1 Stitchers Quilt Guild A HARDIN COUNTY COOPERATIVE EXTENSION HOMEMAKER CLUB October 2018 Letter From The President Hello Friends, Thank you to everyone helped make the Quilt Show a success. The Board appointed Rebecca Gary as the person to fill the term of Treasurer until 30 June Congratulations and Thank You to Rebecca Gary. I really enjoy the informative learning that Fred and Eddie presented. It is always helpful to learn how to take care of your sewing machine and to know there are knowledgeable individual out there to help you. Thank you Patty for a great meeting. Please read the By-Laws that have been to you, as the committee has several update that are needed to bring them up to date. If you have any changes to the By-Laws please me at chenaults12@gmail by November 2nd. Remember to be working of your UFO as it is to be show during the January meeting. 2 Workshops All classes are held at the Extension office, 201 Peterson Drive, in Elizabethtown. Classes are Friday evening and all day Saturday unless otherwise noted. If changes occur, everyone will be notified via Stitchers . These classes are for beginners to advanced quilters. On Saturdays - please bring your lunch, sewing machine, and supplies needed. 3 Patty s Corner 1st Vice President News Hope everyone enjoyed the Fred and Eddie Traveling Show and gained some knowledge on how to take care of your machine. It's important to have certified technicians to check and clean your machine at least every 2 years. Fred provided a wonderful article "How to Clean your Sewing Machine: Get Smoother Sewing and Fewer Repairs". The web site for this article is: Listed is what is on schedule through March. If you have any suggestions please let me know. Patty. Oct - Trunk Show with Larry McKenney - Larry does amazing work and will talk about his travels and his techniques along with his quilts. You don't want to miss this. Nov - Sewing Kit Make and Take - you will need small scissors and an embroidery needle (if you have one - some will be available at meeting to use.) It would be beneficial to bring a few straight pins as well. Dec - Christmas Party - More info to follow Jan - UFO Resolution Quilt Show - make sure you are working on completing your UFO! Feb - Applique - Piecing - Demo by Patty Pruitt (not what you think!!) Be there! Mar - QuiltO - lots of neat prizes to win! Coming in January - a Block of the Month that you can make in 3 different sizes - 4" - 6" or 12". There will be a total of 9 blocks. Different ways to set blocks will be demonstrated at completion. Fabric requirements and more information will be available at meetings. **SAVE THE DATE** STITCHERS COMMUNITY PROJECT DAY! On Monday, 21 January we will be working on our next Community Project. We will be making quilts for 3 different organizations that Monday and using flannel that the guild has. Those organizations are: Project Linus, Snug as a Bug and Hospice. Please mark your calendars and plan to be there that day. All 3 are wonderful organizations that do so much for our communities. I will have some easy patterns that will go together quickly. All flannel will be provided. You will need to bring your machine, rotary cutter, mat and basic sewing materials. I would bring your walking foot and a neutral color thread (white, beige or light gray.)

4 Christmas Party Bonnie and Leona have been hard at work already on the Stitchers Christmas Party. This year the dinner will be catered by Olive Garden with a Pasta Bar and lots of pasta, sauces and meat options as well as salad and breadsticks. We will begin collection the $5.00 dinner reservations at the October meeting. Any guests that you plan to bring will need to pay $13.00 for the meal Heartland of Kentucky Quilt Show (20th Show) Yes it's already time to start planning for next year's show. It does take almost a year to get things together. The first meeting for 2019 Committee will be Monday, 21 Jan at 6:00 at Extension Office. If you are interested in being on the committee please plan to attend. There have been several people who have volunteered to fill positions but help is always needed and always welcomed. 6 Minutes of Club Meeting Stitchers Quilt Guild Date of Meeting: September 26, 2018 Place: Hardin County Cooperative Extension Time of Meeting: 6:30 P.M. The meeting was called to order by President Darlene Chenault Acknowledge Visitors & New members (if any) Forty-four members were present. Donna Starcher was introduced as a new member. Approval of Minutes The minutes were sent out in the August newsletter. They were approved with one correction in that Martha Brooks is serving on the By-laws committee rather than Martha Claycomb. Treasurer s report Report was ed to members. President Chenault asked if there were any questions, hearing none the report will be filed for audit. President Chenault announced that the Board had approved of instating Rebecca Gary as the new Treasurer to serve until June 30, 2019 upon which time she would be eligible to run for the office. Report of Officers and Standing Committees: 1 st Vice President Patty Pruitt reported that the guild Mystery Workshop would be January 18 and 19, A corrected supply list was in the newsletter and on the back table. She also reported that she will be starting a Block of the Month activity beginning in January of 2019 in three different sizes. She displayed samples of the small, medium, and large blocks for January. 2 nd Vice President Kelly Pruitt reported that Anne Aubrey would be teaching a Holiday Snowman applique class October 19 and 20. A supply list would be provided when members signed up for $5.00. She said the Quilt Retreat at Loucon is practically finalized, but there are a few spots remaining. Members should see her if they have questions, or would like to sign-up. Secretary Anne Aubrey reported that she had sent in the August minutes for publication in the Guild Newsletter and she introduced the guild s newest member, Donna Starcher. Old Business: The Heartland of Kentucky Quilt Show: Chairman Barbara Jeffries thanked everyone involved in making the 2018 Heartland of Kentucky Quilt Show a success. She said totals on amounts made would be posted soon. Barbara stated that she would not be chairing the show in 2019, but encouraged everyone to work extra hard towards making the show a success, as it would be the 20 th Stitcher Quilt Show! She also mentioned that everyone should be planning what quilts they could exhibit next year, because it was difficult to get enough quilts to put on display this year. With a guild of nearly 100 people, it should be easy to have 200+ quilts. There was discussion on whether

