1 ARTICLE I DUTIES OF OFFICERS SECTION 1: DUTIES OF THE PRESIDENT ARE: A. To preside at all meetings, using Robert s Rules of Order as a guide. B. To appoint the Chairperson of all standing committees, and to appoint any other committees required to carry on the business of the Society. C. To appoint Officers Protem in case of temporary absence. D. The President is, by virtue of His/Her Office, an ex-officio member of all committees except Nominating Committee. SECTION 2: DUTIES OF THE VICE PRESIDENT ARE: A. In the absence of the President, temporary or permanent, to assume the duties of that office. B. To be Program Chairperson, to provide speakers, films and demonstrations for Education Meetings, for the calendar year. (Develop a monthly list of programs, along with assistance of members.) SECTION 3: DUTIES OF THE SECRETARY ARE: A. To keep an accurate record of all society meetings. B. To maintain an up-to-date roster of Society members including addresses, addresses, telephone numbers and membership dates. Maintain a group of members addresses for purpose of sending out information pertaining to the hobby. C. To prepare Election Ballots. D. To prepare and mail all correspondence, special notices and donations. E. To maintain a file of all Society records, correspondence and approved minutes. F. To reissue new dated By-Laws and/or Standing Rules when revised or as desired by board. G. Act as Membership Chairman. Order name badge when paid for by new member. Turn Dues over to Treasurer. Provide Bulletin Editor with names, addresses and birthdays. To introduce new members to the Society at the Educational Meeting. H. Pick up the mail and maintain mail register, to be filled out at Board Meeting. SECTION 4: DUTIES OF THE TREASURER ARE: A. To receive all funds for the Society and deposit the same in the Society s accounts. Exceptions to this are allowed as directed and confirmed by the Board of Directors, where special events are programmed: Example the Society Show. The appointed Chairperson of these events is responsible and accountable for all related funds and receipts. The Treasurer is to work in conjunction with the Show Chairman. B. To write drafts on the Society s accounts for those sums approved by the Board of Directors. C. To report to the Board of Directors at each business meeting a detailed statement of receipts, disbursements and balances. D. To perform such other duties as may be required by Federal and State laws and pertinent to the financial status of the Society. E. To ascertain the Society s insurance requisites, for property and liability, and to report the same to the Board of Directors for their action. F. Yearly Audit of Society s Financial Records and annual Show Financial Records will be done. Page 1 of 5

2 SECTION 5: DUTIES OF THE FEDERATION DIRECTOR ARE: A. To act as liaison between the Society and the California Federation of Mineralogical Societies, hereafter referred to as the Federation (CFMS). B. To attend, if practical, all Federation meetings presenting the views and business of the Society. C. To maintain a file of pertinent information, and to report the same at business meetings, at Educational Meetings and to the Bulletin Editor. SECTION 6: DUTIES OF THE BULLETIN EDITOR ARE: A. To issue the Society s monthly bulletin, the Rollin Rock, providing members with news and activities of the Society and related news of interest. B. Assistant Editors and publishers may be appointed by the Editor with the approval of the President. SECTION 7: DUTIES OF THE LIBRARIAN/HISTORIAN ARE: LIBRARIAN A. To maintain a lending library of the Society s books, publications and video tapes, and make available to members at Educational Meetings. B. To levy fines on members who do not return books, videos or periodicals borrowed. C. To purchase books and periodicals pertaining to the hobby for the library. D. Check in and out yearly, at the time of installation of new officers, the club field trip maps, first aid kit, Podium People (for Vice- President), Treasurer s books, President s kit, book Robert s Rules of Order (for Parliamentarian), etc. HISTORIAN A. To assemble and maintain a file for the bulletins and news clippings pertaining to activities of the Society or members. B. To maintain photo albums of pictures donated to club and display periodically. C. To write a short yearly history of the club. SECTION 8: DUTIES OF THE FOUR DIRECTORS ARE: To attend Business Meetings and conduct the business of the Society. SECTION 9: DUTIES OF THE SHOW CHAIRPERSON: To take complete responsibility for the production of an annual Gem and Mineral Show and to appoint all necessary committee members. All funds, minus $3,000 to remain in show checking account, to be deposited with the Treasurer and a financial report presented to the Board of Directors within 60 days after the show for audit. Receipts and copies of bills to be turned over to the Treasurer monthly. Show Dates to be reserved three years in advance if possible. Page 2 of 5

