As Brothers, we give to patients at St. Jude Children s Research Hospital year round, and this winter we have a chance to send the kids a virtual holiday card. I do hope that you and your chapter will take a moment to send a card to the kids of St. Jude to wish them Happy Holidays. Please see Brandon s article for more information. In the spirit of giving, we should also be looking for ways to give more than we receive. There are little things we can do each and every day to live out our motto, Each needs the help of the other. These little random acts of kindness are an easy way of doing something Traci K. Thompson small without much planning and it could be something as simple as helping someone with their bags, holding the door open for the next person, Grand President paying for the order behind you in a drive-thru line, leaving your neighbor a holidaythemed package, letting someone go in line in front of you, or writing your professors a thank you note. I have a good friend who takes her kids and their friends to Target each year to do a power of kindness day. They leave inspiring, feel-good quotes on various products throughout the store. For instance, in the cosmetic aisle, there will be notes about being beautiful from the inside out. They tape $1 bills in the dollar section and hand out paid gift cards to customers throughout the store. I am always thrilled to see pictures of their adventures and the joy it brings to those random shoppers. Of course, these are only a few ideas and I am sure you can think of many other great ways of giving this season. This year, we should also give thanks for the little things we take for granted, for our firstworld problems we have the pleasure to complain about, and for having family, friends, and Brothers we can lean on. I personally am grateful this year for a job I enjoy, for two beautiful and talented daughters who never cease to amaze me, for the health and time I get with my 90-year-old grandmother, for the opportunity to serve Phi Delta Chi, and a husband who supports my many adventures across the country. 2 e-communicator December 2015/ PAGE 2 Proposed Constitutional Revisions One of the strategic goals for the Fraternity s leadership team, and one close to my heart is the Communications Modernization Act. In this effort, there are a few core initiatives that are getting attention as we move into 2016, and one of them is a redefinition of duties related to my office as well as the creation of a regional team to assist in developing and sharing content to a degree that was unimagined when the office was originally conceived. In order to begin this process, which entails changes to the constitution, I wanted to share some of the proposed changes for review and discussion in the 2016 Regional Meetings that will then be up for voting at the next Grand Council in Additional changes included here relate to the Regional Correspondent. While we are not looking to redefine the position, we are seeking to re-title it to avoid confusion with the new regional officers and to also ensure there is a continued focus on supporting the AAP. Suggested revisions are below. I welcome any comments or feedback. Jeff Prescott Grand Vice President for Communications AAAE, Jeff Prescott (Alpha Sigma) Grand Vice President for Communications Revisions Related to the Responsibilities of the Grand Vice President for Communications and Regional Directors for Communications Current Language Constitution Section 13 The duty of the Grand Vice President for Communications (GVPC) shall be to edit and manage the publication of a journal devoted to the Fraternity known as The Communicator of Phi Delta Chi. This journal shall be published at least three times annually, and an amount determined by the Executive Council shall be collected from each Collegiate Chapter to finance the publication of this journal. Proposed Language Constitution Section 13 The duty of the Grand Vice President for Communications (GVPC) shall be to supervise the activities of the Regional Directors for Communications (RDC) under the direction of the Grand and Executive Councils. The primary responsibility of the GVPC and RDCs is development and distribution of publications and other information related to the Fraternity. Publications include the journal known as The Communicator, which is to be published in print at least least three times annually, and the e-communicator, which is to be published digitally no less than 10 times per year. Other sources of information supervised by the GVPC include the national web site and digital media platforms. Bylaws Chapter II, Number 1 The Collegiate Chapters of Phi Delta Chi shall be divided into at least five distinct regions by the Executive Council, in order to facilitate communication and organization. Regional Directors for Collegiate Affairs and Alumni Affairs may be appointed by the Executive Council to assist in the administration of the region. 