7 the show or hold one every other year. The consensus was to have one next year, and possibly discuss whether to continue or not at a later date. Cheri Green asked if anyone had seen her copy of the Hobo Quilt Book. Quilts for Hosparus are still needed and can be given to Suzanne Davis or Darlene. New Business: The By-laws Committee met September 26 prior to the general meeting. All officers were present as well as committee members Martha Brooks and Margot VanLengen plus member Barbara Jeffries. The By-laws were reviewed with several corrections made. It was decided to have the proposed By-laws printed in the October newsletter for all members to review. Questions and/or changes from the membership would be sent to President Chenault by November 2 nd. If additional changes were suggested, the By-laws Committee would meet again with those considerations in mind. If changes were made, the revised By-laws would be printed in the December newsletter and then the document would be voted on at the December meeting. Announcements: Bonnie Young announced that there would be a fund raising event at the Boundary Oaks Distillery on October 20 for the Friends of the Hardin County Animal Shelter. She would send all the information to Darlene, so it could be sent out in a separate . Kelly Pruitt asked if anyone knew who she might contact about the new tax laws. Several suggestions were given. Bonnie Young and Leona Gilliam have volunteered to be in charge of the Christmas party in December. The October meeting, October 31 st, will be a refreshment meeting of appetizers and/or desserts. Members whose last names begin with letters H through Z will be responsible. Door Prize Drawing (Members who are wearing name tag - per standing rule) Margot VanLengen Members who received a subscription to the Quilt Show with Alex Anderson and Ricky Tims Tia Kennedy, Martha Brooks, Amy Aldenderfer, Ilse Comenzind, Lynn Phipps, Sarepta Phillippi, Linda Griffiths, Sonia Putney, Suzanne Davis, and Rebecca Gary. Show and Tell Martha Claycomb, Amy Aldenderfer, Patty Pruitt, Jean Mindock, and Joleen Filler Community Project Patty Pruitt explained that on January 21 st interested members will work on making fleece blankets for Project Linus, Snug As a Bug, and Hosparus.

8 Monthly Activity Fred Bergmann and Eddie Meredith gave a presentation on sewing machine maintenance. A handout was provided along with a booklet on needles. Next Meeting October 31 st. Meeting adjourned at 8:30. Anne Aubrey, Secretary

