INTRODUCTION TO GRADING COMMENTS Figure 1 The Grading Setup Comments List Comments Screen Introduction Grading Comments are those pre-set lines of text that teachers can select during Grade Posting and which appear on students report cards. Grading Comment Categories Every Comment is placed in one or more Grading Comment Category. The Categories are used to determine which set of Comments teachers can pick from during Grade Posting. The number of Comment Categories is unlimited: you may create as many as you need. Common categories include: o HS Comments o Projected Grade Comments o Interim Comments o Teacher Recommendations Grading Comments These are the actual Comments teachers will select from. Each is linked to one or more Categories. You can create as many Comments as you need: there is no limit on the number that can be created. Grading Comments and Grading Comment Categories are specific to one school. Typically each school will have its own set. 7/26/2007 Page 2 of 9

Navigate to the Grading Setup Comments Categories screen. This shows a list of the current Comment Categories. 2. Click the Add Category tab. This brings up the Add Category screen 3. Enter a short Code that uniquely identifies the Category. 4. Enter the Description of the Category. 5. Enter a Sequence # - this number only controls how the new Category will be sorted in the list of Categories on the Grading Setup Comments Categories screen. 6. Click Add to create the new Comment Category. Repeat Steps 2 to 7 to add additional Comment Categories. 7/26/2007 Page 3 of 9
4 II. ADDING GRADING COMMENTS Figure 4 The Grading Setup Comments Add Comment Screen Procedure to Add a Comment 1. Navigate to the Grading Setup Comments List Comments screen. This shows a list of the current Comments.. 2. Click the Add Comment tab. This brings up the Add Comment screen 3. Enter a short Code that uniquely identifies the Comment. 4. Enter the Description of the Comment. This is the actual Comment text itself. 5. Enter the Abrreviation of the Comment. 6. Select the Categories this Comment will be part of. A Comment can be associated with multiple Comment Categories in the school. The list of Comment Categories that appears here are those that have been created for the school. 7. Enter a Sequence # - this number only controls how the new Comment will be sorted in the list of Comments on the Grading Setup Comments List Comments screen. 8. Procedure to Delete a Grading Comment 1. Navigate to the Grading Setup Comments List Comments screen. 2. Locate the Comment you wish to remove and click the corresponding Delete trashcan icon. 3. Click OK to remove the Comment. Click Cancel to abandon the operation. 7/26/2007 Page 6 of 9

8 IV. MODIFY A GRADING COMMENT Figure 6 The Grading Setup Comments Modify Comment Screen Procedure to Modify a Grading Comment 1. Navigate to the Grading Setup Comments List Comments screen. This shows a list of the current Comments. 2. Locate the Comment you wish to modify and click the corresponding Modify icon. This brings up the Modify Comment screen 3. You may update the fields listed below. Note that you cannot alter the Code that uniquely identifies the Comment. Update the Description of the Comment. This is the actual Comment text itself. Update the Abrreviation of the Comment. Alter the Categories this Comment will be part of. Unchecking a Category removes the Comment from that Category. Checking a Category places the Comment in that Category. Update the Sequence # - this will change the position of the Comment in the list of Comments on the Grading Setup Comments List Comments screen. 4. Click Modify to update the Comment.
