1 New Zealand JCI Senators Inc February 2016 News letter to all Senators and former members of NZ Jaycee Chairman David Mears Secretary: Denis Sawkins a Avondale Road Greenmeadows Napier 4112 Senate background The Senate as we know it today started following a conversation with Karen Fenton Ellis the then Senate Chairman in 2000, as to ongoing support New Zealand Jaycee was able to provide to the Senate. Karen confirmed that NZJC was unable to continue to support the administration of the Senate and this state had existed for some three years. Karen provided a copy of the Senate Data Base and details of Senate funds held by NZJC and from that point the Senate took responsibility of its own affairs. We established an incorporated society (New Zealand JCI Senators Inc.) and the Senate Forum returned to the New Zealand Jaycee convention in 2002 in Wanganui, where New Zealand Jaycee confirmed us as the New Zealand Jaycee JCI Senate. We held our Senate forum and AGM at JCINZ Conventions, 2003 Cromwell 2004 Tauranga Christchurch Auckland Wellington Havelock North 2009 Nelson 2010 Hamilton 2011 New Plymouth 2012 Porirua 2013 Christchurch 2014 Taupo 2015 Cromwell. From about 2006 The Senate took over the organising of the Senate forum and AGM. In recent years the Senate has encouraged Senators in the local region of the AGM to be involved with the organising of the social activities, which now includes past Jaycees. Each year business papers and reports are prepared for the people attending the AGM. You will have received by or included with this newsletter a copy of the minutes of our 2015 minutes. The following reports were presented to the meeting and included the Societies balance sheet and a full report on the activities of the New Zealand Jaycee Trust. JAYCEE REUNION CROMWELL 2-4 OCTOBER 2015 Report from the Chairman David Mears Dear Fellow Senators and Past Jaycees, It is usual in a report such as this to recap on the events and achievements of the past year I commented last year on the dedicated effort being made by three Senators to endeavour to establish new Auckland JCI chapters. This is still very much work in progress and the Trust Chairman s report will bring you up to date with the current position. This time last year having witnessed an excellent bid from Alexandra to host this conference in Cromwell, we anticipated that Auckland would be shaping up to host the 2016 AGM. Despite all Past Chairman Emeritus Snow Weston s efforts to stimulate interest in the Auckland area to assist with organising the event in 2016, to date Snow has received minimal support. This brings to the fore our present dilemma; and that is the continuing decline in our numbers and the waning interest in Senate affairs. Earlier this year I reported on similar problems being faced by Canada and no doubt there will be other countries noticing the same trend, I hope that past Australian Senate Chairman Neville Clare who is attending our meeting can give us his views on the current situation in the Australian Senate. We have talked before about the diminishing interest from past Jaycees; age, health, and a lack of motivated past members; this has all combined to bring us to a point where I believe we need to seriously review the future of our Senate structure in NZ, its role in the current environment, its financial assets and its whole future in light of the fact that new Senators are likely to be few and far between. It is important that these problems are addressed now while there are still enough sound minds and lucid members to map out a plan of action for the future. The Christchurch Senate and Past Jaycees group is about to enter its 35th year and despite regular meetings and good attendances one day the sun will set on them to. It is inevitable for us all, so as the good Jaycees that we were taught, we must plan ahead, take whatever action is necessary and write that final report. I would also expect that any review should include the NZJC Trust in its terms of reference as that too would have relevance to many past Jaycees. As in many Organisations the real donkey work is done by the Secretary and the Treasurer and without their work the Senate would not function, so to Denis and Terry I extend on behalf of all Senators and Past Jaycees our sincere appreciation for your dedication and work over the past year.

