1 Article I Name The official name of this club is the Men s Soccer Club, University of Wisconsin- Madison. Article II Purpose The purpose of this club is to give men associated with the University of Wisconsin- Madison an opportunity to pursue a competitive level of soccer not available through intramurals. Members of this club will seek to improve their abilities and knowledge of the game through practices, games, and tournaments. This club will be competing primarily in the regional Midwest Alliance Soccer Conference (MASC), joined in March Article III Membership Male students, faculty, and staff of UW-Madison who play membership dues will be eligible to become members of the Men s Soccer Club. In order to be active, members must pay these dues at the beginning of each academic semester, attend all practices games unless excused by the president, and complete all consent agreement forms for UW-Madison and any affiliates. This club will adhere to Regent Policy 30-06, which states: Student organizations that select their members or officers on the basis of commitment to a set of beliefs (e.g., religious or political beliefs) may limit membership, officer positions, or participation in the organization to students who affirm that they support the organization s goals and agree with its beliefs, so long as no student is excluded from membership, officer positions, or participation on the basis of his or her race, color, creed other than commitment to the beliefs of the organization, religion, national origin, disability, ancestry, age, sexual orientation, pregnancy, marital status or parental status, or, unless exempt under Title IX, sex. However, membership in Men s Soccer Club is limited to the number of open spots on the roster of the team. Officer positions are limited to currently-enrolled UW students. If any member s actions threaten to compromise the integrity of the Men s Soccer Club, the executive board will meet to review their membership status. A two-thirds vote among the executive board is sufficient to terminate a specific player s membership. Article IV Meeting Practices will be held at least twice a week at University Bay Fields. However, space is extremely limited during the academic year. Consequently, practices are occasionally held at a local City of Madison park. The executive board will meet at least twice each month in order to discuss any pressing issues, as well as to remain organized and focused throughout the year. Any active member is allowed to attend these executive meetings.
2 General member meetings will occur at least twice each academic semester, to discuss current and upcoming events. The executive board may schedule additional meetings if necessary, but must notify all members at least a week in advance of each meeting. Article V Executive Board The executive board consists of the president, the vice president, the secretary, and the treasurer. If one member of the executive board leaves for less than one month, the other members of the board will temporarily cover his responsibilities. If an executive board member leaves for longer than one month, a new executive board member will be appointed following the procedure for election outlined in Article VI. All officers on the executive board, as well as any officers added in the future, must be currently-enrolled UW students. President A. The president represents the Men s Soccer Club to all external entities. These include but are not limited to: MASC, MSA, Division of Recreational Sports, Student Organization Office, ASM, and any other organizations affiliated with this club. The president must attend all meetings/events required for these groups. B. The president distributes duties to fellow officers and insures completion of said duties. It is ultimately the president s responsibility that all officer duties are being completed. C. The president presides over all executive and general meetings. D. The president must apply to renew RSO status and club sports status every year, and complete all necessary paperwork requested by the above organizations. E. The president must organize tryouts each year and select club members with the vice-president. Vice President A. The vice president should assist the president close to finish all necessary duties. B. In absence of the president, the vice president assumes the presidential role. C. The vice president is the primary organizer for all travel. This includes acquiring transportation and coordinating the team s activities on the road.
3 D. The vice president also works closely with the secretary to plan practices and meetings. Secretary A. The secretary is responsible for contacting the club s members regarding practices, games, and events. The secretary must keep a current list of all members and their contact information. B. The secretary must organize practices and both executive and general meetings. He must keep minutes at meetings, and be prepared to supply them to any members who were not present. C. The secretary must maintain all necessary paperwork for player passes and league forms. Treasurer A. The treasurer is primarily responsible for setting up a budget before each semester, and submitting it to the executive board for approval. B. The treasurer is ultimately responsible for all financial affairs of the club. This includes: a. Collecting membership dues b. Balance the checkbook each month and report to the executive board c. Manage all funding received from Recreational Sports d. Paying all league, referee, and other fees Article VI Elections For the first two years, the executive board will consist of at least two founding officers, with the remaining positions being filled by members appointed by said founding officers. This is to insure that the club maintains strong leadership through its formative years. Elections for executive board positions will take place each year in March after the first two years. Therefore, the first open elections will occur in March All members are eligible to run for the Secretary and Treasurer positions while only sophomore, junior and senior members may be elected to the President and Vice President positions. Officers can hold positions for an unlimited amount of terms, but must be re-elected every year. Applications will be made available each year to any members that wish to apply for an executive position. The existing executive board will review these applications and choose qualified candidates for the general election. Prospective executive board candidates will present their qualifications at a general meeting in early March. Members will vote to elect the executive board. For the
4 election to be valid, at least two-thirds of the members of the club must vote. To be elected, a candidate must receive the majority of votes for a position. If either criterion is not met, the existing executive board will select a candidate for the position. Article VII Funds Membership dues will be determined based on a yearly budget approved by the executive board, taking into account any fundraisers planned. Dues will be used to cover costs such as league and referee fees, equipment costs, and field rentals. All membership dues and fundraising funds will be deposited in a club banking account. The treasurer should complete his responsibilities as stated in Article V regarding club finances. Article VIII Committees If deemed necessary by the executive board, committees may be formed to offer additional help to the officers, i.e. fundraising, apparel, advertising, etc. The executive board will appoint the head of a committee, and the committee head will choose its members. Article IX Affiliations In March 2012, UW-Madison Men s Soccer Club was voted into the Midwest Alliance Soccer Conference. The club will adhere to all rules set forth in these leagues and accompanying tournaments. Article X Tryouts There will be open tryouts every year at the beginning of the Fall semester (early Sept), and possibly midway through the Spring(late April). Membership will be offered to all players selected by the president and vice president. If there is room for more members throughout the year, informal tryouts may be granted by the executive board. Article XI Coach The coach of the Men s Soccer Club will be a volunteer. However, the executive board must approve the selection of any coach. The coach s responsibilities include: running team practices, coaching the team at games, and following all club, league, and university policies set forth. In the absence of a volunteered coach, the executive board will cover the coach s responsibilities. The president and vice president are the two primary officers tasked with fulfilling the coach s role.
5 Article XII Ratification This constitution shall be ratified with a two-thirds majority vote at the Club s first general meeting. Article XIII Amendments Amendments are to be proposed in writing by any active member to the executive board. After approval from the board, a proposed amendment can be passed by a two-thirds majority vote at a general meeting with at least two-thirds of active members present.
