1 University of West Alabama Greek Council Constitution Updated May 2016 Article I. Name A. This organization shall be known as the Greek Council of The University of West Alabama. Article II. Purpose A. To promote the academic excellence of each fraternity and sorority and their members at The University of West Alabama. B. To serve as a liaison between the Greek community and the administration of The University of West Alabama. C. To promote social standards for all the members of the Greek Council. D. To promote cooperation and establish positive relations between the members of the Greek Council. E. To establish policies regarding recruitment practices. F. To publicize and educate the student body, faculty, and administration of the university about Greek organizations and events involving Greek organizations. Article III. Membership A. The Greek Council shall consist of the following fraternities and sororities: IFC - Delta Chi, Sigma Pi, & Tau Kappa Epsilon Panhellenic - Alpha Sigma Alpha, Alpha Sigma Tau, & Phi Mu NPHC - Alpha Kappa Alpha, Alpha Phi Alpha, Delta Sigma Theta, Zeta Phi Beta, Phi Beta Sigma, Omega Psi Phi, & Sigma Gamma Rho B. In order to gain recognition of the Greek Council, a Greek organization must first gain recognition from its respective national governing council at The University of West Alabama. This includes the Inter-Fraternity Council, National Panhellenic Council, or

2 National Pan-Hellenic Council. C. For an organization to remain in good standing with the Greek Council it must meet the following criteria: 1. Each organization must maintain a 2.3 GPA each semester. 2. Each organization must maintain 8 active members, excluding summer semester. 3. Each organization may not miss more than 2 Greek Council meetings per academic semester. 4. Each organization must submit a new member roster to the Director of Student Life within one week of an intake event. i. This must contain the name and student number of each new member. 5. Each organization must submit a roster to the Director of Student Life by the second week of classes of each semester. D. If an organization falls below 8 active members for two consecutive semesters, excluding summer semester, the organization will be subject to review by the Executive Council to determine what if any action should be taken. E. If an organization falls below a 2.25 GPA, that organization will be placed on social probation. F. An organization that fails to meet the 2.25 GPA requirement for two consecutive semesters will lose all social privileges until the organization reaches a 2.25 GPA Article IV. Officers A. The officers of the Greek Council shall be President, Vice President, Secretary, Treasurer, Social Chairman, and the Public Relations Coordinator. B. Officers will serve as ex-officio non-voting members of Greek Council. C. Officers shall serve a term of one year; the term shall begin at the end of each spring

3 semester. D. The Executive Council of the Greek Council shall consist of the officers of the Greek Council and the Director of Student Life; the Executive Council will be referred to as the EC. E. Qualifications of an officer are as follows: 1. Each member nominated must have a 2.5 GPA. F. The election process of officers shall be as follows: 1. Two members of IFC, Panhellenic, and NPHC must be on the EC. 2. Elections will be held during Greek Week every year by popular vote. G. Officer Responsibilities: 1. President i. Preside over all Greek Council meetings as well as all EC meetings ii. Shall oversee all other officers and that they fulfill their responsibilities iii. Shall serve as the liaison between the Greek Council and university officials iv. Will be responsible for setting meeting times that will be suitable for all organizations to attend, as well as reserve the meeting space. v. If the situation arises, the President will also be responsible for calling special meetings or rescheduling meetings. 2. Vice President i. Preside over Greek Council or EC meetings in the absence of the President

4 ii. Serve as an ex-officio member of all committees, excluding the Judiciary Committee iii. In the absence of the President, shall perform the duties of the President 3. Secretary iv. Shall cast the deciding vote in the case of a tied vote i. Shall notify all representatives of Greek Council meeting time and location each month ii. Record minutes of every Greek Council meeting iii. Shall keep a permanent record of all Greek Council meetings that shall be left with Greek Life Advisor iv. Shall provide each organization with the minutes after each Greek Council meeting v. Shall call roll at each Greek Council meeting and keep a record of absences 4. Treasurer i. Shall establish a budget for each academic year ii. Shall keep all financial records of the Greek Council iii. Shall be responsible for the payment of all bills incurred by the Greek Council iv. Shall be responsible for collection of all debts owed to Greek Council v. Shall submit a report of all expenditures of each semester to the President and Greek Life Advisor

5 5. Social Chairperson i. Shall serve as the chair of the social committee ii. iii. Shall assist in organizing Greek Week festivities Shall assist and oversee any other Greek Council sponsored social events 6. Public Relations Coordinator i. Shall be responsible for advertising and Greek Council events to the public and/or the Greek population ii. Shall publicize any positive events or projects within the Greek community via The Life or other entities Article VI. Delegates A. Each organization shall be represented in the following manner: 1. One voting Greek Council member i. This member may be chosen by the organization in any way it may see fit. 2. One non-voting alternate member. i. In the case that the voting representative is unable to attend the Greek Council meeting the alternate will become the voting member for that meeting. ii. This representative must be a member in good standing of his/her respective organization. Article VII. Meetings A. Regular meetings shall take place at least once a month and will be set by the Greek Council President and approved by a majority of voting delegates

6 B. EC meetings will take place within the week prior to every regular business meeting. C. Special meetings may be called at the discretion of the Greek Council President or Advisor, or upon the request of any Greek Council member; if the circumstance is deemed appropriate by either the President or Director of Student Life. D. The following regulations shall apply to voting: 1. A majority of voting members will constitute a quorum. 2. In all questions put before the Greek Council each organization shall have one vote. 3. Except as where stipulated, a simple majority shall determine the action of the Greek Council. 4. Voting shall be by raise of hands. 5. If an organization is not present during a meeting in which a vote takes place, that organization will forfeit its vote Article VIII. Disciplinary Action A. If an organization misses more than two Greek Council business meetings in an academic semester they will be subject to disciplinary action. B. If an organization is subjected to disciplinary action they must be notified in writing of the disciplinary action and why they are being subjected to it. C. Disciplinary action will be as follows: 1. After two absences the organization is to receive a written notification from the Executive Council of the absences. 2. If further absences take place the first absence following the notification will result in a $25 fine against the organization

7 3. The second absence following the notification will result in a $50 fine against the organization, and social probation. 4. The third absence following the notification will result in a $75 fine against the organization and loss of voting rights in Greek Council for the rest of the academic semester 5. All fines must be paid in order to qualify for Greek Council EC. Article IX. Greek Council Events A. All organizations are required to take part in all phases of the Homer Award process, this includes the application and interviews. 1. Any group that does not complete these processes will go before the EC with the possibility of being placed on social probation for the next semester. B. All groups are required to attend all events sponsored by the Greek Council. If 50% of an organization does not attend, the organization will be fined $ If extenuating circumstances exist, the organization may appeal the charge to the Greek Council. Article X. Hazing A. There will be a no tolerance policy against hazing regarding any Greek Organization. The Greek Council will follow the State of Alabama Code Regarding Hazing, which can be found in the Greek Manual. Article XI. Amendments A. This Constitution may be amended during a regular business meeting by a vote of 2/3 of the voting membership of the Greek Council, or by unanimous decision of the EC. B. Amendments must be submitted to the Vice President at least one week prior to a regular business meeting to be eligible for vote during that meeting. C. The amendment(s) will then be presented to the Greek Council by the Vice President during his/her report and voted on during New Business.