3 e-communicator December 2015/ PAGE 3 Revisions Related to Renaming of the Regional Correspondent Current Language Constitution Section 12 The duty of the Grand Vice President for Student Affairs (GVPSA) shall be to supervise the activities of the Regional Correspondents; chair meetings of the Regional Correspondents; and conduct when feasible annual meetings of the Regional Correspondents with assistance from the Executive Director. It shall be that person s duty to implement and promote participation in the Dale W. Doerr Achievement Award Program and to promote attendance by Collegiate Brothers at Fraternity meetings. The GVPSA shall deliver to that person s successor all documents belonging to the office. Bylaws Chapter II, Number 2 A Regional Correspondent (RC) shall be elected at each Regional Conference or Grand Council. All nominees for this office shall be in attendance at their respective Regional Conference or Grand Council. Bylaws Chapter II, Number 3 (a) The duties of the Regional Correspondent shall be to call meetings of the Regional Conference to order at the appointed time; to preside at such meetings; to preserve order and decorum; and to further act as the executive officer of the region. (b) Further, the RC shall keep a complete recording of all proceedings of the region including a ledger of the attendant expenses during the term; to present to the Regional Conference a report with recommendations, covering the proceedings and acts of the term; and to deliver to that person s successor all documents and property belonging to the office. (c) It is the duty of the Regional Correspondent to aid Collegiate Chapters with professional projects, fund raising, membership recruitment, participation in the Achievement Award Program, attendance at Fraternity meetings, and to offer other assistance as needed. (d) Candidates for the office of Regional Correspondent shall be in good academic standing and shall have at least one academic year remaining as a collegiate Brother at a school of pharmacy within the region. (e) In the event of a Regional Correspondent vacancy, the Executive Council shall have 30 days to gather applications and present the applicant information to the Chapters in the affected region. The Chapters shall then have 30 days to vote by ballot. This process shall be completed with the same voting procedures used during Regional Conferences, except that the Region does not need to convene and a nonresponse shall be deemed an abstention. If no affirmative votes are cast within 30 days, the Executive Council shall appoint a Regional Correspondent. Bylaws Chapter II, Number 4 (b) Quorum for business sessions shall consist of Delegates from at least 50% of Collegiate Chapters in the region. Each Collegiate Chapter represented shall have one vote. Each Alumni Chapter represented shall have one vote, as will the Regional Correspondent and Regional Director(s) in attendance. No Regional Officer may cast votes as a Chapter Delegate. 5 e-communicator December 2015/ PAGE 5 The Year of the Alumni: The Alumni Professional Development Scholarship and More to Come in 2016 Change is a coming... You spoke in Albuquerque at the 70th Grand Council and we listened! What is to come from Alumni Affairs you may ask? Many new and exciting ideas are brewing within the Alumni Foundation Committee. In addition to those, there will be a continuation of some of the new traditions that were put into place by former GVPAA, Traci Thompson. Some of these programs include: Andrea Bourque Grand Vice President for Alumni Affairs Alumni Professional Development Scholarships which were distributed to 17 alumni Brothers over the past two years for a total of $8,500. This great tradition of giving back will continue with applications opening January The scholarship can be used toward conference attendance or advanced credentialing fees. The AAAE Campaign was established to bring more alumni Brothers back into active status. You can help our collegiate Brothers attend a national meeting and experience the Fraternity on the national level by just paying your national alumni dues (NADs). An Alumni Structure Committee has been created to specifically focus on improving and strengthening the foundation of alumni affairs within our Fraternity. The need for a more defined alumni chapter foundation program and structure has never been more apparent. 