1 Xavier University of Louisiana National Alumni Association Board of Governors Meeting May 09, 2014 Attendees: Vivian Guillory, Demetria Caston, Dionne Barnum, Cynthia Hurd, Rosalind Hale, Kim Reese, Whitney Forstall Grandpre, Lacrecia James, Brendolyn Mckenna, Tiffany Davereaux, Elivra Henry, Consuela Colston, Otis Gowdy, Karen Yarbough, Louise Tonnier, and Al Perkins. Attendees via webinar: Joseph Sudduth, Evita Bynum and Elise Nichols I. President Vivian Guillory called the meeting to order at 9:10am. Opening prayer led by alumnus Mrs. Brendolyn McKenna. After the opening prayers, attendees had an opportunity to introduce themselves. II. Recording Secretary s Report Dionne Gremillion Barnum reminded everyone that the minutes are available on Xavier s website ( for review in advance of the meetings.. Motion to accept by Otis Gowdy and seconded by Elivra Henry. III. Treasurer s Report Dr. Rosalind Pijeaux Hale presented the current financial report. Motion to accept by Cynthia Hurd and seconded by Demetria Caston. See financial report attached below. 1

2 IV. Reports a. President s Report President Vivian Guillory stated again that the goal for of the current executive board is to continue to strengthen the organization and mentoring chapters. Dr. Francis isn t always available to attend all local chapter events, so Vivian suggested with create a speakers borough/team, which will allow someone other than Dr. Francis to attend and represent XU at local chapter events. See detail president s report attached below. b. Corresponding Secretary Report Nothing to report c. 1 st VP Resource Development Committee Report Demetria Caston presented resource development committee initiatives. Increase enrollment in lifetime alumni membership Preparation for 2014 Homecoming Auction Updates on homecoming paraphernalia Motion to accept by Otis Gowdy and seconded by Cynthia Hurd. 3 d. Election Committee Brendolyn McKenna presented the election committee report including key dates for the election process. Aug 18 th request goes out to all chapters for nominees Sept 12 th deadline for submitting nominees Sept 26 th ballots are mailed out and open online for voting Oct 21 st dealing for review received ballots (mailed and online counts) Nov 21 st installations of the officers Note: reminder nominees have had to contribute in the previous year. Any Alumni who contributed during the previous year is eligible to vote. Note: two names for each officer on the ballot. Note: Alumni Relations researching voting system Motion to accept by Vivian Guillory and seconded by Otis Gowdy. See the attached election committee report below. e. Awards Committee Vivian presented the presented the award committees report on behalf of Elise Nicholls. Highlighting the committee s responsibility to collect, review and select nominees for the Labat, UNCF, and discuss possible other awards. Motion to accept by Demetria Caston and seconded by 3

4 Cynthia Hurd. See the attached award committee report below. V. Announcements a. Houston and Dallas chapters both have upcoming crawfish boils. b. Philadelphia annual picnic at the SBS motherhouse is scheduled for June c. Sister Monique 50 th anniversary is coming up. VI. President Vivian Guillory called for a motion to adjourn. Otis Gowdy made the motion and seconded by Brendolyn Mckenna. Meeting adjourned at 9:50am Training (webinar) session began at 10:00am with participants in the room as well as 3 individuals on the line (Joseph Sudduth, Evita Bynum and Elise Nichols).