2 Membership: Our current membership is 769 Senators Secretary s Report Report to AGM 4 th October 2015 Administration: The day to day communication between the Chairman, Secretary and Treasurer works well by telephone and . If there is a matter that requires a committee decision the meeting is held by when required. Finances: our operating finances are in good health but it can be expected that our subscription income will decline in future years. We have term deposits that have been renewed for two years and prior to the maturity of the term deposits we should consider the long term future use of these funds. Communication: The newsletter goes to 698 Senators, with some 134 past Jaycees and 93 International Senators and Senate Organisations receiving our newsletter. We have 469 senators on . Since our last meeting we have sent out four newsletters by mail and further notices by . We now have 16 Senators on our Do Not Disturb list. This is usually at the request of family and due to failing health. 78 Senators are listed as Gone No Address and it is possible that some have passed away. It is an ongoing task tracking them down. We have contact with the Canadian, Australian, and the European Senate which includes the British Senate and with JCI. Meetings: Our AGM location each year continues to evolve as a reunion for Senators and hosted by chapters and regions. There is number of Chapter and regional reunions and the Senate has been pleased to assist with mail outs and general communication. Data Base: A copy of the statistics from is attached (compiled in September 2015) Almoner: A number of Senators have passed away since our last meeting. Where possible we send the Senate s condolence to the family. A lot has happened and it is an appropriate time to review our purpose and decide if changes are needed for the future. Denis Sawkins Secretary Treasurer s Report to AGM 4 th October 2015 I am pleased to present the Society s Annual Accounts for the year ending 31 March 2015 and the Accounts Review Report. I acknowledge the professional advice and support from past Jaycee John Snaddon who reviewed our accounts. Our voluntary subscription income for y/e March 2015 of $3786 (2014-$3735) came from 218 senators, 28.3% of the 769 current Senators I move the adoption of my report to include the reviewed accounts for the year ending 31 March 2015, and the appointment of John Sneddon to review our accounts for the 2016 financial year. Chairman s Report Presented to 2015 JCI New Zealand Senate AGM 3 October 2015 Cromwell, New Zealand My report last year was somewhat less than positive with the departure of Kate Meacham and the lack of structure, activity and seemingly any resemblance of a chapter at either end of the country there wasn t a lot of reason to be positive but JCI AUCKLAND PROGRESS 2015 started for JCI Auckland with a belated AGM to elect a new President and Board. By March these positions were filled and the Chapter set about planning its year s activities. There was no structural process's in place from previous regimes. No working Constitution, no Incorporation, no bank accounts, no chapter specific web site, no records of activities or meetings. This team had to start from scratch and effectively form a new Chapter from the ruminants of a few members who had been involved on the fringes or were totally new faces. The new President, Rebekah Craig is a dynamic and talented young lady in her mid-20s with the ability to attract and involve other likeminded people. She has a clear direction, which has been shared with and moulded by the Trust, and has the energy to carry it out. She and her team have had a number for 'sessions' with the Trust members and have our unreserved support. The Administration processes are substantially in place, projects are happening and social events happen every 4 weeks or so. The Chapter has about 45 paid up members and over 20 on the fringes participating and considering membership. JCI Auckland has created the specifications for an interactive, informative IT program that is being finalised and should be completed prior to the JCI NZ Trust AGM. This has been funded by the JCI NZ Trust and will be the platform that is used for all new extended Chapters, at little extra cost. The format of JCI Auckland's activities is very different from the Chapter model of the past. This is in keeping with the research that the JCI NZ Trust undertook several years back which challenged us to recognise that 'Y' gen people are activated and motivated in a very different way to us post War 'Baby Boomers'! JCI Auckland is 'activity' driven rather than 'meeting' driven. Communications are instant by Facebook, Twitter, Text or and plans are more likely to be immediate rather than being diarised for months! Early indications are that this is a successful model, even if not replicated across the JCI world. Engagement in global activities is higher on the agenda of this well travelled and well educated generation so the fit with JCI internationally may be more relevant going forward than it ever was in the past.