3 SECTION 10: DUTIES OF THE PAST PRESIDENT ARE: To attend Business Meetings and assist in the business of the Society. In the event of absence of both President and Vice President, the Past President shall preside at the meetings. Duties of the immediate Past President are limited to one year. SECTION 11: DUTIES OF THE FIELD TRIP CHAIRPERSON ARE: To maintain a record of areas available for collecting and to arrange or lead Society field trips. To arrange at least one CO-OP field trip each year and to attend the 4 CO-OP meetings per year or have a designated alternate attend. Field Trip Chairperson shall receive a stipend as established and approved by the Board. SECTION 12: DUTIES OF THE JUNIORS ADVISOR ARE: A. To facilitate monthly meetings of the "Rookie Rock Rollers", to help educate juniors on rock and mineral collection and identification, beginning geology, lapidary arts, and other related topics. (Regular meeting is the 2 nd Tuesday of the month, starting at 5:30 p.m.) B. To coordinate the program and have proper equipment and supplies available for the meetings. C. To assist Juniors work on earning AFMS Future Rockhounds Merit Badges ARTICLE II - DUTIES OF COMMITTEE CHAIRPERSONS SECTION 1: DUTIES OF THE SUNSHINE CHAIRPERSON ARE: A. To send notes of good wishes to persons who are ill. B. To send sympathy cards in the event of the death of a member and notify the President and/or Secretary. SECTION 2: DUTIES OF THE REFRESHMENT COORDINATOR are to arrange for refreshments at Educational Meetings and to maintain sufficient supplies to serve furnished refreshments. SECTION 3: DUTIES OF THE HOST/HOSTESS are to greet guests at Educational Meetings and to register members and guests. SECTION 4: DUTIES OF THE DONATION/SILENT AUCTION CHAIRPERSON(S) are to arrange and conduct raffles at Educational Meetings and to turn donations in to the Treasurer. Page 3 of 5

4 SECTION 5: DUTIES OF THE CUSTODIAN are to store the Society s property in the Society s trailer and keep records of the inventory. Also, to maintain records of property stored or used in other locations; to keep the Board of Directors abreast of any excess property requiring disposal. SECTION 6: DUTIES OF THE WEB MASTER CHAIRPERSON are to maintain the Society s website. SECTION 7: DUTIES OF THE EXHIBIT CASE CHAIRPERSON are to setup and take down the Society s exhibit case when shown at other societies shows as approved by the Board of Directors. A stipend for travel costs is available. SECTION 8: DUTIES OF LAPIDARY SHOP CHAIRPERSON are to oversee and coordinate the maintenance, uses and subscriptions of the Society s Lapidary Shop and to serve as Chairperson of the Lapidary Shop s advisory committee. SECTION 9: DUTIES OF THE ASSISTANT SHOW CHAIRPERSON ARE: To assist the Show Chairperson in the performance of their duties and, if desired, assume the duties of Show Chairperson for the following year. SECTION 10: Chairpersons may be advanced funds from the Society s accounts in order to conduct their responsibilities. Applications for such advances shall be made to the Board of Directors and detailed accounting of expenditures is required at the end of their term. ARTICLE III BOARD OF DIRECTORS SECTION 1: The Board of Directors shall have the duty to manage and control the business of the Society when not in conflict with these By-Laws, The Articles of Incorporation and the Laws of the State of California. In addition to routine Society business the Board of Directors shall: A. Fill all elected vacancies by appointment for the period of the expired term. B. Remove from office any member or committee chairperson for incompetence or neglect of duties. An unexplained absence of a Board Member from three (3) consecutive Business Meetings shall be evidence of neglect of duty as determined by the Board of Directors. C. In the absence of a quorum, the President can request members to come in to form a quorum. Articles IV, V, VI Continued on Page 5 Page 4 of 5

5 ARTICLE IV DUES AND ASSESSMENTS SECTION 1: Five Classes of Memberships. Dues are considered delinquent on December 31 st of each year: Renewal Membership not paid until after Dec. 31 st will pay an assessment of $3.00. A. Adult Membership $15.00 per year (receiving bulletin via ) $30.00 per year (receiving bulletin via US Mail), Renewing 2015 Members only. No new members will be accepted without agreeing to receive the bulletin via . B. Family Membership $23.00 per year (2 adults at the same address, receiving bulletin via ) $38.00 per year (2 adults at the same address, receiving bulletin via US Mail), Renewing 2015 Members only. No new members will be accepted without agreeing to receive the bulletin via . Sunset Clause: The above $30.00 and $38.00 membership options will expire and be automatically deleted from the Standing Rules on January 1, C. Junior Members $ * must pay the annual fee for CFMS dues & insurance Junior members are required to have at least one parent, adult relative or legal guardian be member of the Society. D. Honorary Members no dues for one (1) year. E. Life Members no dues for lifetime. * New members (Adult and Junior) will purchase Club Badges: ($6.00) with Membership Application, along with first year s dues. Regular dues for new members, Jan.1 st to Dec. 31 st, prorated as follows: Adult Membership, and Family Membership are prorated after July 1 st as follows: Adult Membership, $11.00 and for Family Membership $ Applicants applying during November and December, to pay full year s dues, which are good for the following year. $ * Annual fee for newly applying juniors for 2014 is $8.00. ARTICLE V DUTIES OF THE PARLIAMENTARIAN A. To assist the President in interpreting Robert s Rules of Order, Society By-Laws and Standing Rules pertaining to the operation of the Society. B. To assist in running Business and Educational Meetings of the Society. ARTICLE VI INVENTORY Officers of the Society shall have an updated club inventory. Page 5 of 5
