APPROVAL OF THE AGENDA Secretary Chavez noted that Item E, Collegiate Women s Leadership Conference, should have been listed as Funding for Attendance at Collegiate Women s Leadership Conference. Motion to approve the agenda with the above change by Senator Topete Eng Goon; seconded by Vice Chair Paing. Hearing no objections, the motion carried. APPROVAL OF THE MINUTES OF PRIOR MEETING(S) Motion to approve the minutes of the Monday, September 25, 2017, meeting Senator Bathai; seconded by Senator Wang. Hearing no objections, the motion carried. ANNOUNCEMENTS AND HEARING OF THE PUBLIC REPORTS Vice President Relos announced that the DACA support rally/unite Day would be this Wednesday, October 4 th, and asked members of the Senate to attend and support the event, as well as to publicize it more; Commissioner of Publicity Gomez Torres and student assistant Marine Kazaryan were both working on flyers for the event. Ms. Relos told the Senate that if they had not filmed their parts for ASCSM s official statement in support of all students, that they needed to come to the Senate Office to do so once the meeting concluded; this was also the case for those who had to retake their segments, as well. Vice President Relos also requested members to remain in the conference room after the end of the meeting to film two short videos for the ASCSM statement. Vice Chair Paing remarked that the DACA support rally/unite Day would take place from 10:00 a.m. to 2:00 p.m. on Wednesday; he also reported that the Writers Project was seeking new members, particularly artists and graphic designers who could help create illustrations and layouts for the student-run literary magazine, The Labyrinth. Mr. Paing reported that CSM s Phi Theta Kappa Club was launching their Honors In Action project for the semester, and that they needed more members; the club meets on a weekly basis on Thursdays at 2:00 p.m. Page 1 of 5

2 Commissioner of Publicity Gomez Torres indicated that she was working on promotion for Programming Board s upcoming Halloween/Fall Carnival event; she was also constructing invitations and flyers for members to share out, as well. Secretary Chavez stated that ASCSM s hurricane relief fundraiser would still be going on throughout this week on Wednesday, October 4 th (as part of the campus unity event), and Thursday, October 5 th. Senator Topete Eng Goon encouraged fellow Senate members to vote in San Mateo s upcoming city council election if they were residents of the city, pointing out that regional elections were just as important national ones. Senator Soni promoted a mathlete competition to be held on October 25 th at CSM, stating that it was open to all students, and would give them a chance to compete on the national scale. Senator Xu reported that Active Minds Club would be meeting on Thursdays at 3:00 p.m. Student Life and Leadership Manager Schaefer reiterated Mr. Paing s point, asking the Senate to help out Phi Theta Kappa Club or to direct those who were interested to the club to support its success. Mr. Schaefer echoed Vice President Relos s request that students promote, attend, and help out at the campus unity event/daca rally; this would show all students, particularly DACA students who might be afraid to come forward at the event, that they had support on campus. Campus safety would most likely have a limited presence during the event, should any outside groups decide to attend in opposition of its message. Due to the mass shooting in Las Vegas, Mr. Schaefer encouraged students to reach out to any family members or friends in the Las Vegas area, and to be vigilant on campus for suspicious activity. Senator Meneses raised concerns about ICE potentially coming to campus; Advisor Hamadeh noted that ICE typically would not conduct any enforcement on a college campus, and that they would also need a signed warrant from the district office to do so. Student Life and Leadership Assistant Hamadeh announced that the CSM faculty and staff service awards ceremony would be held on Tuesday at 2:00 p.m., in recognition of those who have served the CSM community for a long time. Wednesday at 1:00 p.m. would mark the beginning of a lecture series, this particular session on how STEM fields are important to equity; at 2:00 p.m. of the same day would be the retirement party for former Vice President of Student Service Jennifer Hughes. On Thursday at 12:00 p.m., a social for the YearOne program would be held in the Center for Student Life; this would help first-year students get familiar with student leadership on campus. Thursday at 2:10 p.m. would mark the last club officer workshop of the semester, though future dates might be added. APPOINTMENTS LEGISLATIVE BILLS FUNDING FOR PRINTING OF THE LABYRINTH Every semester, the CSM Writers Project publishes The Labyrinth, a literary magazine with short stories, poetry, academic papers, digital art, photography, and illustrations by SMCCD students; a total of $1,000 was requested for printing at least 500 copies of the fall semester edition of magazine. Senator Topete Eng Goon notified the Senate that the number of copies printed depended on how many pages were to be included. The Writers Project aims to publish as many Page 2 of 5

