4 Accessing Comment Editor Introduction COMMENT EDITOR can be accessed from two main areas when marking student reports. 1. The marking grid when GROUP BY SUBJECT is selected. 2. The Student s subject page when GROUP BY STUDENT is selected. When the Comment Editor is accessed, all functionality is the same regardless of where it was opened from. Note: Comment Editor can also be accessed from the Student Cover Page by clicking on STUDENT NAME in STUDENT VIEW (ie when there is Cover or Back Page Comments allocated). Group by Subject COMMENT EDITOR can be accessed when entering grades in the marking grid for a subject. This allows you to enter comments quickly and easily whilst entering grades. 1 Select SUBJECT in the top left corner to ensure you are marking the report by Subject. 6 Accessing Comment Editor, Continued Group by Student The COMMENT EDITOR can be accessed from the Student subject page in the Group by Student view. 1 Select STUDENT in the top left corner to ensure you are marking the report for a Student. 2 Click on the + next to the student name, and click on the required subject for that student. 8 Working with Comment Editor Comment Editor The COMMENT EDITOR is where you construct a student report comment by using a standard set of comments, or manual entry. This also allows you to maintain your own comment bank (My Comments). Follow the steps in the table below to use the COMMENT EDITOR. 1 Once the Comment Editor has been opened, click on the + sign on the left of a COMMENT category. Result: Any sub-categories or comments in that category will drop down. 2 Click on a comment category to view the available comments in the right side of the form. 9 Working with Comment Editor, Continued Comment Editor (continued) 3 To select a comment, click on the ADD link on the left of a comment. Result: The comment is added to the bottom half of the form. 4 To add additional text to the comment, click in the pane at the bottom of the form where the comment has been added, and type the additional text. 10 Working with Comment Editor, Continued Spell Check 5 To Spell Check the report comment you have created, click on the CHECK SPELLING button. Result: The SPELL CHECKING form is displayed. 6 Select the appropriate button to: IGNORE the word, ADD the word to the dictionary, or CHANGE the word. 7 A notification message is displayed when the spell check is complete. 12 My Comments Introduction When entering comments for a student, you can create your own Comment Bank. In the Comment Bank you can create categories and add your own comments to those categories. My Comments Follow the steps in the table to below create your own bank of comments. 1 Whether entering comment by Subject or by Student, you can access the EDIT COMMENTS form. GROUP BY SUBJECT view Click in the TEACHER COMMENT field. GROUP BY STUDENT view Click on the EDIT/SPELL button. Result: The Comment Editor is displayed. Reporter Pro Web - Comment Editor Page 10

14 My Comments, Continued My Comments (continued) 3 To create a new category, click on the appropriate MY COMMENTS folder to highlight it and click on the ADD CATEGORY button. Result: A field is made active to enter the category name. Reporter Pro Web - Comment Editor Page 12

Result: The Category is added to MY COMMENTS. 7 To add a new comment to a category, click on the required CATEGORY. 8 Click on the ADD COMMENT button in the middle of the form. 16 My Comments, Continued My Comments (continued) Result: A New Comment text box is made active at the bottom of the form. 9 Enter the comment in the box at the bottom of the form. Note: You have access to the following buttons. CANCEL ADD closes the Add Comment form. INSERT <x> smart name replacement. This will alternate between the student s name and pronoun. It rotates from student name, to two pronoun uses, and then back to the student name. Example, Jane will improve in her reading if she reads every night. Jane needs more practice. INSERT <name> will always use the student name, not a pronoun. CHECK SPELLING launches the spell check. SAVE saves the comment to the selected category. Note: Smart Name Replacement converts all pronouns to be gender specific for the student. To stop it from doing this we place % in front of the required pronoun. Sometimes a pronoun refers to a third party and you do not want it to be changed. Example. If the report is for a girl, and you have a comment for Religion about Jesus and His teachings, it will try to replace the His with Her because the report is for a girl. If you type: Jesus and %His teachings It will keep the His pronoun and remove the %. Reporter Pro Web - Comment Editor Page 14
17 My Comments, Continued My Comments (continued) 10 Click on the SAVE button at the bottom of the form. Result: The comment is added to the selected category. 11 Add any additional COMMENTS or CATEGORIES. 12 Click on the CLOSE button at the bottom of the form, when all comments are complete, and select SAVE on the EDIT COMMENTS form. 18 Comment Tags and Filters Introduction The Comment Bank can be filtered to show only the required comments for the Teacher and Subject, as well as any other comments that you have selected. This is done using Tags and Filters. The use of Tags allows you to only display the comment categories that are relevant to a particular subject/comment type. When you return to that subject, the tags are remembered and only the relevant comment categories will be presented. This makes writing student comments faster and easier. Tags Follow the steps in the table below to TAG comments. 1 Whether entering comment by Subject or by Student, you can access the EDIT COMMENTS form. GROUP BY SUBJECT view Click in the TEACHER COMMENT field. GROUP BY STUDENT view Click on the EDIT/SPELL button. Result: The Comment Editor is displayed. It is not necessary to select the sub-categories. A sub-category and the comments in that subcategory Select the checkbox for the subcategory only. It is not necessary to select the comments under that subcategory. A comment group only Select the checkbox for that comment group only. Reporter Pro Web - Comment Editor Page 17
20 Comment Tags and Filters, Continued Tags (continued) 3 When you have tagged the required comment categories, subcategories and groups. Click in the SHOW TAGGED ONLY checkbox at the bottom of the form. Result: The form will refresh, showing only the tagged items. 4 Click on SAVE TAGS to save the tagged settings. In the example above, the tags have been saved for English Teacher Comments. Note: To view all categories, take the tick OUT of SHOW TAGGED ONLY. If a teacher sets up tags for both English and Maths, those subject comments will only appear when entering comments for that specific subject, i.e. the English category will be displayed when entering comments for English, and the Maths category will be displayed when entering comments for Maths. 21 Comment Tags and Filters, Continued Filters Follow the steps in the table below to apply filters to the comments. 1 Comments can be filtered to view GENERAL categories, or SUBJECTS, or both. Note: When BOTH check boxes are selected ALL comment categories are being viewed. 2 When SHOW SUBJECT is selected, the subjects can be filtered using the drop down list. 3 Select the required filter. The options to filter subjects are: ALL CURRENT LEARNING AREAS ONLY CURRENT SUBJECT ONLY Result: The comment categories will be filtered according to the selected filter.
