1 Sunbonnet Sue Quilt Club of the Olympic Peninsula November 2015 To further the act and skill of quilt making and to foster an appreciation of quilts old and new. Christmas Stockings for NOFPA (North Olympic Foster Parents Association) We have collected 66 wonderful stockings as of Oct. 21 st and look forward to seeing more of your creative gifts. These stockings really are gifts of love from our club to parents of foster children. In addition to the stockings, many members like to donate items for stuffing the stockings and/or monetarily to this cause. (Checks should be made payable to NOFPA). We will set a box for these donations near the stocking display throughout November. Items collected will be placed on the foyer donation table on December 9 th. What a joy to see this display of kindness from our club when gathering for our party. 2 October Business Meeting Highlights The meeting was called to order at 10:00 by President Doris. Board members present were: President Doris Brown; Vice Presidents Diana Fisher and Katie Henderson; Treasurer, Maryann Ballard; Secretary Gail Mabbutt; and Parliamentarian, Susan Bermel. IMPORTANT DATES Nov 4 10:00 Board Meeting 11:00 Announcements Nov 11 10:00 Business Meeting Nov 18 11:00 Announcements Nov 25 Community Quilts 11:00 Announcements MINUTES The minutes from the September Business Meeting were approved and are posted in the cupboard. FINANCIAL REPORTS Maryann Ballard reported that the current Financial Summary and Income and Expenditures report are posted in the cupboard. The year to date income is $41, and year to date expenses are $40, BOARD REPORTS President Doris Brown Doris and Nominations Committee member Seri Mylchreest announced the candidates for the 2016 Board offices. The nominees are: Judy Anderson, President; Judy Ramos and Kath Beecher, Vice Presidents; Seri Mylchreest, Treasurer; and Mary Borland Liebsch, Secretary. Doris asked if there were additional nominations and there were none made. Elections for the 2016 officers will take place at the November Business meeting. Doris asked for someone to assist Nancy Pellegrino with opening the hall and Alanna Levesque volunteered. Vice Presidents Katie Henderson and Diana Fisher Final details about the upcoming bus trip were reviewed. Diana announced that selection of the 2015 Member of the Year will be made at the November business meeting. Each member will receive a form to submit their preference and needs to submit this form at the November meeting and the Member of the Year will be announced in December. Katie recognized the Studio Tour participants and drew names for the door prizes (Elaine Lenox and Kath Beecher were the winners). OLD BUSINESS By Law Changes Doris Brown Doris presented the proposed changes to the By Laws for the second time: Article III (Membership-Dues-Meetings) removes any reference to meeting attendance being required for membership and a minor clarification about the payment of initial dues (Section 1) Article III (Membership-Dues-Meetings) - Clarifies the deadline for payment of annual dues and the consequences of non-payment (Section 3, as amended at September business meeting). The motion to approve this change was made by Catherine Bilyard and seconded by Kath Beecher. The motion passed. Article V (Duties of Officers) - Removes the requirement that the Vice Presidents shall be in charge of parties (Section 2 Vice Presidents). There was significant discussion regarding this proposed change. Specifically, there was great concern raised about who would be responsible for future Christmas parties. It was suggested by Kath Beecher that a change be made to Article II of the Standing Rules to provide that the Vice Presidents will perform in advisory capacity to assist the Christmas Party Committee to resolve this concern. The motion to approve this change was made by Betty Cook and seconded by Lois Brestoff. The motion passed Article V (Duties of Officers) - Clarifies that the Treasurer s monthly report will be Page 2

3 written (Section 4 Treasurer). The motion to approve this change was made by Maryann Ballard and seconded by Carolyn O Neill. The motion passed Slate of Officers The following nominees for the 2016 Board will be presented for election at the November Business Meeting: President Judy Anderson Vice Presidents Kath Beecher and Judy Ramos Secretary Mary Borland-Liebsch Treasurer Serena Mylchreest NEW BUSINESS Standing Rule Changes Doris Brown Doris discussed the proposed changes to Articles III, I and, V of the Standing Rules Revise Section III, 2. To clarify the types of activities that the club may be involved with: the revised section would be No commercial or political activities are permitted at club meetings. Charitable activities shall be limited to Community Quilt donations, Joy Quilts, Christmas Stockings for Foster Children and the Sequim Food Bank. Exceptions will be made only by affirmative vote of the membership. There was considerable discussion about this Standing Rule (existing and proposed) and the matter was tabled for further review. Revise Section IV, 9 to add:, including leaving the kitchen clean and locking the outside doors. This change addresses the concern that members are not consistently cleaning the kitchen and the hall before closing the building. Doris and several members reminded everyone in attendance that cleaning up and securing the Lodge building before leaving is a responsibility of all members. Add to Section V, paragraph 7 Budget: The club shall operate under a budget approved by the membership. Officers and chairpersons of committees are expected to function within their committee budget. Expenses of more than $25 beyond the committee's budget must be approved by the Board before reimbursement can be made by the treasurer. It is the responsibility of each chairperson to track their income and expenses and diligently seek the most economical resources. A motion to approve this revision was made by Sue Nylander and seconded by Marijane Figg. The motion was passed. COMMITTEE REPORTS Education Catherine Bilyard Catherine updated members about the schedule for the Garment fit and Jacket classes. She also announced she will be presenting an Education Extravaganza at the November 18 meeting. This will be an opportunity to learn more about the plans for2016 classes and give input to the Education Committee. Catherine expressed concerns about the number of students for out of town instructors given the costs that must be covered. She suggested a new price schedule for classes starting with the bag class in January. The cost for that class will be $50 is there are 15 sign ups and $75 if there are 10 sign ups. Members who sign up will pay $75 in two checks ($50 and $25). If 15 people enroll, the $25 check will be returned. Membership Sharon Witt Sharon introduced Patty, a friend of Toni Tobin who is visiting the club. Christmas Blocks Sharon Clayton announced that there still a few appliqué Christmas block kits available for $2. She displayed several samples of gingerbread house to provide ideas. Sharon Witt displayed the pieced Christmas block kits for sale. She thanked Lois Brestoff for creating this pattern for an oversized block Page 3

5 Kudos Received Loretta Bilow received the following from Sharon Pederson, author of the book, Rose of Sharon, which was the inspiration for our 2015 raffle quilt. Congratulations to all who worked on the quilt. First, let me tell you again how absolutely wonderful your version of the Rose of Sharon quilt is. Of all the ones I've seen this is the best. Your group did an amazing job and the person who won it is very lucky. It is not necessary for her to thank me, and the blocks were not designed by me but by a group of talented designers who entered their blocks in the challenge. The entire process of the Rose of Sharon Block Challenge, making the DVD, writing the book etc, was a labour of love and its success was all the thanks needed. Thanks again Loretta and I'm going to print the picture of your group's quilt for my scrapbook. Cheers Sharon A Quilter treasures life s moments one stitch at a time. She knows the joy of patiently creating a work of art that can only grow more precious with the gift of years. SNOW CLOSUES Club openings and activities will be cancelled whenever the Sequim School District is closed or has a two-hour delay in opening. This information will become available on the Sequim School District website, local radio and TV stations and the Sunbonnet Sue Quilt Club website She tells a beautiful story with patterns and colors. And the patchwork of her life is woven with threads of laughter and tears, memories and dreams. A quilter understands the value of preserving the past and has a heart gentle enough to stitch the gift of love into our lives for the future. A Quilter knows the blessing of treasuring life s moments one stitch at a time. Author: Kimberly Rinehart Page 5