4 Rebekah attended JCI Area Conference in Kuala Lumpur mid-year and has hosted a very successful visit by APDC in August which inspired her, her team and was instrumental in recruiting a few new members and setting a platform for the future. Rebekah and other chapter members will be attending World Congress in Japan in November. This 'international' representation and JCI officer visits have been supported by the JCI NZ Trust through its 'International Development' funds. President Rebekah by some degree has achieved more than of any of her predecessors in getting JCI Auckland to where it is today and her involvement, drive and passion will be important for JCI Auckland in Succession planning is in place for JCI Auckland for 2016 and with Rebekah's guidance as IPP we are hopeful that JCI Auckland will continue to grow and perhaps spawn other Chapters in Auckland. Our experience over the past 3 4 years has shown us that the success of JCI Auckland will depend a lot on this succession plan. JCI NZ FUTURE The JCI NZ Trust and the executive of JCI Auckland are of the view that it is futile to form a JCI NZ structure at this time to guide a single Chapter. JCI Marton still exists as a group of past and present members of which 4 or 5 are of age and the acting President is over 40. They are in the circle but as they are below minimum standard are not active in the affairs of JCI NZ at national or international level. Christchurch and Winton appear to be inactive at this time. The challenge therefore is to build a new JCI NZ around the learning's and energy of JCI Auckland. This of course will mean continuing to solidify JCI Auckland as a dynamic chapter and develop sustainability. Whilst there are plenty of positives coming out of Auckland there is still a strong reliance on individuals and it will need to continue to grow and develop through 2016 to cement its foundations. To that end the Trust proposes to establish a role of JCI NZ Development Officer in partnership with JCI Auckland to extend Chapters in major cities in A minimum target would be 3 large active Chapters by Congress 2016 and the re-establishment of JCI NZ in October 2016 (possibly in conjunction with the JCI NZ Past Members Conference). This would include the election of a President and Vice Presidents and attendance at Congress 2016 with an established National organisation representing over 100 members. Having 3 active chapters in 2017 will see programs being shared between Chapters, Chapter inter action and a national executive that has something tangible to work with and able to put a growth strategy in place. While this is a way off from where we are at today it is essential that we utilise the energy and enthusiasm that is currently vibrating through JCI Auckland. OTHER JCI NZ has remained affiliated to JCI and will continue to do so with the JCI NZ Trust support. Again my fellow trustees continue to put their hands up when called upon and have worked well in providing guidance and assistance to Rebekah and JCI Auckland. In terms of 2016 trustees, myself, Brian and Murray remain willing to continue as trustees through 2016, thus providing continuity and experience that will be important given the goals for With a view to the future however we have asked JCI Auckland to nominate two trustees, we hope to be putting forward those names for ratification at the Senate AGM. We are not there yet, sustainability remains an issue, and one chapter does not make a national body but. We have an active chapter and passionate group of people that are enthusiastic about the ideals and purpose of Jaycee the space is well worth watching Stephen Nelley Chairman Trustee Brian Carran further reports: The Good News for the Future The new generation of JCI members in Auckland s two Chapters have a total of over 70 members They are undertaking high profile entrepreneurial projects They are partnering with high level organisations and local and national government. I am taking them to meet with the CEO of the Auckland Chamber of Commerce later this week! They have a National structure with a President (Kizito) a Secretary General (Rebekah, the driving force) a Secretary/Treasurer and each Chapter has a President and Board. They are being recognised by JCI and remain affiliated. They have a driven visionary leader in Rebekah Craig They are targeting at higher membership numbers per Chapter and extending Chapters in other major cities. They have an interactive web platform to operate with They have the full backing of the JCI NZ Trust in there endeavours

Ring Jim or Errol Report published in the Australian Senate newsletter by Senator Neville Clare New Zealand Jaycee Reunion Cromwell NZ 2-4 October 2015 by Neville C Clare Past Chairman JCI Australia Senate Group Earlier this year we organised a tour which included attending the NZ Senators reunion. The trip took us down the east coast of both Islands and back up the west coast, including a slight detour to Cromwell, where we were made very welcome by the NZ Jaycees. The reunion kicked off on the Friday evening with an evening of fellowship where we met many NZ Senators and Past Jaycees including the current Senate Chairman David Mears and his wife Yvonne. Although there is a lot of interest in re-establishing an Auckland chapter, there are currently no Jaycee Chapters in New Zealand. The AGM of the NZ JCI Senate was on the Saturday. I was invited to present an update on the status of Jaycees and the Senate Group in Australia. I also gave a brief outline of my Jaycee involvement in Canada and Australia. As I was present at the Canada Senate forum last year at their AGM, I also gave an outline on what Canada is doing regarding retaining and establishing Jaycees in Canada. I noted that in Australia and Canada, there is a concentrated effort to seek out the interested youth of today to join Jaycees and to gain the benefits we can all attest to as I still believe in my favourite quote, To provide Leadership Development through Community Involvement and which still exists as a need in today s society. Due to the shrinking membership of the NZ Senate group, due to loss or aging, the NZ Senate passed a motion to establish a committee to carry out a full review of the NZJCI Senate in relation to its functions, finances and future. The afternoon consisted of a couple of tours, one around the local community noting its history and fruit growing industry and of course a visit to a local winery for wine tasting!!! The evening concluded with a dinner, a dance and fellowship. All in all it was a well organised and a very enjoyable reunion where it enhanced once again my own gratitude in being able to expand what I call my Jaycee family around the world.