9 ARTICLE I: NAME The name of this organization is the Stitchers Quilt Guild. ARTICLE II: PURPOSE The purpose of this organization is to hold meetings for the transaction of business, exchange ideas and provide discussions relative to furthering the art of quilt making; and to encourage its members to develop a high standard in the art and technique of quilt making as a contribution to the arts of our community. The Stitchers Quilt Guild is a special interest Homemakers Club, and is not organized for monetary profit. Reimbursement for expenditures or reasonable compensation for services will be distributed from the income or principal. ARTICLE III: MEMBERSHIP AND DUES SECTION 1: Membership is open to anyone regardless of race, color, national origin, gender, religion, and/or handicap. SECTION 2: All Guild members are required to be members of the Hardin County Extension Homemakers Association. Members who are not a paid member of any other Homemaker club may pay the Homemaker dues to the Guild at the same time membership dues are collected. SECTION 3: The calendar year for Guild membership runs from (CHANGE)1 July to 30 June. Membership dues are paid annually in (CHANGE) April and are separate from Homemaker dues. Prorated Guild dues are applicable after 30 June. (DELETE) SECTION 4: The amount of annual dues are determined by the recommendation of the (CHANGE) Executive Board and approved by a quorum of the membership. SECTION 5: A member is any Guild member who has paid all dues. Members must respect the By-laws and standing rules. Members who have paid all dues have the right to vote at general meetings and attend all functions. SECTION 6: Each member is encouraged to: a. Have one entry in the Heartland of Kentucky Quilt Show put on by the Guild b. Volunteer in some fashion for special events c. Sell tickets for special events d. Sign-up for Refreshment committee for 1 meeting month per year (DELETE) ARTICLE IV: OFFICERS SECTION 1: The officers of the Guild shall consist of the President, First Vice President, Second Vice President, Secretary and Treasurer. These officers constitute the Executive Board. SECTION 2: The Executive Board is responsible for administration, activities, programs, projects and promotion of the Guild. In the event that any Executive Board position becomes vacant, the Board may appoint a guild member to fill the position until the next regular election. SECTION 3: The duties of the officers shall be: 1. THE PRESIDENT: Presides over all monthly meetings of the Guild. Is ex-officio member of all committees except the Nominating Committee and may create other committees or select chairpersons not otherwise provided for in these By-Laws. Appoints a Parliamentarian and standing committee chairpersons as needed. Must attend or appoint someone to attend all County Homemaker Council meetings. (ADD) Shall co-chair the Budget Committee along with the Treasurer and submit a proposed budget to the Executive Board at the June Executive Board meeting Is an authorized signature on checks.

10 1. THE FIRST VICE PRESIDENT: Presides over monthly guild meetings in the absence of the President. Coordinates activities for the monthly meetings. Assumes duties of the Second Vice-President in her absence. (ADD) Maintains inventory of door prizes to include cost, date purchased and date given at meeting. (ADD) Serves as Chairman of the Mini-Grant committee. 2. SECOND VICE PRESIDENT: Second in line to preside over monthly guild meetings in the absence of the President. Secures instructors and facilities for classes and workshops. Coordinates activities outside of monthly meetings, ex: retreats, shop hops, etc. 3. THE SECRETARY: Records the minutes of the general membership and Executive Board meetings and is required to have them available at all meetings. Shall carry on the correspondence of the Guild including thank you notes, condolences, and get well notes. Shall furnish a copy of all business sessions to the County Extension Agent. Shall maintain a membership roster and distribute it to members and the County Extension Agent. Shall distribute membership kits for new members to include membership cards. (ADD) Shall inform Newsletter Editor of all new members. (ADD) Shall submit article on Guild events to KHQS for publication in their newsletter. 4. THE TREASURER: Shall be custodian of all funds and is an authorized signature on checks. Shall collect all dues and fees, forwards all Homemaker dues receipts to the County Extension Agent., and distributes membership cards at the time dues are paid. (DELETE) Coordinates with the Secretary to update membership lists (Delete). Shall keep an itemized account of all receipts and disbursements. Shall have financial reports available at board and membership meetings. Shall submit an annual Treasurer s report to the County Extension Agent and make arrangements for an audit by the Extension Office (DELETE) audit committee at the end of his/her term of office. Shall provide the Newsletter Editor with a monthly income and expense report and informs the Newsletter Editor of all new members. (DELETE) (ADD) Shall provide President and Administrator and with monthly income and expense report to be ed to membership by 15 th of the month. The Budget Committee shall consist of the 1 st Vice President, 2 nd Vice President and two members elected from the general membership. The Treasurer shall co-chair the Budget Committee (ADD) with the President. A proposed budget will be submitted to the executive board at the (CHANGE) June board meeting then will be submitted to the membership for approval during the (CHANGE) July monthly meeting. (ADD) Ensures there are funds available at monthly meetings. (ADD) Ensures all required reports are submitted in a timely manner. ARTICLE V: ELECTION OF OFFICERS SECTION 1: The Nominating Committee shall consist of one member selected by the board and two members elected from the general membership. This committee shall elect its own chairperson. The slate of nominees shall be presented in (CHANGE) March to the general membership. The election of officers must be held in (CHANGE) April, at which time nominations from the floor will be accepted. SECTION 2: Election will be by a (ADD) printed ballot with space allowed for write-ins.

