1 SBS Senate Meeting Minutes February 8, 2017 Members Present: President Erickson, Trustee Tompkins, Treasurer Lax, Club Allocations Chair Hueg, Auditor Demeritte, Auditor Olson, Auditor Stotz, Community Rep. Berry, Academic Affairs Rep. Gorman, Advisor Terhaar, Advisor Kleist, Senator Steenberge, Senator Andrews, Senator Wear, Senator Iteghete, Senator Ricker, Senator Sheikh, Senator Carey, SJU Representative Chuck Pults, Senator Weekly Members Absent: Vice President Ludlow (excused) Opening: - Meeting called to order at 6:05 by President Erickson - Roll Called by Senator Weekly (21 present, 1 excused absence) - Blessing given by Senator Andrews at 6:07 - Approval of the minutes at 6:09. Motion by Club Allocations Hueg, Seconded by Senator Berry Approved Without Objection (16-0-0) - Approval of the Agenda at 6:10. Motion by Senator Berry. Seconded by Senator Weekly Approved Without Objection (16-0-0) Guests: - Student Sharon Murphy speaking on Relay for Life at 6:11. Relay for Life helps to raise money for cancer research and treatment. Played a video on Relay for Life called Paint your World Purple. Sponsored by Students for Life. Last year had 8 teams and 32 participants. Held on April 1 st at 10 AM. Asking for $ to help offset certain costs. Treasurer Lax asked if Students for Life would be assisting with the event. Ms. Murphy answered to be determined. Senator Steenberge wanted to know if all the money would be going to media services. Ms. Murphy answered it would not. $100 would be for media services. Some money would go to T-Shirts and food. Club Allocations Chair Hueg reminded Ms. Murphy that additional costs for Students for Life would go to the Co-Funding Board and not the full St. Ben s Senate. - Fighting Saints Bataan Team spoke at 6:16. Fighting Saints wants to go run the Bataan marathon in New Mexico in March. Five members of the team gave the presentation. Map of running route presented. Students began training in November and hope to win this year. Students gave brief history of the Bataan Death March in World War 2. Gave brief history of the race which began in 1980 to honor the legacy of those that died during the March. 3 rd hardest race in the country. Various fundraising efforts for ROTC have been reached out to: Go Fund Me Account, American Legion, VFW, AUSA- Army Association. They want funding specifically for the women s team ($ for van, $ for airfare, $ for hotel, $ for race and $ for jerseys) $4844 X 60% = $2, total request. Discussed potential benefits for the community. Trustee Tompkins thanked the guests for coming. Senator Demeritte asked who the sixth member of the team would be. The guests responded with she was from St. Cloud and they would not be asking for funding for her. Senator Iteghete asked the guests to break down the potential sponsors further. They explained who they were. Senator Andrews asked to see the cost breakdown one more time. Figure for airfare corrected to $2,790. Total cost corrected: $ Senator Weekly asked if certain things were 60% of the cost or the whole thing. Senator Sheikh asked if donation money from an outside source ($15,000) was going to

2 exclusively the boys team. Students responded that the donation would be broken down between all the teams (St. John s team, St. Ben s team, and Co-Ed team). Senator Carey asked if the money allocated would go into a pool or just to the female students. They said that the money would go exclusively to the female students. Senator Carey wanted to know what would happen if they won. The team said that they would get bragging rights and potentially a trophy. They want to further their brand by winning. Club Allocations Chair Hueg asked if the male team would be asking St. John s Senate for money. They said they would. Senator Iteghete asked the students to clarify how the $15,000 dollar donations would be broken down. Senator Sheikh asked them to demonstrate how the event would demonstrate Benedictine values. They responded by saying the event emphasizes closeness to God and respect for persons. Students pray before and after running. Helps build community. Senator Iteghete asked if the $15,000 dollars was donated exclusively for this race or the ROTC program for the year. They said that it was actually for the entire year and not only this race. The ROTC program decides where that money is diffused. Senator Andrews asked what portion of the $15,000 was going towards this race. They did not know at this time. Senator Andrews asked how much money the other sponsors might donate. The students said they were unsure, but did not want to ask donors for a specific amount at this time. - Senators Weekly and Gorman presenting on Campus Women Lead 2017 at 6:36. Senators Gorman and Weekly were accepted to a Women Lead conference on Feb 17 th and 18 th in Washington D.C. Summit is intended to promote women s leadership and interact with other student government leadership from across the nation. This is also a networking opportunity. They want to bring back new ideas and hopefully improve as campus leaders in order to build a better community. Flights: $260 each, $336 hotel, registration $55 each x 3/5 = $ total. Senator Carey asked for a return to the budget slide. Club Allocations Chair Hueg thanked them for presenting. - President Erickson passed the Chair to Trustee Tompkins at 6:40 to present on the Student Leadership Summit. Event held last year and was set as a goal for both Presidents at the beginning of the year. Goal is to bring together different kinds of leaders and improve leadership based on shared experiences. Held on Feb 26 th from 10:30 to 4:30 at Alum Hall and the HCC. Open to all students. Inviting organizations, clubs, senates, management teams and sports teams. President Erickson broke down the schedule for the day. Keynote speaker will be CEO Brad Goskowisz of Microbiologics. Four other speakers will speak throughout the day. Budget Breakdown: $1, for food, $1, for merchandise, $ for microphones, $ for speakers = $4, Received funding from SJU President s Office, CSB President s Office, Dean Connolly s Office, Dean Terhaar s Office and the St. John s Senate. Asking for $1, President Erickson explained that the President Office s money would go towards merchandise. Senator Gorman asked if club leaders had been reached out to. President Erickson said they had reached out to adult sponsors of clubs, but not students yet. Treasurer Lax asked if there would be vegetarian options available. President Erickson said there would be. Senator Iteghete wanted to know more about the topics the speakers would be discussing. President Erickson said there would be discussion on how leadership should be applied to the real world, how you transition in groups, project management, innovation and leadership, and there remains one

