CONSTITUTION OF THE SOCIETY OF WOMEN ENGINEERS/TAU BETA PI ENGINEERING CAREER FAIR AT THE UNIVERSITY OF MICHIGAN

1 Preamble - CONSTITUTION OF THE SOCIETY OF WOMEN ENGINEERS/TAU BETA PI ENGINEERING CAREER FAIR AT THE UNIVERSITY OF MICHIGAN (as adopted in 11/1998 and amended through 11/2017) We, the members of the Society of Women Engineers/Tau Beta Pi Engineering Career Fair, in order to develop a career fair that enable students to interact with employing organizations, do hereby establish this constitution. Article I - Name The name of this organization shall be the Society of Women Engineers/Tau Beta Pi Engineering Career Fair at the University of Michigan hereinafter referred to as SWE/TBP Career Fair. Article II - Affiliation with other groups Section I - Sponsoring Department The sponsoring department is the Office of Student Affairs within the College of Engineering. Section II - Affiliations This organization is affiliated with and provides funds for the Michigan collegiate chapters of the Society of Women Engineers and Tau Beta Pi. Article III - Purpose, vision, mission, aims, functions of the organization Section I - Purpose The purpose of this organization is to: 1. Bring companies to the University of Michigan to enable engineering students to get careers in industry. 2. Provide a revenue source for the Society of Women Engineers and Tau Beta Pi. Section II - Mission Section III - Provide the opportunity for student members to show their leadership and organizational skills while maintaining and building relations with corporate representatives. The SWE/TBP Career Fair at the University of Michigan understands and is committed to fulfilling its responsibilities of abiding by the University of Michigan policies and procedures.

2 2 Article IV - Membership Section I Active Membership Active membership shall be limited to persons officially connected with the University of Michigan as faculty, staff, or registered students. In addition, the following requirements are necessary to constitute active members: 1. Fulfillment of respective committee duties. 2. Attendance of all events related to Career Fair required by the directors. 3. A current member of either the University of Michigan SWE chapter or the University of Michigan TBP chapter. 4. Upon joining the organization, all members agree not to undermine the purpose or mission of SWE/TBP Career Fair. SWE/TBP Career Fair is committed to a policy of equal opportunity for all persons and does not discriminate on the basis of race, color, national origin, age, marital status, sex, sexual orientation, gender identity, gender expression, disability, religion, height, weight, or veteran status in its membership or activities unless permitted by university policy for gender specific organizations. Section II - Qualifications Section III - The directors of this society shall be composed of four members, two from the Society of Women Engineers (SWE) and two from Tau Beta Pi (TBP). 1. Membership in this society shall be not be determined by race, color, national origin, age, marital status, sex, sexual orientation, gender identity, gender expression, disability, religion, height, weight, or veteran status. 2. To be considered active, the individual must meet the requirements outlined in Article IV, Section I. Upon joining the organization, all members agree not to undermine the purpose or mission of SWE/TBP Career Fair. A member may voluntarily withdraw from the organization by notifying the executive board of their desire to discontinue membership.

3 3 Article V - Officers SWE/TBP Career Fair will be governed by an executive committee consisting of four officers of equal power. These officers, who are appointed directors, shall be responsible for the planning of the career fair, including but not limited to: 1. Working with University relations 2. Reserving rooms on North Campus 3. Acting as a liaison for corporate representatives 4. Determining the dates of the career fair 5. Ensuring that corporate registration goes smoothly 6. Being active on the days of the fair to smooth over any problems 7. Handle the account, including keeping record of all expenses and revenue while complying with the University policies Article VI - Advisor The role and duties of the faculty/staff advisor shall include attending scheduled meetings, providing counsel to the executive committee, and advising the organization on policies, decision making, and leadership development. A willing faculty or staff member can be asked to serve in the role by the executive board in consultation with the general body members. The advisor shall not vote on official organization business. Article VII - Operations Section I - Appointment of Officers The TBP directors shall be chosen via interview, in accordance with TBP bylaws. The SWE directors shall be chosen via interview, in accordance with SWE bylaws. The SWE and TBP director applications will be equal and written by the previous year s directors. 1. The applications will be reviewed and the final selections will be made by the four directors. All applicants will first be interviewed. The previous year s directors will call two meetings after each respective application deadline has passed and applicants have been interviewed, one to decide to select the SWE directors and one to select the TBP directors. There must be a unanimous agreement on all selected directors. 2. Per TBP bylaws, the TBP directors must be chosen prior to the TBP elections. 3. Per SWE bylaws, the SWE directors must be chosen prior to the end of the fall semester. Section II - Committees Selection of committee members will be determined by an application process. 1. Any member of SWE or TBP can apply to join a committee.

