6 Officer Slate Excel File Submit to your RVP and Due once per year; however, you can submit multiple times if officers, faculty advisor, and/or website address changes. 6

7 Officer Slate Ensure the term dates are accurate. Not all positions have to be filled. The chapter s Facebook page is an acceptable website. Words of Warning: Chapters go from GREEN to RED status if/when an officer s (including faculty advisor) IIE membership lapses, and if/when the term of office lapses. For example, a chapter may be green in May 2014, but if an officer s membership lapses in June 2014 then the chapter can go to RED status, and the chapter may not win an award for since it is considered d RED as of June

9 Chapter Rosters Request Chapter Roster Access. If you (based on officer slate) have the appropriate credentials, then you ll get an from IIE s System Administrator with login and password. The Chapter Login page: 9

10 Three Excel Reports: 1. Chapter Summaries total members and recent activity (new members, expiring members, etc.) 2. Member Roster Chapter Rosters 3. Member Roster Changes 10

11 Due: April 30, 2014 UCAR Planning The university chapter activity report (UCAR) is your chapter s report of activities for the year (June 2013 May 2014). The submission must be verified by your faculty advisor (via ) to the RVP and chapters@iienet.org. [Note: We realize it is due on April 30, 2014; thus, you are to include anticipated May 2014 activities; such as attending the IIE Annual Conference in Montréal.] The updated version for UCAR will be on the IIE Student Chapter Management Website by December 31, Categories will be similar il from UCAR, although h the points will be changed slightly for various activities (e.g., submission to the YouTube Video Contest will be a point- earning activity it t2 /d t il 22764) Note: The Operations Plan (optional) is due October 31, This plan, in general, would be a month-by-month plan for the chapter to reach its goals and serve its members for the year. 11

12 Tax Statement (epostcard) *Not necessary for chapters outside of the USA. Due to changes in IRS policy, chapters will have to submit an epostcard (regardless of whether or not they have a bank account, a university account, or no account). This is necessary in order to remain a tax-exempt organization in the eyes of the IRS and USA government. Each chapter has its own tax-exempt status and tax identification number. If a chapter has tax-exempt status, then it should maintain its tax- exempt status (by annually completing the epostcard). More information will be posted on the Financial Management Website by December 31, IIE is investigating alternative options for chapters that do not have a bank account. However, as of now, an epostcard will be required. Ms. Edita Maya (emaya@iienet.org) if you need your chapter s tax identification number. 12