11 SECTION 3: A term of office is two (2) years, (ADD)with the exception of Second Vice President who will serve one year. (CHANGE) No person shall serve for more than two (2) consecutive terms in the same office. SECTION 4: The President and Treasurer shall be elected during odd numbered years and the First Vice President and Secretary during even numbered years. SECTION 5: A new Second Vice President will be elected every year. (DELETE) (ADD)A two-year membership in Stitchers Guild is required before running for office. (ADD) SECTION 6: All newly elected officers will assume office on 1 JULY. ARTICLE VI: MEETINGS SECTION 1: The Guild shall hold a monthly membership meeting at 6:30 p.m., the last Wednesday of each month. SECTION 2: Board meetings are open to all members and will be held at the discretion of the President. The Board may reschedule any meeting that conflicts with other events. SECTION 3: Special meetings may be called as deemed necessary by the President. SECTION 4: The quorum for conducting general membership business shall consist of (change) one third of enrolled members. ARTICLE VII: AMENDMENTS TO THE BY-LAWS Members may amend the By-Laws by a quorum. Changes must be presented by a motion to the floor, discussed, considered by the By-Laws committee and published in the newsletter before changes can be voted upon by the general membership. ARTICLE VIII: RULES Robert s Rules of Order shall be the parliamentary authority for all procedures not specifically covered by the by-laws. The Parliamentarian is appointed by the President and will be the chairperson of the By-Laws and Standing Rules Committees. In the absence of the Parliamentarian, the President shall preside. The By-Laws committee shall consist of the Executive Board plus two members elected from the general membership. By-laws and Standing Rules must be available at all meetings. ARTICLE IX: DISSOLUTION In the event of the dissolution of the GUILD, all assets remaining after all liabilities and obligations have been discharged shall be transferred to the Hardin County Extension Homemakers Association Scholarship Fund.

12 STANDING RULES: Suggestions from the general membership for change of any standing rule must be handled in the same manner as changing by-laws rules. Changes must be presented by a motion to the floor, discussed, considered by the by-laws committee, and published in the newsletter before changes can be voted upon by the general membership. GUESTS: Must sign the register. A guest may not attend more than two (2) meetings without becoming a member and are not eligible to win door prizes. SPENDING AUTHORITY: The Executive Board has a discretionary spending limit of $ The Board may secure Professional Instructors at a rate that is typical and reasonable. The Board may pay (ADD) member volunteer instructors for classes $125 for full day sessions and $75 per half day session and reimburse for actual cost of supplies required for students. Exceptions to these limits must be approved by vote of the general membership. QUILTED NAME TAGS Must be worn by all members by the third month of joining the Guild. Any member not wearing a quilted name tag will be fined twenty-five (.25) cents each meeting and will not be eligible for door prizes. WORKSHOPS: Guild members will have first choice for all workshops. The (CHANGE)Executive (ADD) Board may authorize non-member attendance when space allows. Guest attendance must be cleared with the President or Second Vice-President of the Guild prior to the workshop. (ADD) All nonmembers attending a guild instructed workshop will be required to pay an Additional $15.00 that will be paid to the instructor. STANDING COMMITTEES: Standing committees can consist of one (1) or more persons. All committee plans must be presented to the board for approval. Standing committee chairpersons may appoint co-chairperson and committee members as needed. Publicity Greeters(DELETE) Mini- Grant Historian/Scrapbook(Delete) Homemakers Liaison Budget Newsletter Quilt Show By-Laws PUBLICITY: Contacts newspapers and other media for the purpose of publicizing the Guild s meetings and functions. HISTORIAN/SCRAPBOOK: Keeps a scrapbook of all news clippings pertaining to the club and its members along with other items of interest. (DELETE) NEWSLETTER EDITOR: Will put together a monthly newsletter to be distributed to all members by the (CHANGE) 18 th of the month (ADD) on Facebook and to Administrator. The newsletter will have all pertinent information regarding the upcoming meetings and anything else relevant or of interest to the Guild. The newsletter will be provided, in PDF formant, (DELETE) to the Hardin County Extension Office for web-site (DELETE) (ADD) by the 12 th of the month for Extension Agent to sign and Secretary to mail to members without addresses. The Stitchers Administrator will to the membership by the 18 th of the month. (DELETE)GREETER: Will be on hand at all monthly meetings to greet members and visitors, answer questions, and make visitors known to the general membership. HOMEMAKER S LIAISON: Attends the meetings of the Hardin County Homemakers Association and reports to the board. QUILT SHOW: The quilt show committee chair will organize and execute the quilt show with the help of a committee of volunteers. BY-LAWS: Is chaired by the (ADD) President or Parliamentarian. BUDGET: Is (ADD) co-chaired by the Treasurer (ADD) and President.

13 MINI-GRANT: (ADD) Is chaired by the Vice President. This committee (ADD) will consist of 4 members elected from the general membership that will review mini-grant applications and select those eligible for award.