3 students as they can for each edition, based on their submissions. Copies would be distributed throughout the school district, as well as in the San Mateo County library system. Motion to approve $1,000 for printing of The Labyrinth by Senator Meneses; seconded by Senator Langenbacher. By a vote of 15 in favor, 0 opposed, and 0 abstaining, the motion passed. FUNDING FOR HALLOWEEN/FALL CARNIVAL EVENT Senator and Programming Board Chair Bathai discussed a two-day Halloween/fall carnival event to be held from 10:00 a.m. to 2:30 p.m. on Tuesday, October 31 st, and Wednesday, November 1 st. The first day of the event would entail different carnival games, foods, and activities under the Halloween theme, while the second day would include general fall activities and foods, as well as a project with the Child Development Center. A total of $4,000 was initially requested for games, food, prizes, and decoration, but another $2,000 was added to compensate for the large scale of the event, thus totaling the funding request to $6,000. Motion to approve $6,000 to purchase four canopies and their frames by Senator Topete Eng Goon; seconded by Senator Meneses. By a vote of 15 in favor, 0 opposed, and 0 abstaining, the motion passed. RESOLUTION IN SUPPORT OF DACA STUDENTS Student Life and Leadership Assistant Hamadeh apprised the Senate on the draft of an official ASCSM resolution in support of DACA students. Several statements were listed and to be agreed upon by the Senate, then signed by President Riley and Vice President Relos; these statements illustrated why ASCSM would support DACA, and the steps that ASCSM would take in doing so. Finance Director Helsel requested clarification on points indicating why DACA s revocation was enacted by the government and also noted the document s possible need for more information, as well as its bias. Motion to approve the resolution in support of DACA students by Senator Meneses; seconded by Senator Barajas. APPROVAL OF ACTION STEPS FOR ASCSM GOALS A list of the action steps to fulfill ASCSM s goals for this academic year was presented to the Senate; this list included several suggestions by Student Trustee Alfredo Olguin, Jr. Once adopted, the action steps would be further discussed by the Executive Cabinet. Commissioner of Publicity Gomez Torres recommended adding a point summarizing more collaboration between ASCSM and clubs for events. Finance Director Helsel remarked that the Executive Cabinet should take account of all activities done for ASCSM, since a lot of preparation and other work is done outside of solely events. Motion to approve the list of action steps with the recommended changes by Senator Briones; seconded by Senator Wang. FUNDING FOR ATTENDANCE AT COLLEGIATE WOMEN S LEADERSHIP CONFERENCE Advisor Schaefer explained that with ASCSM s increased budget, they could now seek more opportunities to send students to different conferences; he brought up that CSM needed to have a stronger focus on women s issues, and that Page 3 of 5

4 sending representatives to the Collegiate Women s Leadership Conference in Los Angeles (held on November 18 th and 19 th ) would help initiate this. Students would have the opportunity to do workshops, talk to other women in student leadership positions, and bring back the knowledge they ve acquired to CSM. Applications will be open to active female student leaders on campus; three to four of the six open spots to attend the conference will be for student government representatives. Senator Topete Eng Goon is currently working on finding a female advisor to attend the trip with students. Total requested funding added up to $5,000. Motion to approve $5,000 for attendance at the Collegiate Women s Leadership Conference by Senator Topete Eng Goon; seconded by Senator Bathai. INFORMATIONAL VIDEO FOR ASCSM PROMOTION Finance Director Mark Helsel planned on producing a video that would inform the CSM community and the public on ASCSM; the intent of the video would also be to gain interest in what ASCSM conducts, hopefully increasing membership on the boards and in clubs. Ideas for the video included: Including something that captures the essence of the ASCSM mission statement. Information on the election of Senate representatives, on what ASCSM is/does, and leadership conferences open to all students. Getting the three ASCSM boards involved. Information on the ICC/clubs and organizations on campus as well as testimonials from members. Including ASCSM events to recruit people. Demonstrating the campus s diversity. An aerial shot from a drone. A task force comprised of Finance Director Helsel, Vice President Relos, Commissioner of Publicity Gomez Torres, and Senator Topete Eng Goon volunteered to help work on the video. Any more suggestions for the video would be directed to Mr. Helsel and members of the task force. CLUB FAIR DEBRIEF Advisor Schaefer commended Vice Chair Paing for all his hard work on the Club Fair, for being present and open to helping anyone who had questions about the event. He pointed out that multiple complications with getting pizza to give to those who visited different club tables. Vice Chair Paing noted that there were issues with several clubs who could not hand out their own candy due to the hurricane relief fundraiser. Other than that, the event went really well. Commissioner of Publicity Gomez Torres suggested having more decorations and promotion for the Club Fair, as well as a larger variety of incentives to get people intrigued by clubs. Senator Topete Eng Goon noted that, although many Senate members had their own responsibilities and clubs to tend to, time should still be set aside for volunteering at ASCSM events/tables. She also told the Senate of a suggestion from staff on having more than one Club Fair per semester. Page 4 of 5

5 Senator Barajas brought up the possibility of getting in contact with small, local businesses for food at Club Fair and other events; he also recommended conducting the event outside, having music, and utilizing the popcorn cart for it, as well. Secretary Chavez reiterated Ms. Topete Eng Goon s point, stressing the importance of having people volunteer for events.
