3 INTRODUCTION The Foundation 31 st ECNP Congress was established on 1 February The objective of the Foundation is to obtain funds for the benefit of the ECNP Research and Scholarship Foundation (ECNP R&S), whose goal is to promote and maximise research in the field of neuropsychopharmacology. ECNP R&S is a Dutch public interest serving entity. The Foundation achieves its objective by organising the international congress named "31 st ECNP Congress", which will be held on 6-9 October 2018 in Barcelona, Spain. The Foundation does not aim to make a profit. A net operating surplus, if any at all, will be transferred to ECNP R&S. Any shortfall will be covered by ECNP R&S. The members of the board do not receive remuneration for their role. This report will give you an outline of the activities related to the organisation of the congress. 5 AIM AND CONGRESS ACTIVITIES The aim of the ECNP Congress is to bring together people from disciplines across the spectrum of applied and translational neuroscience to network, exchange ideas and to advance the science of the brain, promote better treatment and enhance brain health. To fulfil this aim, a variety of special activities and sessions will be organised. Keynote Session (KL) and Welcome Reception The keynote session will start with a presentation by the president of ECNP. The Keynote Lecture features a world-renowned speaker who is specially invited to present on a topic of interest of appeal to all congress participants. The keynote session is by Gareth Leng, Professor of Experimental Physiology at the University of Edinburgh, United Kingdom. He will be talking about 'The neuroscience of food choice and obesity.' It will take place on Saturday 6 October 2018, followed by the Welcome Reception, where a drink and a small bite will be served. Plenary lectures (PL) The plenary lectures are presented by well-known scientists. Six plenary lectures are scheduled, one of which will be held by the 2018 ECNP Neuropsychopharmacology Award winner. Symposia (S or E) The symposia are scheduled in five parallel sessions, daily in the morning and in the afternoon (on Saturday only in the afternoon). The parallel sessions are divided into regular symposia, educational update sessions and alternative sessions. Educational update sessions The educational update sessions focus on a continuous dialogue between the participants and the presenters. Different angles of a subject are discussed and state-of-the-art summaries are provided, with emphasis on new information relevant for clinical practice. A key pad system is used to make the sessions more interactive. Alternative sessions The alternative sessions will be special sessions where a specific topic or important new information is shared in a different way. For example, there will be a panel discussion and a debate to discuss important topics. 5

6 New Findings symposia One fixed symposium with eight speakers. The speakers are selected from the poster presenters at the ECNP Workshop for Junior Scientists in Europe, which will be held March 2018 in Nice, France Regulatory spotlight session A special regulatory dialogue session with the European Medicines Agency (EMA). Designed for open and active engagement amongst EMA stakeholders, the session promises to be an excellent opportunity for scientific and regulatory exchange. Brainstorming sessions (BS) These are small focused sessions organised by ECNP members on a topic of their choice. The organiser of the session and a second expert in that specific field of interest will initiate the discussion. Call for application will be closed in March Career development sessions (CD) These training sessions each feature a leading expert in the field. The expert is specifically invited to share with you his/her wealth of knowledge and experience. The topics are especially interesting for junior scientists, but sessions are open to all participants. Career development sessions are held daily during the poster sessions. Poster sessions (P) Poster sessions are held Sunday ( ) and Monday ( ) in the poster area. All posters are presented on poster boards and/or via e-poster terminals. During the poster sessions there will be a poster award ceremony. Poster presenters will be present at their poster for further explanation and discussion, and to answer any question. Top paper sessions (TP) During six 30-minute top paper sessions speakers will discuss four papers published in the past 12 months, which they consider clinically most important and cutting-edge in their discipline. These sessions are a great way to get up-to-speed with the latest developments in six different disciplines. 6

