1 MEETING MINUTES 1. Call to Order: 4:35PM 2. Discussion on another organization bolded in the agenda. Tong printed out some copies of bills, separate from the agenda. More discussion on probation language. Senate starts at Announcements from Committee Members- None 7. Announcements from Non-Committee Members- Advisor Wills- WHAT. IS. UP. ORS. Wow y all are boring. 2 1. Allocation for event competition for spoken word poetry. Allocation process took too long didn t claim money because the trip has already passed. The allocation was lost 2. Questioninga. Chair- Why was it dropped? i. We were contacted too late. The money wouldn t have been useful for registration; plane, hotel too much for the allocation b. Cubow- can you clarify allocation was dropped i. I d like to see a paper trail ii. Cubow- you were contacted 21 March c. Cubow- so the issue is that the allocation was too late? ii. Cubow- what was the registration deadline? d. Chair- was amount reduced? i. Cubow- no e. Org- I would like the president at the time to come to speak on this because she d be much more knowledgeable about this i. Chair- yes, that is wise f. Cubow business days are needed for money processing registration was too close to the allocation g. Cubow- could you still have used the money for travel? i. The pricing would have been too much for this h. Cubow- the allocation could ve been changed for a change like this if we were given notice, which we weren t. I m having trouble understanding why this was not focused on travel instead of registration. 3. Move to Postpone, 5-0-0, Review is Postponed 4. Commentarya. Chair- if she can t come in, have the former president phone in; this is acceptable
3 b. Org- what would the punishment be if it were determined we were responsible for this? i. 30% sanction c. Org- what s the best-case scenario? i. Not being sanctioned ii. Psychological Society 1. We asked for money to go to FERC. The 1 st time I came, Senate was out of funds. Came in 2 weeks later, got from accountant next week was too late as money was due to the college in two days. Did not reply to from accountant in 72 hours as I figured that the money was not for me 2. Questioninga. Phillips- The money was just for registration? i. Yes b. Cubow- you realized you couldn t use the money for registration. Why didn t you apply it to lodging? i. The first day s activity was just a meet-n-greet and we didn t deem it useful to spend money to spend the night in Melbourne for that 3. Debatea. Phillips- it s obvious they were irresponsible. We need to discuss b. Phillips- {to org}- you were approved for lodging but didn t spend on lodging? c. Cubow- why didn t you want to not spend that money once you saw registration was going to be a problem? d. Org- could this have been avoided if I had contacted the accountant? i. Chair- probably, they d have worked with you at least e. McLean- does financial training cover any of this? i. Yes
4 f. Cubow- I would say this is an executive error. This is a matter of if you would ve contacted someone, it could ve been avoided g. McClellan- it s irresponsible due to negligence and I urge to sanction 4. Move to Sanction, 5-0-0, Psychological Society Sanctioned 30% iii. International Medical Outreach 1. Not enough receipts 2. Debate- Phillips- I say we don t sanction because we already cleared them for not spending the money. They obviously can t have the receipts if they didn t spend the money 3. Move to Lift from Fiscal Probation, 5-0-0, IMO Lifted from Probation c. Billsi We discussed it last week, here it is in all its glory 2. Debate- Cubow- technical to change money amount 3. Move to Approve, 5-0-0, Bill Passes Committee d. Resolutions- None 10. FAO Representative Report- Meeting this week was OK. One org came in. They asked us for six banners, two table cloths. We are seeing them in caucus. It was the worst thing I ve ever seen. 11. CRT Representative Report- Lots of issues came up we ve never seen before. A student that had graduated came in. 12 people weren t fiscally trained. a. Chair- Is it possible to approve something for the next fiscal year? b. Cubow- every single student that came in had problems 12. Member Discussiona. Phillips- we NEED to change the rep s role ASAP Rocky! We need to let them know that they need to talk to us because that s been a problem these few weeks b. Chair- moving meetings to 4PM on Wednesdays. Updated fiscal probation policy. I was going to keep it pretty similar to what it s at now. Does anyone disagree? I ll be typing it up for us to see next week. Info about the bolded group (National
5 Society of Minorities in Hospitality Management): overspent by $4000, refused to pay back ASF, group leader was graduated at the time of the trip, faculty advisor asked us to make sure this didn t happen again. 13.
