1 RUIDOSO DUPLICATE BRIDGE CLUB BOARD OF DIRECTORS MEETING MINUTES CALL TO ORDER A periodic meeting of the Ruidoso Duplicate Bridge Club (RDBC) Board of Directors was held on today at the Ruidoso Community Center after Open Game play. The meeting began at 4::48 PM and was presided over by Club President Gene Templeton with Club Secretary Dan Anthony recoding the Minutes of the meeting. ATTENDEES MEMBERS PRESENT: President/Club Mgr. Vice President Secretary Treasurer Gene Templeton Keith Estep Dan Anthony Jo Neeley Ann Dodson Jean Gilliland Gaye Miller APPROVAL OF PREVIOUS MINUTES Waived AGENDA Old Business: None New Business: Bridge Club Policies Free Play: Gene Templeton opened the discussion with a review of current Free Play policies which provide that the Director, One Assistant (SO), Club Manager & Treasurer are entitled to a Free Play at any scheduled game. Current Policy also allows a Free Play for the person substituting for the Treasurer. After a lengthy discussion, Ann Dodson made a motion and a Second was offered by Gaye Miller that the designated Tech Support person and any active Game Director would also receive a Free Play. The previous practice of granting a Free Play to One Assistant was eliminated. All voted in the affirmative. Birthdays: Current Bridge Club Policy is to allow one Free Play anytime during the month of a s Birthday. This policy was clarified to exclude Summer Players that are members of Other Clubs. The practice of posting pending Birthdays will be cancelled.

2 Page Two Board of Directors Meeting Minutes Life Master Parties A life Master Party was approved for Susan Ross. Her regular playing partner, Christine Mitchell, will be asked to coordinate with the Club Manager an appropriate date for the celebration., Hospitality Current policy provides the Get-Well Cards will be sent to s who are ill or have surgery. A $100 donation will be made to a Charity of choice in the event of a death of a and a $75 donation for any deaths involving a member of the household of a. Flowers may be sent, not to exceed $50 where appropriate. Psychs Psychs were discussed and explained by the Club Manager and Gaye Miller shared a situation that occurred during today s game involving a Summer Player who was reported to have behave unethically. The Club Manager reminded everyone that if a situation occurs and is not promptly reported to the Game Director, it is as if it did not happen. Shelving Dan Antony asked if a high shelf could be installed in the supply closet suitable for storing Styrofoam items and other, paper goods, etc. The Ruidoso Community Center Manager will be asked for permission. Ruidoso Bridge Club Magnetic Sign for Rear Door Keith Estep suggested we purchase a magnetic sign to apply to the rear door during the play of games to assist visitors in locating our game room. Keith a will shop for a suitable sign. Complimentary Snacks Club Manager Gene Templeton expressed a concern that M&M s and other more expensive items be purchased at Sam s Club or Costco when possible to save of costs. For example, on Amazon.com M&M Peanuts are available for $8.98 for 42 ounces of product which equates to $0.21 per ounce. At Sam s Club a 62 oz. jar of M&M Peanuts costs $10.48 and equates to $0.17 per ounce. At Walmart, a 42 oz. bag of M&M s peanuts for $8.98 and equates to $0.22 per ounce. Gene Templeton also expressed concern that too much inventory of certain perishable items, such as chips and crackers can result in degradation of freshness and disposal. Non-Directors using Computer Terminal while Game is in Play Gene Templeton expressed a concern that, especially on Tuesday, Thursday and Saturday Open Games, non- Directors should not access the ACBL Score Program for determining game standing.

3 Page Three Board of Directors Meeting Minutes Disclosure to Financial Status of the Club Gene Templeton distributed a current summary of the financial condition of the Club and asked that the information be held within the confines of the Board of Directors so as not to make the Club a target for increased operating expenses. A copy of that summary is attached for reference by members of the Board but will not distributed to members or posted on the Club Bulletin Board. Charitable Donations Gene Templeton mentioned that we should donate $100 to the Back-to-School Backpack program and Gaye Miller said she knew Frank Potter from that organization and would see that the money is presented. Technology / Hardware Fund Dan Anthony offered that several Summer Players had remarked that our $5 game fee was significantly lower than their home market Club Fees and that we should charge a higher fee during the Summer for accumulating monies to cover the cost of more expensive hardware. It was then consensus of the Board of Directors that we have sufficient funds on hand to cover hardware emergencies and that a separate fund was not needed at this time. Gene Templeton offered that two additional BridgeMates will be purchased once they are off backorder from the supplier. There did not seem to be any significant concern for the cost or eventual need to replace expensive technical items such as a Duplimate Card Sorter or a new Laptop computer or printer. Board Policies Updates: A Motion was made by Dan Anthony and Second was offered by Ann Dodson to make the changes and updates to Club Policies official. All present voted in the affirmative. Please find attached the update of Board Policies. ADJOURNMENT: The meeting was adjourned at 5:27 PM.

4 Ruidoso Duplicate Bridge Club (RDBC) Club Policies (Updated July 17, 2018) BIRTHDAYS Club s will be provided one Free Play during the month of their Birthday each year. The current practice of posting a Birthday Calendar will be discontinued. LIFE MASTER PARTIES RDBC members in good standing with the American Contract Bridge League (ACBL) will be provided a Life Master Party to celebrate their accomplishment in obtaining Life Master Status by the governing body. Where applicable, the new Life Master s regular playing partner will be consulted during the planning of the event. Proposed Celebrations should be submitted to the RDBC Board for planning and approval. FREE PLAYS s holding the following positions will be afforded a Free Play o Club Manager o Active Game Directors o Club Treasurer o Club Tech Support person Free Plays for an Assistant or SO is discontinued. HOSPITALITY Get Well Cards will be sent to s that are ill or who have surgery. A $100 donation will be made to a Charity of Choice in the event of a death of a and a $75 donation for a death of a s immediate family. PSYCHS Psych Bids are not allowed at any game operated by the RDBC. Violations of rules or ethics should be called to the attention of the Game Director immediately.