4 2. The applications will be reviewed and the final selections will be made by the four directors in March. 3. A meeting will be held with all four directors and all committee applications from both SWE and TBP will be reviewed at the same time. All committee member selections must be unanimous. The following committees shall be established: Operations, Publicity, Webmaster, Receptions, Hospitality, Volunteers and Directory. Each committee shall be led by one of the directors. 1. The Operations committee shall be composed of members of SWE and TBP and shall be responsible for managing tables, chairs, packages, and parking for companies. 2. The Publicity committee shall be composed of members of SWE and TBP and shall be responsible for creating diag boards, bus signs, flyers, and the Facebook event. 3. The Webmaster committee shall be composed of members of SWE and TBP and shall be responsible for managing the website at umcareerfair.org. 4. The Receptions committee shall be composed of members of SWE and TBP and shall be responsible for managing the receptions events that take place during the career fair. 5. The Hospitality committee shall be composed of members of SWE and TBP and shall be responsible for ordering lunches for companies at the Career Fair and setting up hospitality stations with snacks and drinks. 6. The Volunteers committee shall be composed of members of SWE and TBP and shall be responsible for recruiting volunteers and handling volunteer registration. 7. The Directory committee shall be composed of members of SWE and TBP and shall be responsible for creating a directory of attending companies and handling company registration on the day of the Career Fair. Section III - Meetings Article VIII - Finances Section I - Revenue All meetings will occur on an as-needed basis at a time selected by the directors. Meeting minutes will be recorded by a director in attendance. Attendance by all relevant committee members is expected and required unless a valid excuse is given in a timely manner. 4 SWE/TBP Career Fair will finance the activities it engages in by the following means: 1. Charging employers to attend the Career Fair 2. Additional charges for Career Fair Sponsorship

5 5 Section II - Expenses/Profit Once all incurred expenses are paid, the profit will be split evenly between the Society of Women Engineers and Tau Beta Pi. Article IX - Removal of Officers and Members In the event that an officer does not complete the position duties, the officer may be asked to step down. The following procedure must first be followed: Article X - Ratification Section I - 1. A minor infraction or first time violation shall result in a verbal warning from the director of the committee the officer is on. 2. A second infraction or violation shall result in a meeting with the directors. A compromise will be worked out to the satisfaction of all present, subject to approval of the directors. 3. Any director violations shall be taken directly to the Presidents of SWE and TBP. 4. The removal of a committee member will be addressed through a vote by all committee members and directors. A meeting of all committee members and directors will be called to discuss the removal of the committee member and a vote will be held. A three-fourths majority must agree to remove the committee member. The decision of the members will be sent to the student organization (either SWE or TBP) that the committee member is also a member of for further discussion per the student organization s bylaws. 5. The removal of a director will be dealt with directly through the student organization they are affiliated with. The procedure followed will be in accordance with the student organization s bylaws. This constitution must be ratified by two-thirds of all officers to take effect and shall be reviewed every 3 years. Section II - Amendments This constitution may be amended by a two-thirds vote of officers, provided the amendment has been proposed at least one meeting prior to the time of voting. Any active member may propose an amendment. Article XI - Statement of Compliance SWE/TBP Career Fair has read and agrees to fully comply with the University s policies. We understand that the organization s registration is contingent on acceptance of these policies.
