2 Exhibit and Support Details Policies and Guidelines: Exhibit space includes 1-6 x30 table with linens and 2 chairs. Full size (8 or larger) displays must be approved in advance. Signed application required to reserve space. Payment must be received prior to move-in. Exhibit services not provided for regional meetings. Minimum exhibit purchase required to qualify for additional support opportunities and meal symposia. Advance registration attendee lists are not provided. Final attendee list will be provided for all registered exhibitors 7-10 days after the meeting. Final attendee list will NOT be provided to exhibitors who move out prior to final afternoon break. Shipping Guidelines: Send all shipments direct to meeting location. A drayage fee may be charged by the hotel/meeting venue. NCVH is not responsible for shipments sent direct to the hotel. Name Badges and Company Descriptions: Submit a company description of 50 words or less by to exhibits@ncvh.org by published deadline to be included in on-site program. Register exhibitors by ing a complete list to include first name, last name, and address for each on-site representative to exhibits@ncvh.org. Complimentary if received by published deadline. $25 late fee if registered on-site. Name badges are required for all on-site personnel. Meal Symposia: Custom proposals available upon request. Based on space available, options include evening dinner(s) prior to meeting start date and breakfast/lunch on meeting date only. Faculty, food, beverage, and other service expenses may be additional. Meal sponsors recognized in on-site materials. Ad and Logo Specifications: Full page 5.5 W x 8.5 L Half page 5.5 W x 4.25 L 0.25 bleed on all sides No trim marks Digital logos must contain a transparent background (.eps or.png file.) All ad files must be in full color:.ai or high resolution PDF. Send all ads and logos to exhibits@ncvh.org by published deadline. Cancellations: Cancellations made in writing and/or postmarked three weeks prior to meeting date may be eligible for 90% refund. No refunds for cancellations 20 days or less prior to meeting start date.
