of the material of the stalls is not made within 1 day the penal charges will be levied by the Municipal Corporation, Hubli, which will have to bear by the Contractor. 3 All electrical fittings should be in working condition throughout the exhibition period and the contractor should ensure the prompt repair and replacement of items etc. as and when required. 4 Necessary electrical safety measures should be adopted for all fixtures. 5 Services of qualified electricians should be made available during the entire exhibition period. 6. Any damage of the stalls etc. shall be replaced I repaired by the contractor immediately. 7. The erection of the stalls should be completed as per the specifications, design and handover the stalls by by noon. 8. The contractor should submit the Bank Guarantee letter for the amounts to be released by KVIC. 9. The payment for erection of the stalls will be made as: a) % of the total amount along with the work order. b) 50% of the total amount at the time of taking procession of the stalls. c) The remaining amount will be paid after completion of the exhibition EMD of Rs.10,000/- in the form of Demand Draft I Cheque obtained in favour of the KKGSS(Fed), Bengeri, Hubli from any Nationalized Bank to be deposited along with the Tender documents. 11. Sales Tax or other taxes applicable on the work shall be paid by the contractor only and the rates quoted should be inclusive of all taxes etc. 12. TDS will be made from the final payment as per rules. 13. Any other terms and conditions prescribed by the K K G S S ( F e d ), B e n g e r i, H u b l i from time to time are applicable. 14. Exhibition will be continuous for 07 days. Contractor has to keep in position the required number of technicians for proper maintenance of the pavilion. 15. The Secretary, KKGSS(Fed), Bengeri, Hubli has right to accept/alter/cancel or reject the tenders at any stage. 16. Flower decoration to be made for inaugural and valedictory functions. 17. Performance Bank Guarantee for the advance amount to be released will have to be furnished by the Contractor. 18. Copy of the GST Registration Certificate along with Cliental list to be furnished.