6 e-communicator December 2015/ PAGE 6 Kenny Walkup Executive Director Risk Management Update Since Grand Council, I have fielded hazing or risk management allegations from three (3) chapters. You would think that coming out of Grand Council, where so much focus was placed on risk management, that risk management allegations would be non-existent. Unfortunately, this is not the case. And, in all three cases, if the chapter would have followed through on the information presented at GC, the allegations would not have happened. The Executive Council has approved a Risk Management Investigation and Enforcement Policy. This document is provided here and you can find it on the Collegiate Resources page under Resource Documents - General, or CLICK HERE. Your chapter should familiarize ALL its Brothers with the contents of this document. One important change to our investigation and enforcement of risk management allegations is that ALL chapters will be visited for Risk Management Policy allegations. Additionally, ALL chapters being investigated will be billed for ALL expenses incurred with risk management violation investigations. After reviewing this document, you may contact me with any questions. Thank you. Kenny Walkup (Alpha Upsilon) PHI DELTA CHI FRATERNITY Risk Management Investigation and Enforcement Policy Adopted by the Phi Delta Chi Executive Council BACKGROUND All Phi Delta Chi chapters are required to review the Phi Delta Chi Risk Management Policy as part of the September report of the Achievement Award Program. Also, all pledges are required to review the policy as part of the pledge education process. As a result ALL Phi Delta Chi Brothers should be aware of the expectations for adherence to the policy. WHAT TO DO In the event of an alleged violation to any part of the fraternity s Risk Management Policy (whether revealed by a pledge, Collegiate Brother, Alumni Brother, faculty, school administration or local authority), the Fraternity s Executive Director should be notified within 24 hours of the allegation. The Fraternity s Executive Director should also be notified within 24 hours of any action being taken against a chapter by school administrator or local authorities. A written account of the violation should be made immediately. The person(s) writing the document should sign the document so the author(s) is/are recorded. The document should be forward to the Executive Director within 24 hours of any allegation or notice from the school or local authorities. The names of all local and schools officials involved in the investigation should be shared with the Executive Director as soon as those names are made available to the chapter. VISIT TO THE CHAPTER The Executive Director will investigate all allegations to the best of their ability via phone interviews and completed submitted documentation. ALL allegations to the Executive Director WILL result in a visit to the chapter. In many cases those visits will be conducted by the Regional Officers. In the event that the school or local authorities are involved, the investigation will warrant a visit from the Executive Director or an Executive Council officer. In ALL cases the chapter WILL BE BILLED FOR ALL EXPENSES INCURRED for the visit. The Executive Council will be the final word in all investigations that are conducted. SANCTIONS TO THE CHAPTER The Executive Council, after reviewing all information, will decide any and all action to be taken against the chapter. The Executive Council will make the FINAL decision and that decision will be binding per the Phi Delta Chi Constitution and Bylaws. Chapters will be billed for all expenses incurred for the investigation and visit. Actions may range from: No further action required Corrective measures outlined Corrective actions outlined and chapter probation* period defined Corrective actions outlined and chapter suspension period outlined Revocation of chapter charter *Any chapter on probation must participate in the Achievement Award Program but will be ineligible for Thurston judging. 7 e-communicator December 2015/ PAGE 7 Nominate a Young Leader for the Prescott Award The Pharmacy Leadership & Education Institute (PLEI) is accepting applications for the 2016 Albert B. Prescott Leadership Award. The deadline to nominate or apply is December 15, Applications must be submitted online at It is recommended that applicants have several nominations in support of their application. The Albert B. Prescott Leadership Award, administered by the PLEI, was first awarded by Phi Delta Chi in 1987 to recognize excellence and leadership potential among young leaders in pharmacy. PLEI is pleased to partner with Phi Lambda Sigma, the national Pharmacy Leadership Society, in sponsorship of this prestigious award. The Albert B. Prescott Leadership Award recognizes outstanding leadership demonstrated by a pharmacist no more than 10 years into his or her career. The recipient is selected by the four most recent recipients of the Award, two members of the PLEI Board of Directors, one representative from Phi Lambda Sigma, and one representative from Phi Delta Chi. The 2016 Prescott recipient, who must have received his or her first pharmacy degree in 2005 or later, will receive a $1,000 honorarium and a painting of Dr. Prescott. He or she must give an address during APhA2016 in Baltimore, on March 6, 2016, and prepare a manuscript based on the address that is suitable for publication in the Journal of the American Pharmacists Association.
