1 39 TH GENERAL ASSEMBLY OF THE ASEAN INTER-PARLIAMENTARY ASSEMBLY (AIPA) 3 TO 7 SEPTEMBER 2018 SINGAPORE SECTION 1 GENERAL INFORMATION As at 26 July Date and Venue of Meeting The 39 th AIPA General Assembly (GA) will be held at Raffles City Convention Centre (RCCC) from 3 to 7 September All meetings and functions will be at Level 4 of RCCC unless otherwise stated. The details of RCCC are: Raffles City Convention Centre 80 Bras Basah Road Singapore Tel: (65) Fax: (65) Official Language The working language of the conference is English. Delegates who require interpretations and translation from the English language should bring their own interpreters. English translations of their speeches should be forwarded to the Conference Secretariat in advance, for circulation at the General Assembly. 3. Registration AIPA Members and Observers are kindly requested to register their delegates attending the 39 th AIPA GA via an online registration form no later than 23 JULY The link to the registration form will be ed to the AIPA Member Parliaments and Observers. 4. Luggage Luggage tags will be sent to AIPA Members and Observers beforehand. Delegates should attach these tags to their luggage for identification purposes and speedy clearance of their luggage. The respective delegation secretaries will be responsible for the proper collection of their Delegates luggage after arrival and before departure. 6. Identification Badges All Delegates will be issued identification badges. They are requested to wear these badges throughout the conference period for purposes of security and identification. Delegates are requested to submit a digital passport-sized colour photograph, with white background (35mm x 45mm, 300dpi resolution or higher, in jpeg format, not exceeding 200KB per photo) of themselves in the online registration form when they submit their registration form. 7. Liaison Officers Two liaison officers will be assigned to each AIPA Member Delegation and one liaison officer to each Observer Delegation. 8. Flight Arrangements and Airport Transport Delegation secretaries are requested to inform the AIPA Desk located at Level 4, Convention Foyer, RCCC, of any change in their Delegates flight schedules at least 12 hours in advance of the scheduled departure. This will facilitate the expeditious arrangement of local transport to the airport. Airport transfer is available from Monday 3 September 2018, 00:01 hrs to Friday, 7 September 2018, 23:59 hrs. Delegates are advised to assemble at the Fairmont Singapore Lobby, two hours prior to their departure flights. 9. Official Website The official website of the 39 th AIPA General Assembly is at Delegates have been informed of the launch of this website on 11 July Delegates are kindly advised to check the website and the AIPA2018 App regularly for the latest updates and conference documents. 2

3 SECTION 2 HOSPITALITY 1. Accommodation The accommodation hotel for all Delegates is Fairmont Singapore. The details of Fairmont Singapore are: Fairmont Singapore 80 Bras Basah Road Singapore Tel: (65) Fax: (65) Website: Hotel accommodation with free in-room Wi-Fi access will be provided from 3.00 pm on Monday 3 September 2018 to 12 noon on Friday, 7 September 2018 (4 nights), for the following: (a) AIPA Member delegation Fifteen (15) Delegates and spouses, and two (2) delegation secretaries. (b) Observer delegation Two (2) Delegates and spouses, and one (1) delegation secretary. Apart from airport transfers, AIPA hospitality will commence from the Hotel s official check-in time of 3 pm on Monday, 3 September 2018 to 12 noon of Friday, 7 September Meals and Receptions Breakfast and meals (excluding alcoholic beverages) will be provided for Delegates at venues specified in the Conference Programme. Delegates wishing to make other meal arrangements will meet the cost themselves. All officially-hosted Delegates are cordially invited to the receptions and events indicated in the Conference Programme. 3. Transportation Transportation to and from the airport and for all official functions will be provided. Leaders of AIPA Member delegations will each be provided with a car. Coaches will be provided for other delegates and accompanying persons for official programmes and functions. Fairmont Singapore and the Raffles City Convention Centre are conveniently located near the City Hall MRT station. Personal transport can be arranged with the Hotel s concierge at the Delegate s own expense. 3

4 4. Medical Assistance and Insurance For medical emergencies, please call the Hotel operator or the Hotel duty manager. Medical charges incurred will be at the Delegate s own expense. Personal and health insurance is the responsibility of individual Delegates. The Parliament of Singapore does not bear any responsibility for the loss of baggage, money, personal belongings or any medical expenses. 5. Additional Expenses Any arrangements made by Delegates for accommodation and meals, other than those specified above, and charges for room service, alcoholic beverages, mini-bar items, laundry, telephone calls (local or overseas) and sundry expenses will be at the Delegate s own expense. Delegates are encouraged to check the status of their personal accounts at the Hotel cashier and settle them before departure. SECTION 3 CONFERENCE FACILITIES 1. Conference Secretariat The Conference Secretariat is located at the Wilberforce Room, Level 4, RCCC. It will be open from 3 to 6 September 2018 from 9.00 am to 6.00 pm. 2. AIPA Information Desk The AIPA Information Desk at Level 4, Convention Foyer, RCCC, will be open on 3 to 7 September All Delegates are kindly requested to register at the AIPA Information Desk after their check-in at the Hotel. Identification badges will be distributed at the AIPA Information Desk. 3. Internet Services and Business Centre Free Wi-Fi Internet access will be available for Delegates at RCCC. A Business Centre with computers, printers and photocopying services is available at the Clark Room, Level 4, RCCC. 4

5 4. AIPA2018 App and Documentation To encourage green resources, the AIPA2018 App (accessible on ios and Android devices) will be used at the Meeting to view conference documents. More information on the App will be made available in due course. Relevant conference documents will be published on the official website of the 39 th AIPA General Assembly ( and on the AIPA2018 App. No paper copies will be used during the events as the conference follows a printed paper reduction policy. 5. Interpretation Delegates who require interpretations and translation from the English language should bring their own interpreters. Interpretation booths will only be provided within the available technical facilities at RCCC for the Opening, Plenary and Closing sessions on a first-come-first serve basis.