3 opening. Senator Iteghete suggested that the last topic should be one about being a team player while remaining in a leadership role. President Erickson suggests maybe some inclusivity discussion will be had in the presentation. Senator Demeritte asked why MDI stopped hosting this event. President Erickson said that the people who ran it graduated and that the Senate had bigger outreach. Senator Weekly asked if the Senators would be participating or facilitating. President Erickson that there would be elements of both roles. Senator Andrews asked how we would recruit 200 people to show up. President Erickson said they would use an aggressive public relations campaign, pressure from athletics office, using organization to reach out, and creating a video with President Mitchell of SJS to recruit. President Erickson said she s open to advice on recruitment techniques. Senator Iteghete suggested that personal invitations might be a good way to recruit groups of people. - At 6:54, Trustee Tompkins passed the Chair back to President Erickson and asked if there were any students wishing to address the body. There were none. Board Reports President s Report: At 6:55, President Erickson passed the Chair back to Trustee Tompkins. President Erickson gave a reminder about the joint meeting next Monday. She gave an additional reminder to be confident in question asking. She would like an with a project update from all of her senate members. She would like to thank SJU Rep. Pults for being awesome. She was hoping to help form a Student Leadership Task Force for the Student Leadership Summit. Advisor s Report: At 6:57, the chair was passed back to President Erickson. Advisor Terhaar discussed Senator Warren s voice being silenced on the Senate Floor and gave an uplifting discussion on persistence. Advisor s Report - Part 2: At 6:59, Advisor Kleist passed on a story about The Richest Man in Babylon. She encouraged Senators to read it and borrow it. Additionally, Advisor Kleist suggested that a diversity of interests will help the Senators succeed in the workplace. She passed around Mental Floss magazine. Club Allocations Hueg thanked Advisor Kleist for her library allocations. Executive Board Report: At 7:01, Senator Weekly discussed the two executive board meetings for the week including one on a statement suggesting students could approach the Senate and a website update. Co-Funding Board Report: At 7:02, Club Allocations Chair Hueg broke down the 4 budget requests the Club Allocations Board had this week. These included allocations for the Marketing Club, the Pre-Law Club, Bowling Club, and Global Health Affairs. Budget Update: At 7:03, Treasurer Lax reported that there was $33, remaining in the budget. SJU Senate Update: At 7:04, SJU Student Rep. Pults gave a report on the dealings of the SJU meeting on Monday including three budget allocations. He also informed the Senate about discussions on diversity and inclusivity that occurred during and after the meeting. Club Allocations Chair Hueg thanked him for attending. Open Forum: At 7:06, President Erickson opened up the floor for questions. Senator Steenberge reminded everyone about the upcoming Cut the Current Event and Candlelight Mass. Senator Wear

4 expressed her goal of meeting with clubs to discuss goals. She met with JEC and SALD this week. She gave a plug for two events and the Wind Ensemble preview concert. Treasurer Lax reminded Senators that there would be a Senate bonding activity next Wednesday. Senator Iteghete reminded Senators about the upcoming Sierra Leone event, the Vagina Monologues and Tune-In Tuesday. Senator Andrews discussed her upcoming Love Yourself event. She also reminded the Senate about the Archipelago Association s event tomorrow. She also publicly thanked Dean Terhaar for the Step-Africa night tickets. Senator Wear reminded the Senate about her event next Wednesday. New Business -Motion to allocate $ to Sharon Murphy for the Relay for Life Event Motion by Senator Richter, Seconded by Treasurer Lax. Speeches in favor given by Senator Ricker and Treasurer Lax. Senator Weekly asked about what Students for Life does. Club Allocations Chair Hueg explained their events for the year. Motion Passed Motion to allocate $2, to the Fighting Saints Bataan Team by Senator Demeritte, seconded by Club Allocations Chair Hueg. -Motion to amend to $2, by Senator Demeritte and seconded by Club Allocations Chair Hueg. Senator Steenberge asked for a math clarification. President Erickson clarified why the amendment was being made. Senator Steenberge than suggested that a 3/5s division only apply to travel cost and not all items. Confusion was had. President Erickson clarified as to what was Senator Steenberge suggested. Senator Steenberge asked a procedural question regarding how to amend this to her figure. Senator Weekly moved to the previous question. Seconded by Treasurer Lax. Vote to Move to the Previous Question: , Amendment Failed: Motion to amend to $2, by Senator Steenberge, seconded by Club Allocations Chair Hueg. Senator Steenberge gave a speech in favor. Senator Olson suggested that we should give the amount of money asked for and reminded the body about earlier incidents regarding extended funding. Advisor Kleist said that the Senate had to be careful on extending speech and complimented the Senate on asking good questions. Senator Berry clarified that the $15,000 would be spread among three different groups. She additionally clarified that the money would go to the women s team. Senator Iteghete suggested that there were issues with the funding request and suggested potential tabling. Amendment Failed: Motion to amend to $2, by Treasurer Lax and seconded by Trustee Tompkins. Amendment Passed: Amended Motion Passed: for $2, Motion by Senator Sheikh, seconded by Treasurer Lax to allocate $ for Senators Gorman and Weekly to attend Campus Women Lead Summit. Senator Sheikh and Senator Steenberge gave speeches in favor. Motion Passed: Motion by Senator Tompkins and seconded by Club Allocations Chair Hueg to allocate $1, for the Student Leadership Summit. Trustee Tompkins gave a speech in favor. Motion Passed: Adjournment