7 Exhibition An exhibition will be organised on Sunday, Monday and Tuesday. Industry sessions Satellite symposia (C) These scientifically oriented sessions (1 hour 30 minutes) are organised by and with educational financial support from industry. The programmes have been reviewed for balance and rigour by the Scientific Programme Committee and are accredited for European CME. Expert science exchange (CE) These sessions are set up to provide industry the opportunity to interact with a small group of participants on a specific topic. The programme takes place in parallel with the official ECNP scientific programme. Each expert science exchange session has a slot of one hour. In this hour, a maximum of 3 presentations by experts on a specific topic of each 20 minutes can be scheduled. Each presentation has a limited capacity of 80 participants and admittance is given on a first-come-first-served basis. The sessions are organised and financially supported by industry. They do not come with CME credit. 7

8 TIMELINE 2016 The foundation received the approval of the Dutch tax authorities to become a public interest serving Dutch entity (ANBI). The ECNP Office based in Utrecht, the Netherlands, is charged with the organisation of the congress. Registration with the tax authorities in the Netherlands has been completed. In September 2016 information has been made available on the congress website and a call for symposia proposals has been sent out. A bank account has been opened in the name of the 31 st ECNP Congress. A deposit amount was transferred from ECNP R&S to the 31 st ECNP Congress as income for the Foundation from registration fees and support will not start until end of The annual accounts of 2016 have been prepared and finalised. The budget of the 31 st ECNP Congress has been set up, finalised and signed by the treasurer and secretary of the Foundation and registration fees have been set. The deadline for symposium proposals was 1 March and in April the first meeting of the Scientific Programme Committee (SPC) has been held to review the applications of symposia and to make the first draft of the scientific programme. The first site visit on logistics took place. In June the second meeting of the SPC took place and the scientific programme has been finalised and reviewed by the members of the Scientific Advisory Panels (SAPs). In September invitations to speakers have been sent out. At the end of June 2017 the Industry Guidelines, with the request for support have been sent out with deadline of application for industry sessions and exhibition space 15 December In September 2017 registration has been opened and it was possible for scientists to submit an abstract for poster presentations. 8

9 2018 The annual accounts of 2017 will be prepared and finalised. In February the second site visit will take place. In March the chairs of the sessions will be invited. In March the programmes of the supported satellite symposia will be approved and allocated to time slots. CME accreditation has been requested for the scientific programme. Logistics will be settled regarding catering, meeting space, AV, IT, exhibition, signage and setup of the venue. Committee meetings of ECNP will be scheduled and committee members invited. Promotion for the congress will be arranged at related congresses and every month the ECNP e-news will contain information about the congress. Special e-leaflets will be produced and e- mailed to the ECNP database. On 15 March the application for Brainstorming Sessions will be closed. On 5 April the submission of abstracts for poster presentations has been closed and review will be undertaken by the members of the Scientific Advisory Panels. Final decision will made by the field editor of ENP and the chair of the Scientific Programme Committee before 1 July The best abstracts by junior scientists in Europe, accepted for publication and presentation, are awarded the ECNP Travel Award. The abstracts will be judged by a scientific review committee. Outstanding posters are awarded the ECNP Poster Award. During the poster sessions at the congress a scientific jury, consisting of distinguished scientists, will select the winning posters. Abstract submitters from European countries with a developing economy can apply for a CDE grant to cover costs of their stay during the congress if their abstract is accepted for poster presentation. Additional site visits and a suppliers meeting are planned. The congress will be held from 6-9 October 2018 in Barcelona, Spain at the CCIB. In November the financial and registration administration and procedures with suppliers will be finalised The annual accounts of 2018 will be prepared and finalised. In 2019 finances will be settled and VAT issues finalised. The final account of 31 st ECNP Congress should be finished in first quarter and an audit report will be requested. Before 30 June, any net operation surplus is to be transferred to ECNP R&S. It is foreseen that by the end of the year the Foundation will be liquidated and deregistered at the chamber of commerce. 9

10 FINANCE Board The members of the board do not receive remuneration for their role. Secretarial Assistance The chair of the Scientific Programme Committee will receive 6,000 for secretarial assistance. Reimbursement small expenses The other members of the Scientific Programme Committee are entitled to request the amount of 2,000 for the duration of their term on the Scientific Programme Committee. This amount should cover their expenses for ground transportation, lunch, dinner, drinks, etc. Strategy The strategy for the coming years can be found in the ECNP R&S report which is also published on 10
