Preliminary information Ladies and gentlemen, dear snowsport instructors, dear guests, The IVSI Delegates' Assembly held in Alpe d'huez on 12 April 2013 unanimously decided to award the 2017 Congress to our Japanese member association, with HAKUBA as the venue. The SAJ is honoured to organise and host the - International Congress of Snowsport Instructors in After receiving the initial details and coordinating with the Japanese organising team, we have put together for you, together with this invitation to the Congress, some preliminary information on - hotels and apartments - the costs of the Hakuba Congress - air travel from Europe - post-congress tours. 2 The finalised invitation with comprehensive information on - the proposed programme - travel - post-congress tours will be sent to you in the form of a FOLDER in the first week of June and will also be available on the website com Below, you will find the most important details for all national delegates and guests: 1. Congress motto: "Snowsport spirit worldwide" Fun for all in no time at all Handicapped Children Families Returnees 70+ Member countries are still welcome to contribute ideas to the programme! 2. Congress schedule: to be announced in the next info letter. 3. Delegation: Every national association can register its snowsport instructors as - official delegates; - guest delegates, in the case of interested expert visitors, or - guests, in the case of interested members of the national associations. 4. Congress date: Sunday 19 to Sunday 26 March 2017 With departure from Hakuba on Sunday, arrival in Europe is possible on the same day. Free place The representative of a national delegation (delegation leader) is entitled to a free place (from/to airport) provided that the delegation comprises at least three paying Congress participants. 7. Transfer costs: Included: Transfer by bus from Tokyo's Narita or Haneda airport to and from Hakuba 30,000 yen / 240 Pick-up and transfer services will be organised on the basis of your registrations. Equipment: All participants can hire different brands of equipment: 6-day rental fee for top-quality gear: Skis, poles and boots 21,600 28,000 yen / Skis and poles 19,000 26,000 yen / Air travel: Costs For the first time, we are offering our European participants air travel to Japan (airport: Tokyo Haneda or Narita) from the following European airports: from / to Vienna 1,200.- from / to Munich from / to Budapest from / to Prague from / to Warsaw 1,050.- (price under negotiation) from / to Paris from / to Moscow price will follow Precondition: the minimum number of participants is 12. In case of fewer participants, different points of departure or departure dates, please inquire separately. Bookings are based on participants' lists and flight dates. Member countries with less than 12 participants can register with Austria, France, Poland, the Czech Republic or Hungary. Final ticket prices will be available after confirmation of your reservation. Airlines: Lufthansa, Air France, Lot, Aeroflot, Emirates. Checked baggage allowance: 23 kg per passenger + 7 kg carry-on Ski bags will be charged extra. Post-Congress tours: Costs / Services Japan We have created two post-congress tours that give you interesting insights into the country, the hospitality of the Japanese, their culture, art and history: 3 days Tokyo / Kamakura / Fuji Cherry blossoms and history at every turn ( min. 15 participants ) days Kyoto / Nara / Kamakura / Tokyo ( min. 15 participants ) 1, Detailed descriptions of these tours will be provided in the next info letter (subject to minor changes). Vietnam We have arranged for an opportunity to visit Vietnam after the Congress. More information to follow with the second info letter. 10 days March 2017 Saigon: get to know the country, the people, history and culture in and around the former capital city. 31 March 04 April 2017 Phan Thiet, seaside resort Optional excursions can be booked on site. Double room 1, / person Single-room surcharge Return flight to Europe via Dubai. Registration: To allow us to intensify our preparations and communicate reservations to the organisers, we would ask all member associations, delegates and interested guests to please provide the following information without delay: prospective number of participants; by 31 August 2016 at the latest: a) Congress registration (use Registration form): precise number of - regular delegates - guest delegates - guests b) Active contributions to the Congress (use Activities form): - topics, speakers, demo time, workshop time c) Proposals regarding potential speakers/presenters on the above topics, with a key-word summary of the contents for the Executive Committee and Commission to make a selection. d) Registration by name (use Name registration form) by 31 October 2016 e) Payment: Invoicing and payment to be made in Yen. All prices given are based on the exchange rate of 25 March All payments (including the final accounts) to be based on the exchange rate of 31 October Definitive registration by name is to be made with the organisers by 31 October 2016 at the latest, with the reservation fee of 25% payable by 31 Oct 2016 the 1st instalment of 65% payable by 31 Dec 2016 the residual amount of 10% payable on site Air fare 100% payable on confirmation of booking The final accounts will be done by the delegation leader or his/her deputy during the Congress (Euros or credit cards accepted). 7 12. Cancellation: Cancellation entails costs depending on your hotel and the time of cancellation. Terms to be announced with the 2nd info letter, or upon confirmation of reservation. If you cancel two weeks prior to arrival, the entire package has to be paid for. It is therefore recommended that you take out travel/cancellation insurance in your own country. 13. Other information: Please verify timely payment of your membership fee for the Delegates' Assembly. Only member countries that have paid their fee for 2016 are entitled to vote at the DA! The invitation to the Delegates' Assembly will be sent out by separate mail. Please let us know the name of your national delegation leader / of the person that takes the free place. The 2nd info letter / finalised invitation will follow at the beginning of June Careful preparation of our Congress in Japan is possible only if all member associations use the enclosed registration form to register now or by 31 August 2016 at the latest, giving us at least the number of participants of their national association.
